WWMB POLICIES

 MINIMUM STAFFING REQUIRED TO OPEN THE CONCESSION STAND: 2
ADULTS (over 21 yrs old)
 MINIMUM STAFFING REQUIRED TO USE THE GAS GRILL : 3 ADULTS (over
21 yrs old).
 VOLUNTEER STAFF IS WELCOME TO A “WORKER WATER” WHILE
WORKING IN THE STAND.
 ALL FOOD AND DRINK CONSUMED BY WORKERS IS AT REGULAR PRICE
(except “worker water”).
 OFFICIALS WORKING THE GAME ARE GIVEN A DRINK OF THEIR CHOICE
AT HALF-TIME.
 ALL “SPECIAL ARRANGEMENTS” MUST BE CLEARED BY THAT EVENTS
COORDINATOR.
 ANY VOLUNTERS UNDER AGE 21 MUST BE WORKING WITH A
PARENT/GUARDIAN.
 SERVICE HOURS WILL BE ISSUED TO STUDENT VOLUNTEERS.

OPERATING THE BOOTH
**********************************************
Keys – You will need four keys:
Back gate padlock
Concessions door- also opens freezer room door
Old Concessions door requires two keys
Others who may have these keys are: athletic director, WWMB president & treasurer,
individual event coordinators (see policies for current names).
Keys for the serving windows are stored in a tin kept on top of the water heater in the
freezer room,
Setting Up - For home events you will want to check to be sure the nacho cheese
warmers are plugged in, fully loaded and operating properly the day before. If closing
procedures have been followed properly everything else should be ready.
Opening Up – For varsity football games starting 2 hours in advance works well.
This give you time to make sure everything is where it should be, each serving window
is stocked, and do some preliminary work such as:
Check to make sure coolers are operating properly
Plug in the coffee maker and start warming it up
Start the hot water warmers for hot chocolate
As volunteers arrive allow them to begin to take over the setting up responsibilities. You
will need to address other issues as they come up. In particular this will include
assigning helpers to their stations and training them in doing their jobs.
Closing up – there are certain things that need to be done before you can pat
yourself on your back and stay “Well done, my good and faithful child”:
 After the game, ask each station person to clean up their area
 Sweep the floor
 Check all appliances to be sure they are turned off or unplugged before leaving
 Return everything to it’s appropriate place and ready for the next event
 Take out the trash
 Turn on the alarm / turn off the lights
 Lock the doors – make sure deadbolts are thrown.

ASSIGNING RESPONSIBILITIES

When volunteers arrive they should first make out a nametag to wear. They should then be
asked where they would like to work. Usually they will break into two groups:
1) Those who like to work with people (counter folks)
2) Those who prefer to work in the background (“food prepers”)
As much as possible you will want to assign them according to their preference. Recognize
that as the positions fill up, you may have to assign where needed instead of where preferred,
or reassign as appropriate.
Positions for the varsity football games are:

optimal operations depend on 20 volunteers
Unfortunately there are times when 20 people are not available. When necessary, some
positions can be combined (i.e… the pretzel person can also serve as the nacho,nacho man
and/or popcorn maker). When the weather is warm a hot drink person is not needed. You get
the picture.
Note: when the grill is in use the grill meister is responsible for following all written procedures
and ensuring a safe environment for all workers.
3rd
quarter Band sales require an additional 4 people – two per back window – to serve
uniformed marching band members only. These additional 4 people can be taken from the
above 20 for this purpose. WW marching band members will be provided a free can soda or
specially purchased bottle water. All other purchases are at regular price.

CONCESSION GUIDELINES
****************************************
START–UP
1. Pour 4 pitchers of water in base of warmer. Flip switch to "On". Unit should heat
and hold at 160 degrees. Light should go out. If the light comes back on, pour
two more pitchers of water into the base.
2. Plug in all machines. If nacho cheese is not in machine already, remove it from
refrigerator or box, and place in machine. It will take at least 30 minutes to heat
up. (Bag can be heated in microwave for 2 minutes to speed up warming if
necessary.) Lay second unopened bag on top of first bag if you anticipate a big
crowd.
3. Pop popcorn. Fill bags and put them in the warmer.
4. Heat chili in the crockpot. Heating it in a Tupperware container in the microwave
first will speed up warming.
5. Grill hot dogs and hamburgers. Wrap in foil and place on trays in warmer.
6. Bake pretzels in pretzel machines. Hang in small glass warmer.
7. Fill several nacho trays with chips and leave in glass warmer.
8. Display candy. (Chocolate is in refrigerator so take out in small amounts if
weather is warm.)
9. Get out plates, forks, condiments, napkins.
10.When pizza arrives, store it in warmer in the boxes. Tip pizza delivery driver $5.
CLOSING
1. Restock coolers with all drinks following the pattern to keep varieties in their
same places.
2. Unplug popcorn machine, pretzel machines, small warmers. Unless there is a
game the next day, unplug Nacho machine. Put opened bags in refrigerator.
Store unopened bags in cabinet. (It is safe to leave Nacho machine on with
cheese in it for a few days.)
3. Turn off big warmer. Drain water by opening valve under base of unit. (Green
handle)
4. Scrape/wipe grill; clean dishes and counters.
5. Sweep floor and put bagged garbage outside the door (Friday night only).
Bagged garbage for all other games should be taken to the dumpster.
6. Count money, fill in cash tally sheet and drop the deposit in the hole.
7. Set the alarm.
8. Turn out lights and lock 3 doors (one storage closet and 2 outside doors)- make
sure the dead bolts are thrown.

