Call for change
As a global professional services business,
Accenture houses more than a million
contracts in its records system, with thousands
being added every month. In the course of
doing business with clients, Accenture client
teams agree upon numerous additional
contractual and non-contractual records
that must be captured and retained per
company policy.
Historically, these records were stored in
technologies available at the time: local
repositories and document management systems
positioned in multiple contract locations. As
commercial software offerings matured and
became more widely available, Accenture’s Legal,
Finance, Global IT, and Geographic Services
teams worked together to deploy a modern
enterprise contract management solution.

Single system,
single process

The commercial solution provided the
functionality Accenture needed and also
enabled us to move all client contracts
into one central system, which we named
Manage myRecords.
Deploying Manage myRecords involved migrating
all of Accenture’s client contracts to this central
global repository and building integrations to other
systems. All the applications draw on a common
data lake. To better fit Accenture’s specific needs,
our project team built a custom front end.
Centralizing all contracts to a single repository
enabled us to shut down all other repositories.
This important step made an enormous positive
impact, most notably in simplifying the contract
process. What used to be a multi-step process
to store a record has been reduced to a single
process with a single system. This change
eliminated days of going through an involved
contract posting process. It also reduced
redundancies and enabled contract life cycle
steps to be standardized.

A new system
of record
Highlights include:
Manage myRecords captures contracts and other business
records to simultaneously support the sales booking
process and compliance with Accenture information
management policy.
It is the “system of record” for all of Accenture’s client contractual
and non-contractual records. As such, it provides “a single
source of the truth” regarding contracts.
Users are now able to work from one location simultaneously—
and have one system where contracts remain and are available
at any time. Individuals can easily view at-a-glance progress
updates as well as contract families. Record compliance and
governance have also been streamlined.
