Electrolux Intranet launched social and communities as a work practive already in 2010, empowering all employees to comment, like and share – at that time on IBM Connections. Workspaces in sharepoint has been a work practice since 2007.
When making the Intranet the enabler in the digital workplace, we focused on user scenarios picked up in focus groups and by interviewing 130 people in all sectors and functions.
A big part of the transformation, was to migrate CMS content and 3000 workspaces, coordinating stuff with some 1000 workspace owners.
The Intranet start page is search driven. All content is personalized. CMS content, managed by editors are news, crossings, videos, events and leadership blogs. Documents, social (Yammer) and workspaces is coming from own activities in Office 365. It supports employees in 19 langauges.
The search is personalized and powered by machine learning, picking up relevance from the Office graph.
Create, share do menu is there to simplify the daily work; like sharing a file, post into Yammer, write a blog or to manage what CMS content to follow on own start page. CMS content is managed in editorial pipeline. Assigned leadership bloggers have a shortcut to publish blogs. All employees have a link to create personal blogs (in Delve).
Editorial pipeline is the there to simplify all CMS activities – planning, publishing and following up on stuff. Shared calendar and statistics is used a lot.
We support the business in learn eGate workspace (public) and editorial learning center (private) with guidelines, instructions, news and Yammer for Q&A:s and knowledge sharing.
Our Digital Workplace Governance Board meet monthly, with representatives from IT, HR and Communications. The Intranet main objectivs is to support our strategic priorities; becoming more productive by working smarter and supporting our ways of working approach called Teamship.
In change management, our story telling always connects to these strategies. The productivity piece in itself opened many doors when building awareness for the new Intranet. And it helped a lot that the launch was done together with launching Office 365, with the Intranet as the enabler.
Launched in December 2017, our Intranet suffered many issues the first 4-5 months. To sum up, we underestimated all dependencies in Office 365 that has a negative impact on the user experience. To mention a few; Sharepoint indexing issues, slow and not consistent reponse time from Sharepoint, Microsoft graph not delivering quality data and login issues.
We formed a program steering in April with members from Communications , IT and the business. Stake holder management along the way has been key. A global survey with input from close to 4000 employees, and two focus groups with EMEA and North America gave us useful insights what needs to be improved.
Highlights from the survey: 27% of our employees use Intranet less due to bad performance. 21% use it more, despite bad performance. They experience the Intranet as the enabler in the digital workplace.
We now start to see positive results from all activities. The get well plan ends in October. Continous improvements, with focus to get even beter, kicks in.
Delivering 1st class user experience and change management is not a project, it is a journey that never ends.
By having relevant KPI:s and a shared dashboard, anchored with our Digital Workplace Governance Board and Group Management, will help us leverage.