STATION RESPONSIBILITIES

Counter Person – takes orders and serves the food as it is requested. The
person will need to be able to keep track of the cost of items ordered, add the costs,
give a final total to the customer and make change. Other responsibilities include a
friendly, outgoing nature and an ability to direct lines. They must be able to work
quickly, accurately and maintain calm. The counter people are not required to wear
gloves since they DO NOT touch unwrapped food.
Food Runners – must wear gloves at all times. These (preferably younger) folks
do the leg work! They work closely with a counter person and go after the items
ordered. They get drinks out of the coolers, put cheese and peppers on the nachos,
take foods out of the warmer and deliver the orders to their counter person while the
counter person is handling the payment process. Food Runners should also
communicate with the food preparers to let them know when more of something is
needed.
Hot Dog & Hamburger Maker – must wear gloves at all times. This person
puts cooked food on appropriate buns, wraps them in foil wrappers and stores them in
the warmer. Return the pan to the grill meister for refilling.
Nacho, nacho Man – must wear gloves at all times. This person simply fills
nacho boats with chips, and stores them in the chip/popcorn warmer.
Hot Drink Maker – keeps the coffee pots full and makes hot chocolate by the cup
or cooler as appropriate for the weather. Does not need to wear gloves. The coffee
maker needs to have 1 or 2 pots of plain water run through it before it can make good,
hot coffee. Then put ¾ cup coffee in a filter in the filter basket to make coffee. Be sure
to unplug the coffee maker at the end of the event. Hot chocolate is made by the cup
on nights that are not quite cool. On cool nights, however by the cooler is the only way
to go --- one canister of hot chocolate mix to ¾ cooler of hot water. This will require
someone with strength to safely pour the hot water from the heaters into the cooler.
Pizza Person – must wear gloves at all times. This lucky person simply puts a
piece pizza on a plate and stores plated pizza in the warmer. Fill one platter with plain
cheese and another with pepperoni and keep the platters full. It helps too if this person
talks with the grill meister so that if pizza sells out early they know to provide some extra
hot dogs or hamburgers. The Pizza Person should also keep the hot chili pot full for
walking tacos, and the jalapenos bowl full for the nachos.
PopCorn Person – must wear gloves at all times. This person gets to make the
popcorn, bag it and stash it in the popcorn/nacho chip warmer. Instructions for the

popcorn machine are on the face of the machine – follow them carefully. Repeat the
making of popcorn as needed. Stop making popcorn when it is obviously not selling, or
at the beginning of the fourth quarter. After the last batch, clean out the machine
completely.
Pretzel Person – must wear gloves at all times. Remove pretzels from the freezer
and separate them immediately (otherwise they get sticky and won’t separate nicely).
Spray or dip the pretzel with water and sprinkle salt on the tops. Put four pretzels on
each pretzel oven tray and set the timer for 4 minutes. Remove the pretzels and hang
them in the pretzel display/warmer using a tongs to avoid burning fingers or gloves.
Grill Meister – The Grill Meister grills the hot dogs and hamburgers and is
responsible to see that they are properly cooked. Cooked meats are passed to the Hot
Dog/Hamburger Makers for bunning and wrapping. Grill lighting procedures are
detailed in the procedures section of this manual.
ABSOLUTELY NO ONE UNDER THE AGE OF 21 IS ALLOWED TO OPERATE OR
LIGHT THE GAS GRILL.

BAND DRINKS – PREGAME

1. Music Boosters will provide a bottle of water for each marching band member at
the beginning of each football game.
2. This water will be stored in the refrigerator by the door in the old concession
stand. Coolers are available there for the bands use.
3. The Band director will arrange to have the water picked up prior to each game.
4. The coolers are to be returned clean and dry.

BAND DRINKS – 3rd QUARTER
*******************************************
5. WWMB will provide one free drink (canned pop or bottled water) to each WW
marching band and color guard member in uniform during the third quarter of the
game. No tickets will be required.
6. These drinks will be stored in the refrigerator in the freezer room.
7. One concession volunteer is needed to move these drinks to the band windows
in time for 3rd quarter sales. Left overs must be returned to the refrigerator.

