When you’re creating systems in your serviced based business, have you ever wondered if
what you’re doing is good, if you’re actually creating a system that is not just going to work,
but is going to pay you back for years to come? It can sometimes be a challenge to create
systems, let alone highly effective systems.
We have so much going on in our businesses with clients to serve, marketing matters to
attend to, keeping finances in check, managing our team, and planning for the longevity and
future of our business that we can sometimes get caught up in the rush of just getting
systems done, when really it actually may be better to hold off creating a system until
we can be fully “in the zone” and can dedicate some time to focus on it. After all, a half
backed system, is guaranteed to result in half baked results every time!
So, how do you know if you are creating a quality system, of just an average one , or for that
matter a below average one? Well, after many years of thinking about systems, creating
systems, implementing systems, measuring systems and improving and optimising systems,
I have come up with 7 habits that I believe contribute to making a highly successful and
effective system:
Habit 1: A highly effective system focuses on the steps to get from the start (the “what”) to
the finish (“the expected outcome”)
Habit 2: A highly effective system eliminates idle time, mistakes, unnecessary
movement, bottlenecks and downtime.
Habit 3: A highly effective system has supporting resources to allow it to perform to its
fullest potential. This includes things like checklists, templates, worksheets, scripts, software
or other tools.
Habit 4: A highly effective system should be demonstrated to the person performing it
for the first time so that any questions or concerns can be clarified.
Habit 5: A highly effective system must be based around delivering quality. If shortcuts
are taken and quality is compromised, the system will not meet the expectations of the
person receiving the results or benefit of the system.
Habit 6: A highly effective system should not take a long time to perform. It should be
simple in its execution in order to maintain the flow and to reach the outcome without
deviating, getting side-tracked, or interrupted.
Habit 7: A highly effective system should be able to be measured to identify if it has met
its expected outcome. For example it the expected outcome is to contact all new clients
within 24 hours of sign up to give them a welcome pack, and only 2 out of 10 new clients for
the month got their welcome pack in this timeframe, then there is an issue that needs to be
investigated to make the system truly high performing and effective.
The Wrap Up: If you can make these properties part of your everyday systems thinking and
