Assignment Title : Charity drive report
Lecture : Mr Chang Jau Ho
Submission date : 20th June 2014
Executive summary
For this assignment, we were split into different groups. Our group members
were: Tee Hing Nian, Lai Chun Feng, Lee Ka Hoe and Tan Wee Keat. In this assignment,
we were required to set up a stall during the charity drive event from 2nd June 2014 to
6th June 2014 in Taylor’s University Lakeside Campus. All the money earned must be
donated to charity organization which is rumah K.I.D.S. We were allowed to ask for
donations and sponsorships to raise our profits.
We decided to make cookies and breads as our main selling product for this assignment.
We added some new products like mango puddings and herbal eggs later on during the
charity drive event. The name of our stall was Fat Nian Bakery.
Objective
A) Rumah K.I.D.S is a home where orphans and children who are abandoned, abused,
and neglected are given shelter to them. Rumah K.I.D.S is a no profit organization. We
had chosen Rumah K.I.D.S as our charity organization.
Reason : 1) To provide a better place or shelter to the orphans and homeless children.
2) To provide better education for the children so that they can be full educate.
3) To provide more facilities such as transportation so that they can live more
easily.
B) Targets for our group
1) Earning a total of two thousand ringgit.
2) Sells a total of five hundred and thirty types of pastries.
3) Target one thousand ringgit from donation.
Target market
During the charity event most of the customers are students. When buying the product
they always choose the most reasonable product for an example if we sold the cookies
at three ringgit with is smaller size than the pastries which are four ringgit they most
probably choose pastries. Their spending power is very lower and we found that only a
few of student manage to buy more than two products from us. Besides that, our target
customers are at admiration offices which are adulthood or parents because they will be
more patient to know about our charity drive event and welling to pay higher price to
buy our product. Their spending powers are very high they bought a lot of products
which can up to five products and also donate a huge amount of money which is around
fifty for the charity drive event.
Competition Analysis
There are two main competition during our charity drive event which are breadpop and
cocojelly stall. The breadpop are selling black bread and popsicles and the texture of
black bread is look better. Besides that, when a person bought popsicles with them they
also can sell their bread to the customer which will affect our business. Therefore, the
cocojelly stall sold cookies and coconut jelly. Their strength for cocojelly is they sold
their product very fast which mean when we approach customers some of the
customers already bought their cookies and jelly and not welling to buy our product.
Product and packaging
The main product we sell is pastries and cookies. Our service during the charity drive is
grab and. We will walk around the campus with a tray which full of our product and sell
any types of customers. Our pastries are mainly sells during morning break time and
teatime. The texture of our pastries actually looks very nice the size of our pastries is
much bigger than breadpop black bread size and we sold it with reasonable price. For
the packaging of the product we used transparent plastic bag to pack our pastries so
that they can tidy and clean. Therefore, customers can see through easily what is the
product we are selling.
Pricing
In our charity drive event, we were selling the main product is pastry and cookies.
Therefore, we also sell our homemade herbal eggs and pudding to accelerate our target
during the charity drive event. In pricing, we sold our pastry for four ringgit each, for
cookies we sell it at the price of three ringgit besides that herbal eggs and pudding we
also sell it for three ringgit. For our pastry we get the supply from Just Bake and we
manage to get a special price from them because we are doing charity. They manage to
lower their pastry price as low as two ringgit each for a pastry and we manage to sold it
four ringgit for each pastry. Therefore, the total profit we sell a pastry is two ringgit. For
the products of cookies and pudding are sponsored by Tan Wee Keat while the herbal
eggs was sponsored by Tee Hing Nian, as a result there have no unit cost price for those
product. As we sell it for three ringgit the total profit we earn for cookies, pudding and
herbal eggs are three ringgit. The most popular product during our charity drive is
herbal eggs we manage to sell finish all the herbal eggs during morning around 11a.m.