Band Night - Middle School Band Concessions

Time involved prior to event – approx. 1 hour. Time of event about 3 hours.
TWO - THREE WEEKS BEFORE EVENT
____ Contact Middle School Band Director and ask for number ofstudents in Middle School (MS) Band
ONE - TWO WEEKS BEFORE EVENT
____ Coordinate with the Music Boosters Concession Purchasing Agentand tell them what food products you
plan to sell including hotfood. You will also need several bags ofice to cool the drinks.
Note: The less choices you have the faster the lines will go. Otherwise the students are
overwhelmed with all the choices
Chips - limitto three or four variety need about 50 bags total.
Candy - limitto 2 types of Skittles,2 types of Starburst,2 boxes of Airheads, about25 Charm Pops.
Note: You wantto include the low price items as some students mayhave a small amountofmoney.
If serving hot food such as Pizza - indicate how many boxes you need so that they can add it to the order.
If serving hot food such as hot dogs / hamburgers - only get about 25 each maximum.Butstill letthem
know so they can purchase accordingly.
_____ Start recruiting volunteers to help during 3rd quarter break. Ask MS Band Director if he/she has any
chaperones willing to help.
_____ Advise treasurer you need money belts and cash for Band Night
_____ Advise MS Band Director of Menu Items and prices so that he/she can inform the student/parents
WEEK OF EVENT (BAND NIGHT REHEARSAL IS PERFECT TIME) BUT PRIOR TO
BAND NIGHT
____ Put chips and candy you need in plastic bin
____ Put several garbage bags in bin for trash
____ If serving hot food - you will also need napkins,ketchup,mustard,knife (in case pizza isn't cut), plastic
gloves,paper plates
____ Mark outside ofboxes for band night - perfect way to mark is to print up signs to tape to boxes . That way
items in boxes are not returned to shelves
____ Place boxes in storage room
____ If drinks are available place drinks in portable coolers
BAND NIGHT
____ You will need white tables to serve
____ Bags of ice for drinks
____ Transporttables to far side ofstadium near band members
____ Place drinks in portable coolers if not done so before event - ice down the drinks
____ Transportcoolers to stadium area (Studenthelpers?)
____ Transportnon-hotfood items to stadium area
____ Tell the Concession Coordinator thatyou will need xxx amountof hot dogs and hamburgers
(wrapped) and will be sending someone to pick them up prior to half-time.
____ Tell the Concession Coordinator you are expecting xxx amountof pizza for MS Band and to keep it warm.
You will be sending someone to pick them up prior to half-time.
____ Bring money belts and money. KEEP the money with you do not leave it unattended
____ When band lines up to play send someone to concession stand for hotfood
____ Place drinks and food on table (it will make serving band go much faster)
____ Advise volunteers of prices. Note: Best to bring a printed menu for each money belt
____ Advice MS Band Director you are ready. Generally students are dismissed in groups.
Note: High School Marching Band students should be instructed to go to Main Concession Stand
____ Take tables,leftover food, money and all other items back to concession stand
____ Have a drink or two as you deserve it.

Cash Box Management
Relating to other than varsity football games
1) Your cash box has $150 start up money. When turning in your deposits,
first remove $150 from your cash tally for use at the next event using the
following guidelines:
a. Keep all quarters – there should never be more than 3 quarters in your
deposit.
b. Keep as many singles as you can
c. Keep as many fives as you need to make the total of $150
2) Do not open up roll coins unless needed. We have to roll up coins prior to
making a deposit.
3) You will find cash tally sheets hanging on the inside of the door to the
freezer room. Please use these sheets when counting up your cash for the
night. Include this sheet with your envelope.
4) In order to correctly count for concession expenses, please include any
receipts and expenses related to pizza delivery
5) Put the cash tally sheet and the money to be deposited in a zip lock bag and
drop it in the deposit hole.
6) During the event it is strongly recommended that the cash box is kept on a
shelf below the service window.

PRETZEL MACHINE
Preheat Pretzel Machine
 Plug in Pretzel Machine
 Temperature should be set to 650 degrees
 Turn on machine for 3-4 minutes to preheat (see the mark)
MAKE PRETZELS
 Dip frozen pretzels in water
 Dip one side in salt
 Place up to 4 pretzels on rack, salt side up
 Turn on machine for 4 minutes
 When done transfer pretzels to the pretzel warmer

COFFEE POT
OPENING INSTRUCTIONS
 Preheat Pot (no coffee is being made at this time)
o Turn on bottom burner
o Place empty pot on bottom burner
o Lift lid on top of maker
o Pour water in top
o Replace lid on top
o Once cycle has completed,dump out water in pot on bottom
burner and wash pot
MAKE COFFEE
 Put clean coffeefilter in holder
 Put 1 scoop (3/4 cup) of coffee into coffee filter
 Place holder into coffeemaker
 Turn on bottom burner
 Place clean, empty pot on bottom burner
 Lift lid on top of maker and pour in water
 Replace lid

HOW TO OPERATE THE GRILL
To turn it on:
1. Check that the burners are turned to OFF
2. Turn on the gas underneath
3. Place the lighter end in the hole on the side and light the lighter
4. Turn on one burner
5. When you hear or see it light, pull out the lighter
6. Turn on the other burner
7. Leave both burners on medium for cooking
8. SCRAPE OFF THE GRILLING SURFACE BEFORE COOKING
To turn it off:
1. Turn off the gas underneath
2. Turn all burners to OFF
3. Clean the grilling surface with a wire brush
4. Wipe down the outside,using a grease cleaner if necessary
5. Let the grill coolbefore bringing it inside

Changing the Nacho Cheese
1. Before changing the cheese bag, make sure the old one is squeezed
out completely.
2. Remove the cover of the machine. No need to unplug it.
3. Unscrew the nozzle off of the old bag. Throw the old bag away.
4. Remove the plug off of the new bag.
5. Screw a new, clean nozzle onto the new bag.
6. Put the new bag in the machine. Make sure the slots are lined up on
the nozzle with the spout.
7. Put the weight and a cold bag of cheese on top of the new bag.
8. Put the cover back on.

