Knovada Knowledge Systems Modules
Knovada Knowledge Systems is comprised of individual modules, which support
specific stages of an employees’ progression through an organization while
likewise providing tools to improve the collection and distribution of information
throughout the organization. Although each of these modules can be deployed
individually, Knovada Modules are based on an infrastructure that easily supports
full integration into a comprehensive human resources and personnel
administration system. What follows is a brief description for each of the
modules that comprise the core functionality of the Knovada Knowledge
management system, as well as additional modules available from Knovada.
Applicant Tracking Module
The Applicant Processing Module allows applicants to complete an employment
application online which is specifically tailored to the organization. Applications
are automatically processed and stored in the ATM database. The system can
then automatically pre-screen applicants for Human Resources personnel along
specific criteria, such as language skills, certifications, areas of expertise, formal
educational levels, etc., in order to better match job openings with those
applicants possessing the required skill sets. Depending upon the parameters
established by the organization, automatic notification of applicants meeting such
criteria can be sent electronically to the specific hiring manager. Thresholds can
likewise be established which define the time duration for which such
applications are maintained in the database. By having the ability to establish
consistent and definitive employment criteria within the system, Human
Resources can establish a hiring process, which is fair to those applicants seeking
employment, while facilitating a hiring process, which is both objective and

Testing and Assessment Module
In order to evaluate and assess the efficacy of employee training and education,
Knovada has developed the Online Testing Module. The OTM may be configured
in any number of styles, including multiple choice and short answer/essay
formats, and will support the inclusion of imagery and multimedia resources. To
support a formalized certification process, course administrators may implement
more sophisticated test designs: random question selection; imposition of time
limits; direct each participant to a different series of questions based upon their
test question responses. Test results can be reported in a variety of ways to
meet an organization’s requirements, from simple percentages and rankings to
cross-tab calculations and trending. Individual student and group report cards
can be published for individual tests, specific courses or an entire field of study,
and automatic e-mail with the test results may be generated and delivered for

invest quite extensively in a formal training and education programs to provide a
continual upgrade in expertise in support of new technology, new products, new
marketing programs, etc.; to ensure compliance with governmental regulations
such as sexual harassment, affirmative action, occupational safety; or to
maintain required levels of certification for specific job classifications such as law
enforcement, fire protection, emergency medical technicians, etc.
Historically such training and education has been provided in formalized
classroom environments in centralized locations, which required attendees to
incur significant travel and living expenses while likewise being away from their
workplace for the duration of such training.
This traditional approach is now changing through the provisioning of web-based
e-learning. The Knovada Online University provides a sophisticated full resource
training and education system eliminating the need for attendees to travel to
centralized training locations, and organizations incurring living and travel

category, specific details for each of the positions are provided for employee
review. Once the employee selects a position in which they are interested, the
employee can complete an abbreviated employment application and/or a skills
assessment inventory which is electronically submitted to the designated human
resources manager for further action as required.
Events Calendar Module
The Events Calendar Module provides a calendaring system of events for your
organization. The Events Calendar Module allows for events to be entered
through an administrative web site and immediately be displayed to the entire
organization. Employees can review the details of the event and if necessary
register for the event. The events Calendar Module provides and effective and
efficient method of communicating with your organization.
Career development Module
With the Career Pathing Module, a formal plan can be created and maintained so
that an enterprise can realize the growth potential within their employee base.
Managers and employees can investigate specific positions within the company
to support an employee’s career aspirations; determine specific skill sets needed
in order to achieve their career goals; identify specific training requirements to
acquire the expertise necessary for each position; and document the employee’s

