- Good morning everyone, thank you very much for joining me on my webinar today. We will be discussing about Vaultastic, Email archival solution. So basically, Vaultastic is a simple email Archival, Compliance, Ediscovery and an email Backup solution. And for mainly solutions like Office 365, G Suite, Zimbra, Microsoft Exchange and many other email platforms that are in the market today. So to start off with, what exactly is email archiving? It is nothing but keeping a read-only copy of every mail sent and received by your users, by your employees in a separate email vault, to be able to be retrieved at a later point in time. Here we will be discussing what the market trends are today when it comes to data, when it comes to emails. 60% of business critical information like your approvals, your contracts, your quotations etc, they are all stored exclusively in email, because you know you can find it at any given time. 4GB is the average annual growth in a user’s archive account. 4GB per user. 126 messages are expected to be sent and received on an average, per business user per day, but this is by the end of 2019. This is what Radicati estimates. So basically a 200 user company will accumulate more than 1 TB of data in 1 year. So 1 TB of data for a 200 user company is going to increase per year and this will keep growing year after year So then why are we looking at email archiving? First, it is a digital economy today. Data is so much more valuable than ever before, as you can see with many companies and with many other employees, who are looking to, or who have all their communication kept only on emails. To keep your business email safe on the cloud, we look at email archival solutions. Again as I have mentioned earlier 60% critical data is stored in email, so you have to have an archival where you’ll be able to uncover information, lost thoughts probably and valuable data. Things that have been lost for quite a while and you don’t know where it is, you’ll be able to search through it on your archive. This is a very important aspect. Managing Risks and ensuring compliance is critical to a disruption free business, which means that any time you lose an email, basically you lose a lot of things with it. You lose your reputation, you lose your business continuity and there are chances that you lose your business itself. There have been instances where people have lost complete businesses, because they were not able to retrieve emails which they were supposed to for compliance purposes. Which is why archiving emails is a very very critical requirement. Why do you have to archive email on the cloud? Mainly because the older methods like backing up as PST’s, putting it up on your servers, using pen drives, using tape drives. These were all the previous versions of archiving email and these have run their course. They are a complete drain on productivity because you do not get what you’re looking for. Companies have such massive amounts of data that they are unable to search for important data quickly, so archiving email on the cloud would simplify your email management. Archiving it on the cloud, gives you very very very good durability, security and encryption, which will actually help you to keep your business continuity. Now, when we are looking at migration of large volumes of data, it is dependent upon many factors, the most important factor is your vendor. Your email vendor is what I am trying to say. Your email vendor would try to lock in your data and would not allow a quick migration, because, of course, they do not want to lose you. So migrating huge amounts of data is going to be quite slow, first. Second, it also depends on the internet speed you have, it also depends on the power availability etc. So once you archive it on the cloud, you have access to all that massive information at one location. At a separate location, from where you can download all this huge amount of data. So you can access your archive email during outage, during downtime and during migration as well. Archiving email improves your service performance. How does email archiving work? In simple terms this is something that everyone knows, but I will just go through it. This process that we are talking about is mainly in reference with Vaultastic. Here the user, the end user, whoever is your employee will send and receive emails which will obviously go through the primary mail setup. The primary mail setup could be Office 365, Exchange, G Suite etc. once a copy passes through the primary mail setup, of course it goes through the internet to the intended recipient but at the same time a journaled copy is created and it is sent to the archival vault, that is Vaultastic Email Archivial Vault. Once in this vault, the end user can access it through a self service portal and download a PST if required. The same way, the access can be given to an admin through the ediscovery portal which allows them to track all the information, or all the emails that have been received by the whole organisation. They can again download multiple emails as PST for compliance or for any purposes, for analysis, for business intelligence etc. Now why should you archive emails on the cloud? Cloud itself offers you a complete, separate infrastructure with very very good uptime. So you have your data physically in a separate location, in a safe location. It is a very robust, very high performace, scalable platform, so unlike what you have on premises, or what you have with local vendors, with cloud you get a very robust, a very high performance and scalable platform. So with scalablility, what you get is, in case you have a requirement for an immediate peak in your incoming or outgoing email, cloud is able to accommodate that, unlike the local solutions that you have. This is one of the biggest advantages of having it on the cloud. You get very very good data durability which is 99. 