PIZZA
Pizza comes from La Rosa’s in Forest Park. To order it, call 825-0259. Current price is
$7.50/pizza
Address for school: 1 231 West Kemper Road, Forest Park, Ohio
Deliveryto: Football Stadium Concession Stand
For 10 pizzas or more: Order must be placed 24 hours in advance notify them they need
to be cut in wedges.
For 10 pizzas or less: Smaller orders can be placed with 30 minutes notice.
Pizza Type: We only order large pizzas, pan crust in either cheese or pepperoni.
They should automatically cut them in wedges (not squares). We normally consume them in a
60/40 flavor ratio (60% pepperoni, 40% cheese) so order accordingly.
When the pizza arrives, sign the invoice (include a few dollars for a tip) and the total will be
billed to the Boosters later. Place your signed copy of the invoice in the safe or the cash box at
the Roundhouse.
Tip Guideline: 1 – 4 Pizzas $ 3.00
5 – 8 Pizzas $ 4.00
8+ Pizzas $ 5.00
To serve: Place each slice on a paper plate and keep them in the warmer until they are
purchased. There is one warmer tray for cheese and one for pepperoni.
Pizzas that have not been plated: Can be kept in the boxes in the bottom of the warming
oven separated by flavor.
Below are an approximate number of pizzas needed for different events.
Actual usage may vary depending on the crowd and other food availability:
Soccer, 7/8 grade football, Freshman football – 2 pizzas (note: pizza has not been sold at
soccer events the past couple of years)
JV football – 4 pizzas (La Rosas does not take orders until 10:30 AM)
Varsity football – 12 pizzas

STEAMER / WARMER
To turn the steamer on:
1. Lift the end of the drainage hose and put it to the side of the steamer
2. Close the green drain valve below the steamer. If you can see the green handle,
it is not closed. Turn the handle to the right to close the valve.
3. Open the lower door. Pour water in the water pan (through the hole on the
interior floor of the steamer) until the “Low Water” light at the top panel goes out.
It usually takes about 1 to 1 ½ gallons until the light goes out.
4. Turn the “On/Off” switch to “On”. It should be warm and ready to use in about 5
minutes.
5. Add more water if the “Low Water” light comes on again during use.
6. The four trays in the top section are to keep the hot dogs, hamburgers, cheese
pizza and pepperoni pizza separated. The bottom section is to store pizzas still
in boxes.
To turn the steamer off:
1. Turn the “On/Off” switch to “Off”
2. Lower the end of the drainage hose over the floor drain
3. Open the green drain valve by pulling it to you. If the handle is visible, it is open.
4. Remove any food that is left on the trays.

Hot Chocolate
To make a jug of hot chocolate:
1. Fill enough of the coffee urns with clean water to meet your needs and plug them
in. Use the following amounts of water for these size cans
a. 80 oz. can of mix – 5 gallons of water
b. 66 oz. can of mix – 4 gallons of water
c. 40 oz. can of mix – 2 ½ gallons of water
2. Make sure that the 5 gallon insulated drink dispenser is clean
3. Empty the required amount of mix in the 5 gallon drink dispenser.
4. When the water is warm enough, add the proper amount of heated water and
stir. The inside of the drink dispensers are marked in half gallon increments.
5. Always taste the hot chocolate prior to serving to ensure that it is warm enough
and properly flavored.
6. Fill a foam cup with hot chocolate to about 90% full and add a plastic lid to the
top.
Note:
For best results, do not make individual cups. If in doubt, make a 2 ½ gallon batch.

Agreement for the use of the WWHS concession stand
FROM THE WINTON WOODS MUSIC BOOSTERS
Understanding that the Winton Woods Music Boosters will, at its discretion, at times make the
old concession stand available to rent to other groups for the purpose of raising funds, the
following guidelines need to be followed.
The renting party agrees to:
1. Provide enough staffing to properly run all concessions
2. Provide their own food and supplies for sale
3. Provide their own cash supply
4. Use the facility as posted
5. Clean the equipment and facility after the event and stay until the building is properly
clean and secured – any damages will be billed following the event.
6. Pay the Winton Woods Music Boosters a sum of $100 for the use of the facility upon
closure of the event.
7. Follow all WWCS policies including, but not limited to:
* no smoking on school grounds
* no alcohol on school grounds
In return, the Winton Woods Music Boosters will provide:
1. Access to the building
2. Supervision to ensure proper sanitation and operational procedures are followed
3. Inspection of the concession stand at closure.

