Provided By:
The NYSCA/GHHN Conservation Treatment Grant is made possible with funds from the New York
State Council on the Arts (NYSCA), with the support of Governor Andrew M. Cuomo and the
New York State Legislature. The Robert David Lion Gardiner Foundation has provided additional
support for projects in Nassau and Suffolk Counties.
4. โงNYSCA/GHHN CONSERVATION TREATMENT GRANT
โงSupport of up to $7,500 is available for conservation treatment of
paintings, works on paper, textiles, furniture, frames, sculptures,
historical, ethnographic, and decorative objects owned by eligible
organizations. Funding is also available for treatment costs for
supports, frames, stands, and mounts that are integral to the
treatment of the object.
5. For 2018 grant year, 47 grant
applications were received at
GHHN from institutions in 28
counties of New York State,
requesting an aggregate of
$262,956
in grant support.
6. In 2018, 24 organizational awards
totaling $106,675 were
recommended by a peer panel of
conservators, curators and
museum professionals. Of the 24
institutions that received funding
17 received full funding, 7
partial funding. 2018
Treatment Grant awards ranged
from $2,100 to the maximum
amount of $7,500.
7. NO MATCH REQUIRED!
But if conservation estimate is greater than
$7,500, you must demonstrate where the
additional funds will come from.

โข Prior to writing a condition report, the
conservator MUST examine the object in
person.
โข Remote consultation is not acceptable.
โข Please provide actual costs of treatment โ
ranges will not be accepted.
โข Treatment proposal should be prepared
within the last year, and include the
following information:

treatment.
โข History of object and its care if relevant.
โข Proposed treatment
โข Goal of treatment.
โข Proposed treatment materials and
techniques.

โข NO client list or references
โข A bio is not a sufficient replacement for a
resume and will not be accepted.
โข Resumes MUST be from the conservator
who supplies the treatment proposal and
cost estimate. Please make sure to
include resumes of all other conservation
professionals who will participate in the
proposed treatment. Omission of
resumes may deem the application
ineligible for funding.
โข Conservation professionals cannot be
contracted for grant work in their
capacity as employees of state or federal
agencies.

36. CONSERVATORโS LETTER
OF COMMITMENT
โข All conservators must submit a
letter of commitment.
โข The letter should be addressed
to the applicant, and should
acknowledge that all
documents and work provided
will be in accordance with the
AIC Code of Ethics, Guidelines
for Practice, and Commentaries
โข Letter of Commitment and
Resume to be uploaded as

37. PROJECT BUDGET
โข Please list the actual cost of
conservation provided in the
conservatorโs estimate โ ranges will
not be accepted.
โข If requesting funding for multiple
objects, please list each item
individually along with individual
associated costs.
โข If the cost of conservation is greater
than $7,500, you MUST list where the
additional funds will be obtained.
Include funds that have been
donated or committed (these funds
must be already secured), as well as
any contributions from your
institution.
โข To Be Uploaded as a PDF or
XLS/XLSX
โข You MUST use the Budget
form provided on our
website. Applications which
do not use this budget form
will not be considered for
funding. Open the file, fill it
out, and save as a PDF or
XLS (XLSX is also
acceptable).
38. VISUAL SUPPORT MATERIAL
โข Good quality photographic
images enhance the panelโs ability
to determine the condition of the
object.
โข The conservator is responsible for
providing you with this
photographic documentation.
โข Please submit color photographs
which include at least one overall
and one detail image of each
object proposed for treatment.
โข Images should clearly show the
condition problems of the
object(s).
โข To Be Uploaded as JPEG, TIFF
or multipage PDF
โข Inclusion of more than one
image per object is strongly
encouraged, as are images
showing where the object will
be exhibited post-
conservation.
39. STEP 3: SUBMIT!
โข You can log in and work
on your application as of
March 1, 2019 and the
portal will remain open
until 11:59 PM on June 3,
2019. You may fill out your
application at any point
during that date range.
โข Once signed in to your
Submittable account, you
may save a draft of your
application online and come
back to as often as you wish.
However, once your
application has been
submitted, you cannot make
any edits or changes.
40. FINAL REPORT
โข Conservation Treatment Grant
Awardees have a requirement to
prepare a final report on the
conservation paid for with your
grant. Additionally, funded works
must include crediting the
conservation of the piece on its
text panels or other informational
materials.
โข Acknowledgment or publicity
concerning this grant should
directly credit the re-grant agency,
Greater Hudson Heritage
Network.
โข Our final report submission
process is also paperless
through Submittable
โข Use the same login as for
your application
โข Final Report for 2019 will be
due in 2020
41. COMMON PITFALLS TO AVOID:
โงCorrelation of the object to the mission unclear
โง Need to state why the conservation of the object is important to
your organization and its mission!
Application poorly written/Missing attachments
โง Missing information, typos, not answering the questions.
โง If we only fund up to $7,500 donโt ask for $30,000.
โง Include all required attachments ie: Conservator resume.

โง Incomplete budget
โง Include the conservatorโs expense, site expenses, in-state travel, insurance,
etc.
โง Check your math!
โง Condition report not clear
Be sure the Conservatorโs Treatment plan addresses issues identified in the
Conservatorโs Condition report.
โง Object ownership not demonstrated
โง If you have the โdeed of giftโ and own the object - state it. If the object is
permanent loan, demonstrate you have the permission from the owner to
conduct the conservation on their behalf.
43. Unclear why the item conservation is a priority at this time
๏ถ All objects are important, but why should yours be funded over
other applications?
๏ถ Is there a corresponding exhibit planned?

๏ถ What makes this object important to your organization?
โง Item is not central to the time period of the museum
โง Make sure the object has a direct tie your mission/ museum.
44. โง No information on how it will be displayed after conservation/
mounting/exhibit plan
โง Returning a conserved object to the environment that caused the
damage is a concern.
โง Tell us where is will be exhibited in the future. What mounting is
planned?
โง Treatment does not discuss the intent to display
โง The goal is to have the object on display for public benefit.
โง Returning it to storage after conservation is not the goal of the
conservation grant program.
45. โง Questionable exhibit environment: light, humidity, temp,
public impact. How will you care for the piece after
conservation?
โง If the condition reports states mold/sun damage, etc. in the
environment, how will you address this going forward?
โง Will the object be part of a permanent or rotating exhibit?
โง Do you have a collection care plan? If yes, tell us. If not, how
are you going to address the needs of the object?
46. โง Photos do not demonstrate damage
โง The conservator should provide adequate photos.
โง Color photos reflect damage best.
โง Can include photos in a multipage PDF.
โง Donโt skimp on photos โ this is your chance to show the
the conservation issues.
47. โง Condition Report does not match the Treatment Plan
โง Major Red Flag!
โง If the Condition Report states the object has mold damage, it must
also be addressed in the Treatment Plan!
โง If the Condition Report is written by one person โ they should also
the one to recommend the Treatment Plan. If different people โ
explain why?
โง Demonstrate the Treatment Plan is addressing the conservation
of the object.
โง Concern over authenticity of the object
โง Be sure your object is what you think it is.
โง Do research and prove the authenticity of your object.
48. โงHELPFUL HINTS:
โข - Mounting/frame costs are allowed.
โข - Shipping/travel only allowed from within NYS border.
โข - If received funding for 3 years in a row, must wait 1 year
before applying again.
โข - Partial funding may be given.
โข - May include several associated objects in same
โข - Consider phasing the conservation treatment of an object
only if each application can stand alone as its own treatment.