11 times 9 percentage of data durability which ensures that your data is never lost. This is a very obvious and a very old well known factor. No infrastructure, so you don’t have to keep somebody to maintain data, to do your checks, you do not have to put up a whole system, a data center, power connectivity etc. So basically it is zero infrastructure. Finally we come to why Vaultastic? Like I have already mentioned, Vaultastic is an Email Archival, Backup, Edisovery solution for mailing platforms like Office 365, G Suite etc. So Vaultastic is a True SaaS Solution which means you pay only for how much you use or for how long you use, so it has a pay as you go model, which means that essentially only for the amount of users and only for the duration of time that you are using, you only need to pay for that. This allows your data to be very very safe and very very secure at the same time. Alright, now Vaultastic, the way it is made it allows or rather it takes advantage of the inline email archiving feature which means that as soon as a mail is received or sent, a copy is made alright, so we are not downloading or we are not uploading information, at the end of the day. We are not uploading information when there is net connectivity. We are doing it immediately in real time, so there is no chances of mail loss, so at any given time you will always find your archived emails every mail that has been received or sent irrespective of what the conditions are, a copy is sent and archived with Vaultastic. The best part is that it works with multiple platforms, it works with Zimbra, Lotus Notes, MDaemon, Exchange, Postfix, Office 365, G Suite, on-premise solutions and all kinds of cloud solutions as well, alright so what this allows is that if any organization has multiple email platforms they can easily have all that information stored in one location. Additionally as a partner you get to sell this product to all your customers so you do not have to focus on a specific set of customers, you have Zimbra customers, you have Office 365 customers, you have Exchange customers, you can sell it to each and every person so this is an added advantage for you which I will be covering later. This is the biggest aspect and the biggest feature of Vaultastic for all the users out there. We have multiple plans for live as well as static archival for all the live archival planswe offer infinite storage, which means that irrespective of the amount of emails that come in or go all your mails are archived irrespective. So we do not have an FUP or we do not have a cap, all the Mail's that you receive are archived, as simple as that. Each and every email and you know emails that you think are important, are not important, everything is archived because we are offering you unlimited storage alright, so you as an end user do not have to worry. You as a company or an organization does not have to worry about the storage getting full or the storage, you know, you're having too much of a mail flow so your storage is going to get consumed nothing of that sort, we offering you unlimited storage. Again this is one aspect that no other mailing solutions or sorry no other archival solutions out there in the market offer you. easy data in easy data out very simple. With Vaultastic of course all your data goes in, in real time like I've mentioned so now we're talking about unlimited data so you will have TBs and TBs of data which would be archived with Vaultastic. Now how do you get all this information out right because if you have TBs of data and even if you have a really good you know internet connectivity with full time servers running it would take a very long time to download all this information if it is required for some kind of you know compliance or for any reason alright, so Vaultastic in coordination with Amazon Web Services, we offer you a service that's called AWS Snowball. It is basically a device very you know a shock proof, tamper proof and an encrypted device which would download all your emails or all your data into this physical hard disk and that hard disk will be shipped to your office location. This is something that nobody out there in the market offer. Alright so you basically get to dump all the information, all the email that you have into a hard drive and you can get that hard drive shipped into your office location, simple. Now another aspect to cover along with that is let's say individual users need to download their information alright so they did not have to come down to the IT team and ask for the information or raise a ticket or whatever. Individual users can be given their own login and all they have to do is just export all the data in a PST format so they can download the complete mailbox but of course that is then dependent on the internet connection, depending on the speed of the internet connection the PST would be downloaded. So this is for individual users, we are talking about each each specific user alright, so, but in case of bulk download you can probably do a bulk download yourself through the admin portal. If that is going to take a good amount of time then you can go in for or you can choose the AWS snowball option which would allow you to dump all the emails on to your physical hard drive and get it shipped to your location. Again we have multiple plans to ensure that you do not, you are not restricted to choosing a single kind of a plan for every user. So basically in any organization, there are various levels of employees, some are juniors, some seniors some are tech lead, some are from the top management alright and of course you also have ex employees alright. Now with major solutions, major email archival solutions out there in the market you have just one plan wherein you are able to archive everything and that's it. With Vaultastic we have separate plans alright, we have a plan which comes with one year attention alright which is a basic plan. We have another plan which comes with seven years worth of retention and finally we have a plan which has a forever retention policy alright. So depending on the mail requirement or the archival requirement for each kind of user within the organization, we have separate plans. And we of course have a very very important feature called ediscovery alright, what does ediscovery do? ediscovery lets you search through all the information that you have on your account alright or within your organization. It has a very powerful indexed search across all the email archival mailboxes alright, so you can find any information, so irrespective of how or you know irrespective of whose mailbox it is, irrespective of how old it is or how vast it is, you can easily find that information directly through ediscovery. Of course now another factor or another added feature or you can say an added outcome of ediscovery is the fact that you can generate patterns alright, out of all the emails that you've gotten you can generate patterns, you can gain insights and of course that will help you drive decisions further as to you know what has to be done in future cases, for example you can get patterns of emails being sent within the finance team, within the sales team etc