Page 3 of 26 Revised:2011-2012 ********************************************** WWMB POLICIES **********************************************  MINIMUM STAFFING REQUIRED TO OPEN THE CONCESSION STAND: 2 ADULTS (over 21 yrs old)  MINIMUM STAFFING REQUIRED TO USE THE GAS GRILL : 3 ADULTS (over 21 yrs old).  VOLUNTEER STAFF IS WELCOME TO A “WORKER WATER” WHILE WORKING IN THE STAND.  ALL FOOD AND DRINK CONSUMED BY WORKERS IS AT REGULAR PRICE (except “worker water”).  OFFICIALS WORKING THE GAME ARE GIVEN A DRINK OF THEIR CHOICE AT HALF-TIME.  ALL “SPECIAL ARRANGEMENTS” MUST BE CLEARED BY THAT EVENTS COORDINATOR.  ANY VOLUNTERS UNDER AGE 21 MUST BE WORKING WITH A PARENT/GUARDIAN.  SERVICE HOURS WILL BE ISSUED TO STUDENT VOLUNTEERS. Page 4 of 26 Revised:2011-2012 ********************************************** OPERATING THE BOOTH ********************************************** Keys – You will need four keys: Back gate padlock Concessions door- also opens freezer room door Old Concessions door requires two keys Others who may have these keys are: athletic director, WWMB president & treasurer, individual event coordinators (see policies for current names). Keys for the serving windows are stored in a tin kept on top of the water heater in the freezer room, Setting Up - For home events you will want to check to be sure the nacho cheese warmers are plugged in, fully loaded and operating properly the day before. If closing procedures have been followed properly everything else should be ready. Opening Up – For varsity football games starting 2 hours in advance works well. This give you time to make sure everything is where it should be, each serving window is stocked, and do some preliminary work such as: Check to make sure coolers are operating properly Plug in the coffee maker and start warming it up Start the hot water warmers for hot chocolate As volunteers arrive allow them to begin to take over the setting up responsibilities. You will need to address other issues as they come up. In particular this will include assigning helpers to their stations and training them in doing their jobs. Closing up – there are certain things that need to be done before you can pat yourself on your back and stay “Well done, my good and faithful child”:  After the game, ask each station person to clean up their area  Sweep the floor  Check all appliances to be sure they are turned off or unplugged before leaving  Return everything to it’s appropriate place and ready for the next event  Take out the trash  Turn on the alarm / turn off the lights  Lock the doors – make sure deadbolts are thrown.
  • 5. Page 5 of 26 Revised:2011-2012 ASSIGNING RESPONSIBILITIES **************************************** When volunteers arrive they should first make out a nametag to wear. They should then be asked where they would like to work. Usually they will break into two groups: 1) Those who like to work with people (counter folks) 2) Those who prefer to work in the background (“food prepers”) As much as possible you will want to assign them according to their preference. Recognize that as the positions fill up, you may have to assign where needed instead of where preferred, or reassign as appropriate. Positions for the varsity football games are: STATION RESPONSIBILITY # NEEDED Counter (sales) takes orders and money 6 food runners deliver orders to the counter people 4 Hot Dog / Hamburger maker wrap and store hot dogs and hamburgers 2 Popcorn Person make and store popcorn 1 Nacho nacho man prepare nacho baskets 1 Pretzel person prepare & bake pretzels 1 Pizza Person plate & store pizza 1 Hot Drink Heater keeps coffee and hot chocolate ready 1 Grill Meister Grills hot dogs and hamburgers 1 Utility Player Finds a need and fills it 1 Manager oversees all operations YOU optimal operations depend on 20 volunteers Unfortunately there are times when 20 people are not available. When necessary, some positions can be combined (i.e… the pretzel person can also serve as the nacho,nacho man and/or popcorn maker). When the weather is warm a hot drink person is not needed. You get the picture. Note: when the grill is in use the grill meister is responsible for following all written procedures and ensuring a safe environment for all workers. 3rd quarter Band sales require an additional 4 people – two per back window – to serve uniformed marching band members only. These additional 4 people can be taken from the above 20 for this purpose. WW marching band members will be provided a free can soda or specially purchased bottle water. All other purchases are at regular price.
  • 6. Page 6 of 26 Revised:2011-2012 CONCESSION GUIDELINES **************************************** START–UP 1. Pour 4 pitchers of water in base of warmer. Flip switch to "On". Unit should heat and hold at 160 degrees. Light should go out. If the light comes back on, pour two more pitchers of water into the base. 2. Plug in all machines. If nacho cheese is not in machine already, remove it from refrigerator or box, and place in machine. It will take at least 30 minutes to heat up. (Bag can be heated in microwave for 2 minutes to speed up warming if necessary.) Lay second unopened bag on top of first bag if you anticipate a big crowd. 3. Pop popcorn. Fill bags and put them in the warmer. 4. Heat chili in the crockpot. Heating it in a Tupperware container in the microwave first will speed up warming. 5. Grill hot dogs and hamburgers. Wrap in foil and place on trays in warmer. 6. Bake pretzels in pretzel machines. Hang in small glass warmer. 7. Fill several nacho trays with chips and leave in glass warmer. 8. Display candy. (Chocolate is in refrigerator so take out in small amounts if weather is warm.) 9. Get out plates, forks, condiments, napkins. 10.When pizza arrives, store it in warmer in the boxes. Tip pizza delivery driver $5. CLOSING 1. Restock coolers with all drinks following the pattern to keep varieties in their same places. 2. Unplug popcorn machine, pretzel machines, small warmers. Unless there is a game the next day, unplug Nacho machine. Put opened bags in refrigerator. Store unopened bags in cabinet. (It is safe to leave Nacho machine on with cheese in it for a few days.) 3. Turn off big warmer. Drain water by opening valve under base of unit. (Green handle) 4. Scrape/wipe grill; clean dishes and counters. 5. Sweep floor and put bagged garbage outside the door (Friday night only). Bagged garbage for all other games should be taken to the dumpster. 6. Count money, fill in cash tally sheet and drop the deposit in the hole. 7. Set the alarm. 8. Turn out lights and lock 3 doors (one storage closet and 2 outside doors)- make sure the dead bolts are thrown.
