Status update by the Head HR HR in consultation with Marketing and Legal All employees through their Ids; Bulletin Board and extranet 4. Verbal message HRD From Help Desk operators (Employee Care Group) to bereaved families (verbal) From Help Desk (Employee Care Group) operators to families of safe Employees (verbal) 5. Donation message HRD From the CEO/ Operations Head to employees 6. Obituaries HRD & Marketing Postings: Internal announcements and Obituaries in the newspapers Transport Breakdown / Traffic Jams Timelines Activity 0 hours Alternate Vendor to be informed / Arrange for extra vehicle 0 hours Analyze back-up situation and Identified backup to carry on process 0 hours Transport coordinator to inform employees at home about the delay in transportation 0+1 hours Vendor to activate existing/Alternate routes 0+1 hours Van drivers to call transport coordinator in case of help required regarding pickups 0+2 hours Stranded Employees to be brought onsite/Alternate site/transferred safely to home 0+2 hours Resumption of process by the dedicated employees 0+6hours Transport Coordinator needs to stabilize the alternate route/Vendor/ Vehicle as the case may be 0+24 hours Transport coordinator to identify the root cause for breakdown and key lessons learnt has to be captured in the document 0+24 hours Resumptions of normal transport services with primary* vendor by resolving all issues 0+48 hours If primary vendor does not resume services finalize alternative vendor as Temporary* Vendor 0+ 5 days Finalize the second primary vendor * Primary vendor is defined as the company that provides transport on permanent basis. * Temporary vendor provides transport for a limited or defined period of time (e.g. Taxi’s,).
