• The word “communication” derived from the Latin word ‘communicare’ that means to impart, to
participate, to share or to make common.
• It is a process of exchange of facts, ideas, opinions and as a means that individual or organization share
meaning and understanding with one another
• American Management Association defines, ‘Communication is any behaviour that results in anxchange of
meaning’.
• Newman and Summer Jr. state that, ‘Communication is an exchange of facts, ideas, opinions or emotions
by two or more persons’.
• Communication had a vital role to play in ensuring that people belonging to a particular country or a
culture or linguistic group interact with and relate to people belonging to other countries or culture or
linguistic group. Communication adds meaning to human life. It helps to build relationship and fosters love
and understanding.
4. • The term business communication is used for all messages that we send and receive for official purpose
like running a business, managing an organization, conducting the formal affairs of a voluntary
organization and so on.
• Business communication is marked by formality as against personal and social communication.

• 1. Managerial efficiency: Communication helps in the smooth operation of management. A
managerial task can only be performed when the communication system is effective.
• 2. Enhance morale and relations: Effective communication emphasizes the employee’s
participation in management. It helps to build the employees morale and cordial industrial relations between
management and employees
• 3. Effective leadership: Effective leadership depends on effective communication. Two-way
communication helps in effective communication. A managerial leader must handle the subordinates. For
ordering qualitative leadership is essential. And that can be obtained from a proper system of
communication.
• 4. Mutual trust and confidence: Mutual trust and confidence between labor and management
are necessary for the effective movement of the organization. When there is effective communication, it
helps to reduce misunderstanding and develop mutual trust.
• 5. Better decision: The success of an organization can be measured in better decisions. When the
information, data and other fact are not effectively communicated, it hampers the decision-making. So,
when the facts are communicated to concerned department, organization and person. It is easy to make
decisions promptly.

The success of a business depends on the efficacy of business communications. For this, communication is
regarded as the lifeblood of business. The role or importance of communication is discussed below:
• Exchanging information: Communication is mainly the exchange of information between two or
more parties. Through communication, organizations exchange information with internal and external
parties and they’re referred to as “internal communication” and “external communication” respectively.
Communication also brings dynamism in organizational activities and helps in attaining goals.

policies. Realistic plans and policies require adequate and relevant information. The managers collect
required information from reliable sources through effective business communication.

employees. With the help of “one-to-many” communication; organizational objectives, plans, policies,
rules, directives and other complex matters explained to the employees can broaden their knowledge and
thus help improve efficiency of employees.
• Achieving goals: Effective communication helps the employees at all levels to be conscious and
attentive. It ensures timely accomplishment of jobs and easy achievement of common goals.

• Publicity of goods and services: In the modern age, business is becoming highly competitive.
Almost very competing manufacturer produces products of common consumption and even embrace new
types of business communication techniques such as web-based communication to improve communication
with customers online. However, all of them cannot sell equally well and this usually depends on the form
of communication tools employed. An organization with better communication systems, communication
styles, and business functions will sell better.
• Removing controversies: Effective communication plays a critical role in the smooth and constant
flow of information among various parties involved in negotiations or transactions. As a result, conflicts,
controversies and disagreements can be resolved easily.

• Currently, there is a particular trend in business communication such that communication is moving from
the old types of face-to-face meetings to the utilization of modern technologies such as conferencing. The