  • 7. Page 7 of 26 Revised:2011-2012 STATION RESPONSIBILITIES ********************************************** Counter Person – takes orders and serves the food as it is requested. The person will need to be able to keep track of the cost of items ordered, add the costs, give a final total to the customer and make change. Other responsibilities include a friendly, outgoing nature and an ability to direct lines. They must be able to work quickly, accurately and maintain calm. The counter people are not required to wear gloves since they DO NOT touch unwrapped food. Food Runners – must wear gloves at all times. These (preferably younger) folks do the leg work! They work closely with a counter person and go after the items ordered. They get drinks out of the coolers, put cheese and peppers on the nachos, take foods out of the warmer and deliver the orders to their counter person while the counter person is handling the payment process. Food Runners should also communicate with the food preparers to let them know when more of something is needed. Hot Dog & Hamburger Maker – must wear gloves at all times. This person puts cooked food on appropriate buns, wraps them in foil wrappers and stores them in the warmer. Return the pan to the grill meister for refilling. Nacho, nacho Man – must wear gloves at all times. This person simply fills nacho boats with chips, and stores them in the chip/popcorn warmer. Hot Drink Maker – keeps the coffee pots full and makes hot chocolate by the cup or cooler as appropriate for the weather. Does not need to wear gloves. The coffee maker needs to have 1 or 2 pots of plain water run through it before it can make good, hot coffee. Then put ¾ cup coffee in a filter in the filter basket to make coffee. Be sure to unplug the coffee maker at the end of the event. Hot chocolate is made by the cup on nights that are not quite cool. On cool nights, however by the cooler is the only way to go --- one canister of hot chocolate mix to ¾ cooler of hot water. This will require someone with strength to safely pour the hot water from the heaters into the cooler. Pizza Person – must wear gloves at all times. This lucky person simply puts a piece pizza on a plate and stores plated pizza in the warmer. Fill one platter with plain cheese and another with pepperoni and keep the platters full. It helps too if this person talks with the grill meister so that if pizza sells out early they know to provide some extra hot dogs or hamburgers. The Pizza Person should also keep the hot chili pot full for walking tacos, and the jalapenos bowl full for the nachos. PopCorn Person – must wear gloves at all times. This person gets to make the popcorn, bag it and stash it in the popcorn/nacho chip warmer. Instructions for the
  • 8. Page 8 of 26 Revised:2011-2012 popcorn machine are on the face of the machine – follow them carefully. Repeat the making of popcorn as needed. Stop making popcorn when it is obviously not selling, or at the beginning of the fourth quarter. After the last batch, clean out the machine completely. Pretzel Person – must wear gloves at all times. Remove pretzels from the freezer and separate them immediately (otherwise they get sticky and won’t separate nicely). Spray or dip the pretzel with water and sprinkle salt on the tops. Put four pretzels on each pretzel oven tray and set the timer for 4 minutes. Remove the pretzels and hang them in the pretzel display/warmer using a tongs to avoid burning fingers or gloves. Grill Meister – The Grill Meister grills the hot dogs and hamburgers and is responsible to see that they are properly cooked. Cooked meats are passed to the Hot Dog/Hamburger Makers for bunning and wrapping. Grill lighting procedures are detailed in the procedures section of this manual. ABSOLUTELY NO ONE UNDER THE AGE OF 21 IS ALLOWED TO OPERATE OR LIGHT THE GAS GRILL.
  • 9. Page 9 of 26 Revised:2011-2012 BAND DRINKS – PREGAME ********************************************** 1. Music Boosters will provide a bottle of water for each marching band member at the beginning of each football game. 2. This water will be stored in the refrigerator by the door in the old concession stand. Coolers are available there for the bands use. 3. The Band director will arrange to have the water picked up prior to each game. 4. The coolers are to be returned clean and dry. ******************************************* BAND DRINKS – 3rd QUARTER ******************************************* 5. WWMB will provide one free drink (canned pop or bottled water) to each WW marching band and color guard member in uniform during the third quarter of the game. No tickets will be required. 6. These drinks will be stored in the refrigerator in the freezer room. 7. One concession volunteer is needed to move these drinks to the band windows in time for 3rd quarter sales. Left overs must be returned to the refrigerator.
  • 10. Page 10 of 26 Revised:2011-2012 Band Night - Middle School Band Concessions ******************************************* Time involved prior to event – approx. 1 hour. Time of event about 3 hours. TWO - THREE WEEKS BEFORE EVENT ____ Contact Middle School Band Director and ask for number ofstudents in Middle School (MS) Band ONE - TWO WEEKS BEFORE EVENT ____ Coordinate with the Music Boosters Concession Purchasing Agentand tell them what food products you plan to sell including hotfood. You will also need several bags ofice to cool the drinks. Note: The less choices you have the faster the lines will go. Otherwise the students are overwhelmed with all the choices Chips - limitto three or four variety need about 50 bags total. Candy - limitto 2 types of Skittles,2 types of Starburst,2 boxes of Airheads, about25 Charm Pops. Note: You wantto include the low price items as some students mayhave a small amountofmoney. If serving hot food such as Pizza - indicate how many boxes you need so that they can add it to the order. If serving hot food such as hot dogs / hamburgers - only get about 25 each maximum.Butstill letthem know so they can purchase accordingly. _____ Start recruiting volunteers to help during 3rd quarter break. Ask MS Band Director if he/she has any chaperones willing to help. _____ Advise treasurer you need money belts and cash for Band Night _____ Advise MS Band Director of Menu Items and prices so that he/she can inform the student/parents WEEK OF EVENT (BAND NIGHT REHEARSAL IS PERFECT TIME) BUT PRIOR TO BAND NIGHT ____ Put chips and candy you need in plastic bin ____ Put several garbage bags in bin for trash ____ If serving hot food - you will also need napkins,ketchup,mustard,knife (in case pizza isn't cut), plastic gloves,paper plates ____ Mark outside ofboxes for band night - perfect way to mark is to print up signs to tape to boxes . That way items in boxes are not returned to shelves ____ Place boxes in storage room ____ If drinks are available place drinks in portable coolers BAND NIGHT ____ You will need white tables to serve ____ Bags of ice for drinks ____ Transporttables to far side ofstadium near band members ____ Place drinks in portable coolers if not done so before event - ice down the drinks ____ Transportcoolers to stadium area (Studenthelpers?) ____ Transportnon-hotfood items to stadium area ____ Tell the Concession Coordinator thatyou will need xxx amountof hot dogs and hamburgers (wrapped) and will be sending someone to pick them up prior to half-time. ____ Tell the Concession Coordinator you are expecting xxx amountof pizza for MS Band and to keep it warm. You will be sending someone to pick them up prior to half-time. ____ Bring money belts and money. KEEP the money with you do not leave it unattended ____ When band lines up to play send someone to concession stand for hotfood ____ Place drinks and food on table (it will make serving band go much faster) ____ Advise volunteers of prices. Note: Best to bring a printed menu for each money belt ____ Advice MS Band Director you are ready. Generally students are dismissed in groups. Note: High School Marching Band students should be instructed to go to Main Concession Stand ____ Take tables,leftover food, money and all other items back to concession stand ____ Have a drink or two as you deserve it.