Most of the customers were very surprise about what is herbal eggs and welling to try
the taste of herbal eggs. Therefore, the aroma of herbal eggs had attracted customers
especially, during break time around 10 a.m. Every day, we need to sell finish all the
pastries during the charity drive event because the next day we will get the new pastries
supply from our suppliers. During the evening around 5pm when we have difficulty to
sell our pastries we will make promotion which is two ringgit each pastries so that we
can clear of the pastries quickly and we discourage to store those reminder pastries. If
we fail to sell finish the pastries we will give out the pastries to some workers in Taylor’s
such as safety guard.
Promotion
Have a break have a bread is our slogan. When we were selling our product we will
shout out the slogan that we have make. Therefore, we also have another slogan call
shine the day that we have. The meaning of this slogan is whatever we have for today
we should share with those unfortunately orphan and children. Therefore, we also
promote our product in facebook with the slogan of have a break have a bread. Finally,
we also used poster to promote our product and conduct the message to people so that
they can help to us achieve our target.
Sponsors
Firstly, we chose to sell pastry as our main product in our charity drive. Just Bake bakery
shop is the first sponsorship by sponsors us pastries. The reason of choosing Just Bake
bakery shop is because their texture of the pastries looks attractive and their products
are delicious. Therefore, we also contact some bakery shop and make some compare
about their pricing and we found that Just Bake bakery shop gave us lowest price
compare to other bakery shop. Besides that, Lai Kwee Keong who is Lai Choon Feng’s
father also sponsor us five hundreds ringgit cash which help us a lot during the charity
drive event. At first, we contact Lai Kwee Keong about the detail of our charity driver
event purpose and he was quiet inserted about our charity event. After that, we send
the sponsorship letter to him and he gave us some good respond to us. Therefore, Tan
Wee Keat and Tee Hing Nian parents also help up in this charity drive event by providing
products such as cookies, herbal eggs and pudding to accelerate our target. Finally, we
also have a face to face communication about our charity event with Lee Ka Hoe’s father
who is lee Hock Chin when he comes to visit his son during our charity drive event. Lee
Hock Chin, had sponsor us three hundred and fifty ringgit cash during the charity drive
event.
Distribution
Early in the morning, around five we wake up to prepare charity drive event. One of our
group member who is Tee Hing Nian will go to Setia Alam to get the freshly bake
pastries from Just Bake. He also gets the herbal eggs from his house. Besides that, Tan
Wee Keat will get his fresh bake cookies and pudding from his house. We gather at
taylor’s lakesides around 7a.m and started to sell our product by walking around
Taylor’s lakesides with a tray with full of our product. Places that we deliver our product
the most in Taylor’s lakesides are architecture studio and engineering work shop
because most of them stay overnight rushing their assignment and it is more easy to sell
our product to those” hungry man”. Therefore, we also quick frequently sell our product
at student life center and admiration office because the customer and those places are
parents and they are more patient to know what charity event we are going on. Around
2pm we will went to Taylor’s collage and Inti which located at SS15 to sell our products.
The sales of our product at SS15 are better than Taylor’s lakesides because fewer
competitors at SS15 compare to Taylor’s lakesides. During the charity drive event, most
of the money we get it by selling our product. We discourage customers donate money
to us because it will affect the quantity sales of our products especially pastries.
Green measurement
During our charity drive event we did not sell any environmentally product because we
are selling foods but we also have do some environmentally activity. For an example for
our packaging of our product we used high quality of plastic bag which can be decay to
pack our product. When we are selling our product we strongly refuse to give extra
plastic bag for customers and we will suggest them to keep our product inside the bag.
Therefore, after charity drive end we will start cleaning our stall and dispose the rubbish
according to the right rubbish bin. Besides that, we also return back the boxes that keep
our pastries to the bakery shop so that they can reuse it again. We also did not use any
electrical product during the charity event and obviously there have no any electrical
wastage from our groups. Finally, we used all in one receipt book which did not require
any carbon paper when writing a receipt to our customers.
