PRACTICAL TIPS ON
DESIGNING A DIGITAL HUB
2. WHAT IS A DIGITAL WORKPLACE?
Important to understand that a Digital Workplace is how people work today with technology
driven change
4. THERE ARE FINANCIAL BENEFITS
Infrastructure cost savings, pay per user per month, price bundling, automatic scale and much
more…
5. NO MORE TECHNOLOGY UPGRADES…
It is more challenging to meet modern expectations on legacy technology. By leveraging cloud
technology you no longer need to upgrade.
6. INNOVATION BENEFITS ARE MORE INTERESTING…
Continually improving experiences, continuous rollout of new capabilities, continued integration
with more technologies, and much more. (https://roadmap.office.com)
7. WHAT SUCCESS LOOKS LIKE
Being able to work the way you want and making the transition between services seamless

66. ENGAGING SOLUTIONS…
As team and departmental news increases we want to ensure our digital hub is helping by giving a broader
view of that important information. You should be integrating team news on your homepage design ASAP.
68. CONTENT OVER TIME…
The modern digital workplace and Intranet has a continually increasing number
of digital spaces or ‘sites’ where content is stored and shared.
70. COMMUNICATION VS TEAM SITES
Communication Site
SharePoint provides 2 types of sites: Communication Sites and Team Sites.
Team Site
Publish dynamic, beautiful content to people in your
organization to keep them informed and engaged on
topics, events, or projects.
Share documents, have conversations with your team,
keep track of events, manage tasks, and more, with a
site connected to an Office 365 Group.

news site
TIP Search scope is set to tenant wide for the home site
TIP Enables one click access from the SharePoint
mobile app
TIP Automatically connected to the SharePoint start
page.
73. MODERN INTRANET STRUCTURE
TIP All sites are now created as
their own site collection.
TIP Some site collections act as
hubs for other related site
collections.

Better understand how you can build your digital hub powered by SharePoint Online. We’ll dive into how Hub Sites, Communication and broader team sites can support with your digital workplace strategy
A digital workplace is not just a fancy re-branding of intranets.
The Digital Workplace enables new, more effective ways of working; raises employee engagement and agility; and exploits consumer-oriented styles and technologies.
It should be consistent with the organization's values and serve as a source of inspiration to the stakeholders who will craft the strategy and tactics to realize the vision
Provide personalized information and content to users based on employee groupings
Dynamic, personalized Navigation that is driven by my usage patterns
personalize company and team news based on my interests
1 hr
On sticky notes, write down persona, what
On back, write why
Must have
Requirements labeled as Must have are critical to the current delivery timebox in order for it to be a success. If even one Must have requirement is not included, the project delivery should be considered a failure (note: requirements can be downgraded from Must have, by agreement with all relevant stakeholders; for example, when new requirements are deemed more important). MUSTcan also be considered an acronym for the Minimum Usable SubseT.
Should have
Requirements labeled as Should have are important but not necessary for delivery in the current delivery timebox. While Should have requirements can be as important as Must have, they are often not as time-critical or there may be another way to satisfy the requirement, so that it can be held back until a future delivery timebox.
Could have
Requirements labeled as Could have are desirable but not necessary, and could improve user experience or customer satisfaction for little development cost. These will typically be included if time and resources permit.
Won't have (this time)
Requirements labeled as Won't have have been agreed by stakeholders as the least-critical, lowest-payback items, or not appropriate at that time. As a result, Won't have requirements are not planned into the schedule for the next delivery timebox. Won't have requirements are either dropped or reconsidered for inclusion in a later timebox. (Note: occasionally the term Would like to have is used; however, that usage is incorrect, as this last priority is clearly stating something is outside the scope of delivery).
Employees are reacting more to unfiltered, authentic moments than perfectly designed content; Employees listen to peers rather leadership;
Storytelling is more important than ever; Messaging is more important than ever; Retention and brand awareness impact employee engagement
60% already Interact with bots; Automation should be top of mind
Learn from experts; create relationships with influencers
Employee content; Video engagement drives largest engagement
The biggest offender for these scenarios is when the business comes up with vague objectives like “enhancing collaboration” or “automating and improving business processes” and assumes that, by using these “positive” statements, it will provide the direction necessary for technology investments like Office 365.
Microsoft Stream: add quizzes & polls within the video playback
Videos convey a ton of information in a short period of time, and often you want to get feedback and insights into how people understand and interact with your content. Now, add quizzes, polls and surveys into Microsoft Stream videos through integration with Microsoft Forms to accomplish that two-way dialog. Whether it’s adding surveys for a recorded CEO town hall meeting, quizzes for flipped classroom videos or assessments for employee training videos, you can take advantage of this new interactive capability to make videos in your organization more engaging. The video will pause where you inserted the poll/survey, and then once filled in and submitted, the video continues playback right where it left off.

Microsoft Search (General Availability (GA) announced at //build 2019)
Microsoft Search is an intelligent, enterprise search experience from Microsoft that applies the artificial intelligence technology (AI) from Bing and deep personalized insights surfaced by the Microsoft Graph, to make search more effective for you, increasing productivity and saving you time – so whether you’re looking to find people, files, or conversations, complete a task, pick up where you left off, or discover answers or insights, it’s just a click away, across all of your applications, your desktop, and your browser.
Microsoft Search helps you complete a task, pick up where you left off, or discover answers or insights. It applies natural language understanding, AI technology and deep understanding of you and your work to make search more relevant and effective. And Microsoft Search is a unified experience everywhere you are-in the apps you’re already using including Office, Outlook, SharePoint, OneDrive, Bing and Windows to name a few. There’s also a new admin center to help you configure Microsoft Search settings across all your apps and services.

Record and upload videos with the Stream mobile app and share anywhere
Now you can upload existing videos from your camera roll or other online services like OneDrive, right from your mobile. And record new videos from within your mobile app in a secure, compliant way with the built-in video capture capability.
Now it’s easy to categorize a Yammer post as a question. Denoted by unique styling, questions help people identify general discussions from those that require a response. Once the question is posted, the author or any group admin can also now mark the best response as a best answer. This makes knowledge more discoverable. The collective knowledge significantly improves when communities offer places where people can get questions answered.

Tasks, tasks, so many task – some personal tasks that I assign to myself, some that others assign to me for broader team projects. Wouldn’t it be nice to see all my tasks in one view? Together, To-Do and Planner simplify work management by giving you the flexibility to use the best tool for the situation— Planner tasks that have been assigned to you will show up in a special Assigned to Me list. Simply activate this connection in your To-Do settings, and voila – task aggregation delight.
Notifications about your Planner task assignments in Microsoft Teams
Having a task assigned to you is one thing. Being notified of it is another. Now, you can get a Microsoft Teams notification when a Planner task is assigned to you by another person if your team has Planner installed and your plan has a tab in Teams; and you won’t have to leave Teams to stay on top of your work.
Note: Even if the task assignment action occurs outside of Teams (for example, in Planner for the web or the Planner mobile apps), if the plan has a tab in Teams, a Teams notification will be sent to the assignee.
