8. How can we save more money?
• Use the correct pre-paid post envelope size and address
correspondence correctly
– Up to 8 A4 sheets in a C5 pre-paid post envelope
– Any more contents, please contact post room
• All post should go 2nd
class unless very urgent
• Please don’t hand write the address, type a covering letter with
full postal address including post code in capital letters

• Please make sure there is at least a 5mm gap between the
address & edge of the window on envelope. This can be tested by
knocking the envelope on all 4 sides to make sure when letter
moves , there is still the 5mm gap. If unsure please contact the
Post Room for guidance.
9. Out going post – we send approximately
1000 letters daily
• We manually sort and count each pre paid
envelope to raise an online docket for Royal Mail
• We pack them in boxes ready for collection at
approximately 4.30 daily
• All letters in pre paid post envelopes go in these
boxes
10. Parcel Deliveries
• Please ensure the suppliers of your order use the
correct name and address
• Ensure you address it to the correct Oxford City
Council location, please use the Post Point, Royal Mail
do deliver to our area offices
• Please don’t have personal post/parcels send to us
here
• If you are expecting a delivery please let us know
• If you have a parcel for collection by a courier, please
make sure it is in the Post Room before the courier is
expected to collect, they do not wait.
11. Signed for & Special Post
• Please bring any outgoing signed for post to the
post room by 15.30
• Upon receipt of signed for post, an email will be
sent to the addressee
• Signed for is tracked after Royal Mail attempt
delivery
• Special is tracked when left OCC
12. Other Services
• We frank all mail that is not put in a pre paid post
envelope
• We frank all overseas post
• Generally parcels under 2k can be franked
internally
• Any unusual shaped or heavier parcel will need
to either be taken by your selves to the Post
Office or use an external courier, please see the
intranet for external courier services
13. MAIL MERGE
• If you have a large number of letters to send,
please talk to us
• Our printers are quicker and cheaper to use
• We use a folder inserter to pack for us
