• Archiving procedures are in placeto ensure that Procurement andAsset
documents as aminimum are being kept for aperiod of 7 years to ensure
majority donor compliance.
• Documents are filledin sequential reference number based organization’s
Policy.
• Currently world is moving to digitalarea but still for NGOs
documentations are key and archived electronically scan version.

Communication in Operational delivery
• Procedures are in placeto ensure the Health and Safety of Staffand
Volunteers and compliance with any legalrequirements in the country of
operation.
• Health and Safety risks are assessed and mitigated,including, but not limited
to,risks in warehousing and fleet management.
• individuals and teams within the organisation are proactively sharing
critical information throughout the response to ensure Project
Delivery.

Code of Conduct
• A Code of Conduct, or equivalent document is in place,which is
understood and signed by allemployees and includes guidelines such as:

• Staffmaintain ahigh standard of integrity and ethics in business relationships.
• Staffuse the organisation's resources and assets responsibly.
• Staffdo not acceptpersonal gifts from suppliers or engagein any other anti-
competitive behaviour
.
• Staffactand behave professionally as representatives of the organisation and donors
and avoid anything which might bring the organisation or their donors into disrepute.
Controls, including Disciplinary procedures, are in place to manage any breaches of
conduct.

Management Controls
• There is sufficient staffand skills in Logistics /Supply Chain to deliver the Project
Outcomes.The organisation is prepared to scale up resourcing to meet a rapidly
growing emergency response.
• There is clear guidelines of Objective setting, performance review including the
bellow:
• Constructive feedback for all review.
• Timely communication to stafffor relevant information.
• Controls are in place to ensure that Mandatory Procedures are being followed
and that the supply and logistics standards are being met.Adequate action is being
taken where issues of non-compliance are discovered.The organisation is
comfortable in self-assessment, identifying strengths and weaknesses and can
compensate for weaknesses and develop plans to address improvement areas /
gaps.

Office/Facility Management
• Office/Facility management is also sometimes considered to be under
the admin and logistics department.
• It includes making the leaseAgreements and having up to date lease
agreement contract. Mostly leaseAgreements does not follow but
depend on organization’s preference with considerations of security
and access to utilities.
• It involves with payment of lease agreements and all utilities.
• Management of cleaners, gardener and security guards comes under
the admin/logistics for their monitoring to effectivelysupport the
organization.