  • 12. Page 12 of 26 Revised:2011-2012 Cash Box Management Relating to other than varsity football games 1) Your cash box has $150 start up money. When turning in your deposits, first remove $150 from your cash tally for use at the next event using the following guidelines: a. Keep all quarters – there should never be more than 3 quarters in your deposit. b. Keep as many singles as you can c. Keep as many fives as you need to make the total of $150 2) Do not open up roll coins unless needed. We have to roll up coins prior to making a deposit. 3) You will find cash tally sheets hanging on the inside of the door to the freezer room. Please use these sheets when counting up your cash for the night. Include this sheet with your envelope. 4) In order to correctly count for concession expenses, please include any receipts and expenses related to pizza delivery 5) Put the cash tally sheet and the money to be deposited in a zip lock bag and drop it in the deposit hole. 6) During the event it is strongly recommended that the cash box is kept on a shelf below the service window.

Page 13 of 26 Revised:2011-2012 PRETZEL MACHINE Preheat Pretzel Machine  Plug in Pretzel Machine  Temperature should be set to 650 degrees  Turn on machine for 3-4 minutes to preheat (see the mark) MAKE PRETZELS  Dip frozen pretzels in water  Dip one side in salt  Place up to 4 pretzels on rack, salt side up  Turn on machine for 4 minutes  When done transfer pretzels to the pretzel warmer CLOSING INSTRUCTIONS  Unplug pretzel machine  Wash racks

Page 14 of 26 Revised:2011-2012 COFFEE POT OPENING INSTRUCTIONS  Preheat Pot (no coffee is being made at this time) o Turn on bottom burner o Place empty pot on bottom burner o Lift lid on top of maker o Pour water in top o Replace lid on top o Once cycle has completed,dump out water in pot on bottom burner and wash pot MAKE COFFEE  Put clean coffeefilter in holder  Put 1 scoop (3/4 cup) of coffee into coffee filter  Place holder into coffeemaker  Turn on bottom burner  Place clean, empty pot on bottom burner  Lift lid on top of maker and pour in water  Replace lid

  • 16. Page 16 of 26 Revised:2011-2012 HOW TO OPERATE THE GRILL To turn it on: 1. Check that the burners are turned to OFF 2. Turn on the gas underneath 3. Place the lighter end in the hole on the side and light the lighter 4. Turn on one burner 5. When you hear or see it light, pull out the lighter 6. Turn on the other burner 7. Leave both burners on medium for cooking 8. SCRAPE OFF THE GRILLING SURFACE BEFORE COOKING To turn it off: 1. Turn off the gas underneath 2. Turn all burners to OFF 3. Clean the grilling surface with a wire brush 4. Wipe down the outside,using a grease cleaner if necessary 5. Let the grill coolbefore bringing it inside
  • 17. Page 17 of 26 Revised:2011-2012 Changing the Nacho Cheese 1. Before changing the cheese bag, make sure the old one is squeezed out completely. 2. Remove the cover of the machine. No need to unplug it. 3. Unscrew the nozzle off of the old bag. Throw the old bag away. 4. Remove the plug off of the new bag. 5. Screw a new, clean nozzle onto the new bag. 6. Put the new bag in the machine. Make sure the slots are lined up on the nozzle with the spout. 7. Put the weight and a cold bag of cheese on top of the new bag. 8. Put the cover back on.