progress towards meeting these objectives. In addition to the planning
component, the Career Pathing Module maintains an extensive database of each
employee’s specific assignments, allows employees to search for career
advancement opportunities within the enterprise, and matches their experience
with the requirements associated with these positions. When integrated with the
Applicant Tracking, Online University, Testing and Appraisal modules, the
organization will achieve a powerful, robust management system that will fully
support their human resources staff, effectively automating the management of
the employee lifecycle within the enterprise.
Work Schedule Module
With the Work Scheduling Module, the employee can view their projected work
schedule which displays their standard shifts, vacation, holidays, training dates,
company meetings, etc., together with the capability to submit schedule
requests. Once the employee submits a request, the system will, based upon
the type of request, automatically create a workflow process if necessary. This
rules-based system therefore ensures that the proper routing of each request
occurs as dictated by management policy. The system will also track the
progress of each request and if there is a delay in responding to a specific
request based upon a predetermined time interval, an e-mail can be sent to the
request originator notifying them of the delay. Each required individual in the
approval process can give a reply of either accepting or declining the request
together with adding comments to further explain the reasons for the action
taken on the request. The integrated signature process will then determine the
next individual in the approval process based upon the preceding status. Once
the work request is completed, the request originator is notified with the option
to review the request process history. The request status is automatically
updated with the required status. To provide additional flexibility in the
organization, managers have the ability to compile work requests and scheduling
information for their direct subordinates. The work schedule is displayed in an
easy to read calendar format with color codes identifying pending, approved and
rejected requests.
BI – Customer Relationship Management Module
Our Business Intelligence – Customer Relationship Management (BI-CRM)
Solution provides organizations with the ability to automate all customer
interactions throughout the enterprise utilizing a common customer record. By
consolidating multiple customer touch points from across the enterprise,
individual organizations have access to their own unique data elements through
their customized views while facilitating the sharing of required information
throughout the enterprise.

specific customer/client interaction from a different perspective, our CRM Module
provides the ability for each segment to define their unique views through an

rely upon on third party vendors for such customizations.
Such a 360 degree view of each customer/client interaction which is consolidated
within a single customer record by our CRM Module serves as the foundation for
the overlay of our Business Intelligence Module to provide meaningful
information and critical benchmarks to enhance the decision making process. As
displayed on the organizational flow below, a tremendous amount of information
is gathered on each and every customer interaction by a number of individual
organizations. For example, poor customer service by an organization can have
a detrimental impact on an organization’s ability to achieve additional sales
revenue from this customer. Likewise marketing campaigns must be analyzed
and evaluated to determine where future marketing budgets should be focused.

Bonus and Merit Module
Our bonus merit module provides the capability to be able to give employee
bonuses and merit increases.
The bonus merit module allows you to define a salary range for a job. The
range is defined by a minimum, midpoint and maximum for the range. The
midpoint represents the market average for similar jobs within the current local
market. The compa ratio is used to identify where an employee sits relative to
the midpoint.
If an employee is close to or at the maximum of the range, the bonus merit
system will calculate the amount that should be paid out as a lump sum to
prevent an increase in the employee’s base pay that would place them outside of
the range.
The bonus merit system allows you to set the standard annual hours, Hire Cutoff
Date, Merit Effective Date, Merit Paycheck Date, Bonus Paycheck Date, Lump
Sum Payout Date, Standard Bonus Target, Standard Merit Increase Percent, and
salary date ranges. Additionally, the bonus merit system allows you to assign
roles in the system which provides access to administrative functions and the

ability to update employee information.
Pool information for second line managers and above are broken into two
buckets – the first is for their direct reports only, the second is the accumulation
of all pools for all managers in their hierarchy and includes their direct report
pool amounts. When managers assign Merit and Bonus recommendations to
their employees, their pools are decreased accordingly.
The ad-hoc reports allow you to select employee, merit or bonus information to
display on the report. Once you have defined the information to display on the
report, you may define sort order and selection criteria (i.e., merit increase >
4%). The report is sent to your email address in either HTML or excel format.
Online Newsletter Module
Further enhancing the communications capability of an organization, the Online
Newsletter Module provides the capability to publish any amount of simple or
complex material using this robust relational database module. An organization
can administer such online publications, controlling when the newsletter is
available; and who can access the newsletter. By integrating your newsletter
with your existing website, an organization can better position their brand equity
and company recognition. With the ability to update the content instantaneously
with our user-friendly authoring tool, the information in the newsletters is current
and provides a very efficient and economical communications vehicle.
Message Board Module
The Message Board Module provides a means for both employees and clients to
submit inquiries, search previously posted questions and answers, and

