Facilitator Guide for a Business Administration Session

  1. 1. Introductions Facilitator Guide: Icon Description of activity What are your expectations? Time Allocation 20 Minutes Write them and display them. At the end of the session check that the learners’ expectations have been met. Ground Rules 20 Minutes Write them down and display them. Establish the penalties for breaking the ground rules Ice breaker: Take What you need 40 minutes A roll of toilet tissue is passed around the room. The learners are asked to take what they need. Once everyone has “their supply,” the group is told that they are to tell as many things about themselves as they have tissue squares. The facilitator needs to ask the learners to write their names on the tissues and place them on her desk. The facilitator will pick up each piece of tissue and count the squares and as the learners to say as many things about themselves as the number of squares that they picked up. Count the leaners aloud, allocating each one a number; 1, 2, 3 and 1, 2, 3 and 1, 2, 3, and 1. Ask all the same numbers to get together. Tell them that they are a group. They must choose a group leader They must have a group name They must discuss and write on a flip chart their mission, vision and goals They must choose a war cry, which has sound and movement and later present it to class Whenever they give an answer they must first say out their war cry otherwise they will lose points. 40 minutes Let’s take a tea break 15 Minutes Tea break will be 15 minutes only. You are late; you sing and dance. Your group also loses points.

Monitoring and Controlling office supplies 5 Minutes Discuss the outcomes of the unit Pictures of office supplies 20 Minutes Ask the learners to supply their own examples Ask the learners to define office supplies In their groups ask them to explain the use of each office supply Ask the learners to define consumables. Give them your own definition Give the group a flip chart and ask them to classify the products between consumable and non-consumable Controlling and Monitoring Office Supplies 20 Minutes Group Discussion 40 Minutes A comparison of how to manage sugar. One house the sugar is just there for anyone whenever they need it. It is neither managed nor controlled by anyone. In the other house the sugar is managed and controlled. Tea is made in a pot for everyone. Ask the learners to compare the two systems of managing the sugar What will happen as a result of the systems that are used by the two households? Do a group discussion and present on the following on the flip charts: What mechanisms to put in place for house A in order to control and monitor the sugar Show the learners the video (1): How to cut costs in the office. Ask the learners to come up with remedial action if their systems do not work. Managing Office Supply Levels Discuss the sugar example Ask them to recap on their mechanisms of controlling and monitoring the sugar Now ask them to think in the context of a workplace. We will look at the following: Policies Procedures Process 1 Hour
  3. 3. Look at the office supply ordering procedure. Show the learners a video (2): Office order process Give the learners the case study Ask them to come up with their own office supply ordering (internal as well as external) Give them a flip chart to draw a process flow diagram of ordering office supplies (internal and external) Do a role play where the procedures that you listed are not followed and what is the impact on the organisation. Ask the learners to complete assignment 1 30 Minutes Tell them: To write clearly Use either black or blue ink Pencil is not allowed even if it’s a diagram Lunch Break 30 Minutes Ask the learners to take the lunch break Lunch is 30 minutes. You are late, you sing and dance. And your group loses points Maintaining office Equipment 5 Minutes Discuss the outcomes of the unit Pictures of office equipment 20 Minutes Ask the learners to supply their own examples Ask the learners to define equipment In their groups ask them to explain the use of each office equipment Ask the learners to explain step by step how each equipment works Give them your own explanations Give the group a flip chart and ask them to choose one equipment and explain its use and how it is used Show the learners the video (3): The cheapest used office equipment And video(4): How to use a fax Maintaining the Office Equipment Look at the 5 W Why do we maintain equipment? Who maintains the equipment 20 Minutes
  4. 4. What is done or what is maintained? When is it done? Where is it done? How do you communicate defects? Group Discussion 40 Minutes A comparison of two work environments. One office is neatly arranged and there are no hazards to the employees. The equipment is clean and well arranged. The other office, the equipment is haphazard. Wires are lying around everywhere. The issue of OHS Ask the learners to compare the two offices and how equipment is used. What will happen as a result of the way the employees are working? Do a group discussion and present on the following on the flip charts: What mechanisms to put in place for office A in order to use and maintain the office equipment effectively Ask the learners to come up with remedial action if their system do not work Training on Use of Equipment Discuss the 2 offices example Ask them to recap on their use and maintenance of equipment Now ask them to think in the context of a workplace. We will look at the following: Policies Procedures Process Look at the equipment manual of use. Give the learners an example of a manual of use for one of the office equipment Ask them to come up with their own policies and procedures on using office equipment Give them a flip chart to draw a process flow diagram of maintaining the office equipment of their choice. The diagram must include cleaning, storage, servicing as well as use Show the video (5): Office ergonomics safety 1 Hour