alright. Again another added advantage of having ediscovery is the ability to respond to compliance requests instantly alright, so which essentially means that if there are certain mails that need to be retrieved for compliances alright maybe you have an audit going on, maybe you're getting yourself you know certified, for all these requirements you would want emails to be searched, you can directly immediately do it through ediscovery, download those emails and present it to the person who requires them alright. So just to give you an example of how ediscovery is quite powerful alright, so we can okay now let me just take you through the live archival window that I have alright, so this is my live archival portal alright, so you can see that in this it says rajesh@mithi.com okay, I am directly logging. Here you can see that all my emails that have been archived would be found out here alright, let me just enter the details. Here you can see, so this is my live archival portal alright, so which means that all the emails that have been archived till date are visible out here. So we have two folders, one is an inbox, one is a sent item. In my inbox you will see all the Mail's that I've received, in fact the latest mail that I have received is at 11:30 a.m. alright, which is hardly half an hour back alright. It's a system generated email that you can see it for yourself. So this is the portal that every user can have access to, of course this access can be disabled by the admin, but it would be easier. So this whole solution has been created to make people's lives easier, including the IT or the Admin Team alright, so if you wish, if you are a big company maybe with 1000 users or 1500 or 5000 users you are not going to be able to you know search mails of all these users. All you have to do is just log in or give the login ID password to the specific user and they'll be able to see only their emails, they won't be able to see anyone else's emails alright, so this is my email portal my archival portal, so once I click on each mail alright, so this looks like any other webmail solution that you have. I click on the mail, I can see the contents of each mail, if I wish to I can reply from here, I can reply all, I can forward and forward this mail as an attachment. This is in case we have a requirement for compliances alright, you can also download the email and you can also print a copy of this email. Now this is a specific email that I'm talking about, a single mail that can be downloaded. If you want to export all the mails all you have to do is just click this button out here, it allows you to export the contents of the whole folder as a PST alright and this is all. It's a very very simple interface alright, it just shows you all the mails that are archived, you can download it, you can send it, you can forward it, simple. So you have your inbox and finally you have your sent items. That is how simple this product is. Now you want to search for a mail, you can type here I say okay I'm not searching in the inbox I'll be searching in the inbox itself, so when I do a 'Dhananjay' search I should be getting something. So this is a simple search alright where if you do not remember what the mailcontents were, if you do not remember what exactly it is that you're searching for, you can just directly put in those details and you can do a search. So all the emails with the word 'Dhananjay' mentioned anywhere, it could be in the subject line it could be in the you know email, it could be in the body, anywhere, all those mails would pop up out here. Like I said, we are looking at two types of search, one is your simple search, the other is something called as the advanced search, so the advanced search allows you a demo within 10 to 15 minutes that is all that is there to discuss with the customer. And once the customer is convinced they immediately purchase it or they keep it in their mind that there is a simple solution for their archival needs which makes it very much easier, because there is nothing else to explore right. So it's a very simple solution, the outcome is that you get a very very easier and a much shorter sales turnaround time alright so again we are looking at upsell and portfolio diversification. This is of course just an add-on in each case that you have a good list of solutions that you are selling, you can just add one more very simple solution to it saying that ok you know what I am selling one more solution, it's an archival solution, it is simple alright. Additionally it's also an upsell opportunity which means that if you already have 50 to 60 customers using different mailing solution you can go back to them and tell them sir I have a wonderful new solution for you, this is how it is and you go through the whole process and like I said the customer once they're convinced it's a matter of a few or a very short duration before they convert alright. So again your efforts, you're not putting all your efforts into convincing it's a very simple product. Anyone who understands the value with the features and the pricing that we give would easily go in for this alright. Again this is the best part about signing up with Vaultastic, you are not required to give any kind of support alright, so as a partner unlike what you do for current solutions, you do not have to deploy, you do not have to give support, you do not have to do anything, all support and service activities are executed by Mithi Software. Iwill be training, me pers o be very specific in your search, so right now I'm using the same word 'Dhananjay' in the sender field, you can also search by the recipient field to cc, you can also search by keywords, if you remember anything in the subject line maybe it's a report, maybe it is you know quotation, anything of that sort and finally something in the message line alright. If you remember the approval whatever is the text that you remember you can search for those words and you can also search with date ranges, this is what makes it very important. This is what makes Vaultastic very you can say very simple and a very effective solution. So if you want to search from 1st Jan, I wouldn't say 2017 let's say 2000 onwards alright. Let's say it's 1st Jan 2002 to 1st September 2017 and we are searching for a mail which has 'Dhananjay' in the sender alright. The source should be much faster. I will also take you through the admin panel, so the admin panel basically of course shows everything that the admin have, you have all your admin console, but most importantly what