The Advantages of BPD
I have been involved in the Insurance Services Sector for the past twenty-eight
(28) Years and have experienced firsthand the pitfalls of the non-existence of doc-
umented process and business activities in general.
I have seen the reluctance of departmental heads to allow key personnel to be
promoted out of their sections or even to proceed on annual leave for fear of the
chaos that could ensue if they were not in place. I have seen the ineffective trans-
fer of knowledge between employees and as a consequence the poor onboarding
of new employees. Few staff can now clearly articulate the reasons for why cer-
tain “things” are done , thus making it very difficult for improvement actions to be
taken and for the advantages of newer technologies to be realized.
The lack of documented processes has resulted in automated efforts that have
not provided the expected results largely because the existing requirements of the
organisation are not clearly defined. This means many organisations are maintain
ing parallel systems—manual and incomplete automation efforts - and as a conse-
quence increased overheads.
Business Process Documentation provides a means for employers, business own-
ers and employees to see the big picture of their operational activities. It allows
understanding of the process purpose, the skills and other resources needed for
best performance and the importance of the process outputs. The documentation
process involves narration of the process using text as well as graphical represen-
tation of the process steps using flowcharts.