Threaded Discussions Module
The Threaded Discussions Module allows you to have discussions with other
youth. The discussions are based upon different forums that have been entered
into the system. A youth can respond to any of the previous responses in the
system. The threaded discussions module helps youth to share common
experiences and to share information.

Survey/Online Opinion Poll Module
With the Survey and Opinion Poll Module, an organization can effectively manage
and administer comprehensive online opinion polls and interactive surveys. From
employee feedback to customer opinions, a very powerful communication tool
can be made available to the organization. In the administration of surveys and
opinion polls, multiple choice, short answer or essay questions can be
incorporated using a variety of presentation layers such as text-based, images,
multimedia resources, etc. These modules can likewise be integrated with an
organization’s existing website to further enhance brand equity and company
recognition. Time limits on survey and opinion poll availability can be
established; an intelligent response capability can be utilized to redirect survey
and opinion poll participants to different question sets based upon their
completed responses. A variety of reporting options are available including
demographic segmentation, simple percentages/rankings and trending as well as
individual and/or group results.
Document and Reference Library Module
The Document and Reference Library Module provides a centralized repository
for all documents, website links and various other reference materials for use by
employees and customers. Through the use of key words or phrases, intelligent
searches can be performed on the library contents thereby providing the timely

Phonebook Module
Our Phonebook Module enables anyone who has access to the system to very
easily and quickly locate anyone that is in the system. Now you can have one
place to go to find a person. Additionally if this system is integrated with the
office location system, you not only get the persons phone number, you also get
the hierarchy of phone numbers such as office manager, district manager, and
regional manager for the person that you are trying to find. Users also have the
ability to search for a geographical location
Digital Dictionary Module
Our Digital Dictionary Module provides a searchable database of terms and
definitions. You can provide multiple integrated dictionaries to your users.
When adding terms and definitions you can select which dictionaries to associate
with the term and definition. There is also the capability to restrict user access to
identified dictionaries

Employee Qualifications Module
Once the applicant becomes an employee, the Employee Qualification Module
then assumes responsibility for maintaining a centralized repository of all
information relevant to each employee. This facilitates the process of matching
current employee skill sets with open job requisitions, thereby minimizing the
need to add new personnel by redeploying existing employees with the requisite
skill sets for the position.
Office Locations Module
The Office Location Module has proven to be invaluable to companies that have
multiple offices spread out over the country or the world. This system allows
employees to quickly find any office your company has anywhere in the world.
You can also create a hierarchy of offices to quickly and efficiently determine
what district, region or country in which an office is located. When you integrate
this system with the phonebook system you can also ascertain which employees
are in a particular office
Website Module
The Website Module allows you to create your own database of searchable web
sites. You can enter a title, the URL, and a description of the website or web
page that you are referencing. You can now create your own web portal with
only the sites that are necessary and relevant for your employees and
customers.
Scoreboard Module
The Scoreboard Module is a helpful tool that is used to post results of any
defined categories. You can use the scoreboard to post the best performer,
department, office, and region on a week, month, year, etc…. Employees can
use the scoreboard to find out where they stand and what they need to do to
improve.
Payroll Module
The Payroll Module administers compensation plans for employees that are paid
on a commission basis and need to have “just in time” payroll information. The
system provides the payroll administrator the ability to develop required
compensation plan algorithms together with company specific data entry screens
to submit the relevant values associated with the plan. Once the payroll
information has been entered, the system applies the employees’ specific
algorithms and computes compensation. Employees can review their specific
compensation plan information with their unique user name and password.