I would like to show you is the ediscovery like I mentioned out here, the ediscovery sample cases wherein you want to see all the mail's sent by Rohit over to an externaldomain and which contains a PDF alright. Now okay, now coming back to the search results as you can see everything with the word 'Dhananjay' in the mail or in the from ID that is the recipient ID alright. The recipient or the sender ID, everything, with the words 'Dhananjay' pops up. What can you do, you can download all these emails. This let's say they're approximately ten emails, you can just download these ten emails directly as a PST or as an EML. It's that simple. Fine, so this is how the advanced search function works. Now coming back to ediscovery, see out here you can search for very very specific emails alright, now for example let's say 'show me all mail sent in April to this domain' okay so I have a few emails, so if I do a from rajesh@mithi.com, it will show all the emails that have been sent by me to people outside the domain alright. Now if i say from Rajesh and April 2017 which essentially means from Rajesh that have been sent only in the month of April you can see it starts with 29 April and it would go all the way up to there'll be a very very long list so I think we'll take quite a while to upload alright. So here you can have anything you can probably have Jan 2017, it will show the list of all the emails that were sent in the month of January alright, so you can see that you know it starts with 4th Jan and it ends at 24th Jan, I've sent very few emails during the month of Jan, so yes that is why I showed you Jan alright, so this is how effective the self-service or sorry the ediscovery feature is alright, so now let's say you want to see all mail sent in the month of April to a specific domain or probably we can search if I have sent out any PDFs alright, so you can see all the emails that have PDFs in them, now why is this important? now let's say you're looking at some kind of information that has leaked outside your organization and you know it has gone out in the form of either a PDF or a document or an excel sheet or whatever alright, so you know something has leaked out of this. Some information some very critical information has leaked out of the organization, how do you search for it? You can search for that information directly through this discovery portal alright, so this is what I said that if you are unable to search for the specific email, you will you know you're going to lose a lot of business, you're going to lose a lot of reputation, everything alright, so this is how ediscovery is going to help your organization, you know, get all the information that you need. It's a very very powerful feature it's you are able to search through everything, now we spoke about Rajesh, now let's put some other person in the picture let's say Mr. Rohan alright, It says zero results, which basically means Rohan hasn't sent any email alright. So let's try, so which technically means Rohan hasn't sent out any email in the form of a PDF. rohan@mithi.com know that I'll have to put someone else's email ID out here. So in this way, you can search for all kinds of information that have been archived all through all your emails alright. Now the title of today's webinar was how do you earn more with less effort through Vaultastic alright, now to start off with what we will be discussing about the partner program is the fact that we have a potential all right so here Radicati, which is an online you can say survey company alright. They have estimated that by 2020 there would be three billion mailboxes worldwide okay, of which a huge majority is going to be corporate or business mailbox, you can see that on a day to day basis we have multiple startups coming up, out of those multiple startups you have many of them going on to become big unique companies. You can see in many of them turning into a really really big organization, so the total number of mailboxes that are going to be there would be approximately three billion. Now assuming even 70% mailboxes are corporate mailboxes, we are looking at a total of 2.1 billion users okay, that is approximately 2000 million mailboxes. Let us say that even if we have to capture just 1% of this market share, I am NOT talking about 10, 15, 20, I'm not talking about a huge number. I'm just talking about the bare minimum, I'm just talking about 1% we are still targeting 21 million mailboxes alright, so we are looking at archival 421 million mailboxes. Let us say as a partner you even capture 0.5% of this, you still have a really good amount which is more than 10 million, yes, so this is the kind of potential that we're looking at for archival because as we go further, first of all everyone is moving to the cloud, secondly archiving emails is going to be a very very serious business alright. It already is for many companies, for whom government has dictated that you have to you know maintain an archival of the emails, but for companies who are coming up, now they are finding the need to have an archival system separately. So we are looking at a boom in the archival sector as well. So finally how are you going to earn more with less efforts? like what does Vaultastic have that would you know allow you to earn more with less efforts? what less efforts are we talking about? First is the fact that the pricing and the plans that we have is unmatched by anyone alright, secondly we are hosted on AWS Amazon Web System, whose cloud solution as on date is much better than Office 365, sorry, much better than Microsoft or even Google alright, so you're having your archival on a solution, on a cloud platform which is essentially the best in the world today alright, so in that sense you are having or your customers would not have a problem and plus they get to keep a physical copy separately, so you're again becoming independent of the vendor. You are getting to separate your data from the vendor itself, so tomorrow for your customers if they want to move from Office 365 to a different mailing solution they can immediately make the shift. They do not have to worry about all the mails getting downloaded or migrated or anything of that sort with Vaultastic right, so Vaultastic since its platform independent and works with many mailing solutions you have a much larger target audience. As you've seen, the solution is very simple alright, there's barely anything to understand, there is nothing to deploy, there is nothing that you have to do that is very complicated alright.