Human resources planning
For our Human resources plan, the highest rank is our leader which controls all the
activity during the charity drive event. Therefore, we also split into two categories which
are assistance leader and accountant. In assistance leader which is the helper of leader,
the role of assistance leader is to control the lower categories peoples and make sure
the charity drive event goes smoothly. The lower categories of assistance leader are
designer and sales executives. For designer, he needs to update the pricing of the
product and design it on the poster and always make sure that the stall are decorated
while the sales executives need to report the daily sales result and give some suggestion
to improve the sales of the product. Besides that, accountant needs to do the
accounting part for the charity drive event. Therefore, accountant also need to make
sure the safety of the money and write the receipt to the customer while the lower
category for the accountant is treasury which counted the money after the charity drive
event end and report to accountant.
Evaluation and result
After finish five days of charity drive event, we manage to fund a total of two thousand
from the sales of our product and successfully fund a total of one thousand one hundred
and sixty four ringgit from donation and sponsorship. Therefore, there have some
deduction from the expansions such as cost of goods sold which is nine hundred and
eighty ringgit while and operating express which one hundred and eighty four ringgit.
The total of one thousand one hundred and sixty four ringgit was refunded to our group
member. As the result, we successfully fund the total of two thousand ringgit cash for
rumah K.I.D.S. After, finish this charity event we were so grateful because we had done
a good deed and we also promise to each other that if future there have any charity
drive event we must do it as the same group again like today. During the charity event,
there have some mistakes which are we did not plan well when ordering products which
causes the over flow of product. Besides that, we also give too much of promotion
during the charity event and cause some people take advantages from us. In the future,
if there have any charity event we will try to sell beverage because the costs of pastries
are too expensive and cannot store for a long time. Therefore, we also observe that
beverage have higher sales during the charity drive event and it can be sold easily in any
corner of Taylor’s university.

We discourage customers donate money to us because it will affect the quantity sales of our products especially pastries. Green measurement During our charity drive event we did not sell any environmentally product because we are selling foods but we also have do some environmentally activity. For an example for our packaging of our product we used high quality of plastic bag which can be decay to pack our product. When we are selling our product we strongly refuse to give extra plastic bag for customers and we will suggest them to keep our product inside the bag. Therefore, after charity drive end we will start cleaning our stall and dispose the rubbish according to the right rubbish bin. Besides that, we also return back the boxes that keep our pastries to the bakery shop so that they can reuse it again. We also did not use any electrical product during the charity event and obviously there have no any electrical wastage from our groups. Finally, we used all in one receipt book which did not require any carbon paper when writing a receipt to our customers.
  • 7. Human resources planning For our Human resources plan, the highest rank is our leader which controls all the activity during the charity drive event. Therefore, we also split into two categories which are assistance leader and accountant. In assistance leader which is the helper of leader, the role of assistance leader is to control the lower categories peoples and make sure the charity drive event goes smoothly. The lower categories of assistance leader are designer and sales executives. For designer, he needs to update the pricing of the product and design it on the poster and always make sure that the stall are decorated while the sales executives need to report the daily sales result and give some suggestion to improve the sales of the product. Besides that, accountant needs to do the accounting part for the charity drive event. Therefore, accountant also need to make sure the safety of the money and write the receipt to the customer while the lower category for the accountant is treasury which counted the money after the charity drive event end and report to accountant.
  • 8. Evaluation and result After finish five days of charity drive event, we manage to fund a total of two thousand from the sales of our product and successfully fund a total of one thousand one hundred and sixty four ringgit from donation and sponsorship. Therefore, there have some deduction from the expansions such as cost of goods sold which is nine hundred and eighty ringgit while and operating express which one hundred and eighty four ringgit. The total of one thousand one hundred and sixty four ringgit was refunded to our group member. As the result, we successfully fund the total of two thousand ringgit cash for rumah K.I.D.S. After, finish this charity event we were so grateful because we had done a good deed and we also promise to each other that if future there have any charity drive event we must do it as the same group again like today. During the charity event, there have some mistakes which are we did not plan well when ordering products which causes the over flow of product. Besides that, we also give too much of promotion during the charity event and cause some people take advantages from us. In the future, if there have any charity event we will try to sell beverage because the costs of pastries are too expensive and cannot store for a long time. Therefore, we also observe that beverage have higher sales during the charity drive event and it can be sold easily in any corner of Taylor’s university.