Current price is $7.50/pizza Address for school: 1 231 West Kemper Road, Forest Park, Ohio Deliveryto: Football Stadium Concession Stand For 10 pizzas or more: Order must be placed 24 hours in advance notify them they need to be cut in wedges. For 10 pizzas or less: Smaller orders can be placed with 30 minutes notice. Pizza Type: We only order large pizzas, pan crust in either cheese or pepperoni. They should automatically cut them in wedges (not squares). We normally consume them in a 60/40 flavor ratio (60% pepperoni, 40% cheese) so order accordingly. When the pizza arrives, sign the invoice (include a few dollars for a tip) and the total will be billed to the Boosters later. Place your signed copy of the invoice in the safe or the cash box at the Roundhouse. Tip Guideline: 1 – 4 Pizzas $ 3.00 5 – 8 Pizzas $ 4.00 8+ Pizzas $ 5.00 To serve: Place each slice on a paper plate and keep them in the warmer until they are purchased. There is one warmer tray for cheese and one for pepperoni. Pizzas that have not been plated: Can be kept in the boxes in the bottom of the warming oven separated by flavor. Below are an approximate number of pizzas needed for different events. Actual usage may vary depending on the crowd and other food availability: Soccer, 7/8 grade football, Freshman football – 2 pizzas (note: pizza has not been sold at soccer events the past couple of years) JV football – 4 pizzas (La Rosas does not take orders until 10:30 AM) Varsity football – 12 pizzas
  • 19. Page 19 of 26 Revised:2011-2012 STEAMER / WARMER To turn the steamer on: 1. Lift the end of the drainage hose and put it to the side of the steamer 2. Close the green drain valve below the steamer. If you can see the green handle, it is not closed. Turn the handle to the right to close the valve. 3. Open the lower door. Pour water in the water pan (through the hole on the interior floor of the steamer) until the “Low Water” light at the top panel goes out. It usually takes about 1 to 1 ½ gallons until the light goes out. 4. Turn the “On/Off” switch to “On”. It should be warm and ready to use in about 5 minutes. 5. Add more water if the “Low Water” light comes on again during use. 6. The four trays in the top section are to keep the hot dogs, hamburgers, cheese pizza and pepperoni pizza separated. The bottom section is to store pizzas still in boxes. To turn the steamer off: 1. Turn the “On/Off” switch to “Off” 2. Lower the end of the drainage hose over the floor drain 3. Open the green drain valve by pulling it to you. If the handle is visible, it is open. 4. Remove any food that is left on the trays.
  • 20. Page 20 of 26 Revised:2011-2012 Hot Chocolate To make a jug of hot chocolate: 1. Fill enough of the coffee urns with clean water to meet your needs and plug them in. Use the following amounts of water for these size cans a. 80 oz. can of mix – 5 gallons of water b. 66 oz. can of mix – 4 gallons of water c. 40 oz. can of mix – 2 ½ gallons of water 2. Make sure that the 5 gallon insulated drink dispenser is clean 3. Empty the required amount of mix in the 5 gallon drink dispenser. 4. When the water is warm enough, add the proper amount of heated water and stir. The inside of the drink dispensers are marked in half gallon increments. 5. Always taste the hot chocolate prior to serving to ensure that it is warm enough and properly flavored. 6. Fill a foam cup with hot chocolate to about 90% full and add a plastic lid to the top. Note: For best results, do not make individual cups. If in doubt, make a 2 ½ gallon batch.

Page 22 of 26 Revised:2011-2012 Agreement for the use of the WWHS concession stand FROM THE WINTON WOODS MUSIC BOOSTERS Understanding that the Winton Woods Music Boosters will, at its discretion, at times make the old concession stand available to rent to other groups for the purpose of raising funds, the following guidelines need to be followed. The renting party agrees to: 1. Provide enough staffing to properly run all concessions 2. Provide their own food and supplies for sale 3. Provide their own cash supply 4. Use the facility as posted 5. Clean the equipment and facility after the event and stay until the building is properly clean and secured – any damages will be billed following the event. 6. Pay the Winton Woods Music Boosters a sum of $100 for the use of the facility upon closure of the event. 7. Follow all WWCS policies including, but not limited to: * no smoking on school grounds * no alcohol on school grounds In return, the Winton Woods Music Boosters will provide: 1. Access to the building 2. Supervision to ensure proper sanitation and operational procedures are followed 3. Inspection of the concession stand at closure.
