Some background information on our Procurement Operations as they relate to contracts. Contract Volume AveragesNorth America - 395/quarterInternational – 165/quarter26 FTE’s creating and sending contracts for signature - 20 are in North America Some contracts are negotiated others are standard Adobe templates that are completed through a self services process Over 75% of buy side contracts are now signed electronically through EchoSign. This # is increasing asEsignature acceptance grows globally. Our Legal team has done research and preset some of our standard contracts to allow for esignature. Our highest volume is in this standard category.For non Preset contracts – a simple 3 step process is followed to determine eligibility for eSignature.
Old Process - Contract created and emailed out to supplier for signature. Supplier follows email instructions to sign, Scan and email or courier contract back to Adobe. Contracts Admin prints and/or presents the contract to the Adobe signatory to sign. Once fully executed the contract is scanned and filed in the System. Tracking in Outlook is cumbersome and time consuming.New Process – Contract is sent for signature in EchoSign. Supplier receives email and clicks the link to approve. NO special account or login required. Super Easy, click sign and Send! Adobe Contracts Admin receives notification from EchoSign and delegates signature to the appropriate Adobe Signatory. Adobe Signatory clicks the email link, signs and sends. Contracts Admin is notified with fully executed PDF, as is Requester and Supplier. Contracts Admin uploads contract in Contract Management system or Some fully Automated contracts are auto loaded into the Contract Management system, NO Contracts Admin filing required. Contract Tracking is Super Easy and Effiecient- Contracts out for signature ,returned etc, are all tracked in EchoSign and it is super easy to send Reminders. Easy to see what is outstanding. Virtually impossible to lose a contract through this process. Improved PO turnaround times – 70% of our PO’s are issued in 5 days or less
