  1. 1. BPD SERVICES “Avoid unstable results, ineffective knowledge transfer and reduced op- portuntities to improve or manage effectively. BPD is a must have tool for re- peatable success”  Lorraine Lord  MBA, PMP, FLMI In This Issue  Advantages of BPD  Introduction to our services  Steps to Unlock your unique potential for business success. How confident are you that your processes are being per- formed as designed? Do your employees dynamical- ly re-design the process each time it is done? Do your employees avoid process documentation as a way to safe- guard their roles in the company? Business Process Documentation (BPD) Jan 2016
  2. 2. Fun Facts The current trends in au- tomation are here to stay. From automated transac- tional systems followed by automated customer service and culminating in automated decision mak- ing. To survive companies need to manage their ad- ministrative costs bearing in mind that increased competition has narrowed profit margins. There are extensive simi- larities among the ser- vices performed by the various departments of the organization. Consoli- dation is key! Many organisations main- tain inflated staff levels to provide expected levels of service in the absence of clear understanding of their process require- ments. Use BPD to navigate the maze. The Advantages of BPD I have been involved in the Insurance Services Sector for the past twenty-eight (28) Years and have experienced firsthand the pitfalls of the non-existence of doc- umented process and business activities in general. I have seen the reluctance of departmental heads to allow key personnel to be promoted out of their sections or even to proceed on annual leave for fear of the chaos that could ensue if they were not in place. I have seen the ineffective trans- fer of knowledge between employees and as a consequence the poor onboarding of new employees. Few staff can now clearly articulate the reasons for why cer- tain “things” are done , thus making it very difficult for improvement actions to be taken and for the advantages of newer technologies to be realized. The lack of documented processes has resulted in automated efforts that have not provided the expected results largely because the existing requirements of the organisation are not clearly defined. This means many organisations are maintain ing parallel systems—manual and incomplete automation efforts - and as a conse- quence increased overheads. Business Process Documentation provides a means for employers, business own- ers and employees to see the big picture of their operational activities. It allows understanding of the process purpose, the skills and other resources needed for best performance and the importance of the process outputs. The documentation process involves narration of the process using text as well as graphical represen- tation of the process steps using flowcharts.
  3. 3. How can we help? My team and I can use our extensive experience to document your existing pro- cesses, facilitate workshops to mobilise your staff to re-engineer the way things are done and to re-document the “new” processes. Why should you let us help? You should reinvent your processes, consolidate your resources and realign your activities in accordance with your strategic intent. There is no more time to spend navigating in the dark or to simply rely on how things were done in the past. Times are evolving! Know your business and reach optimum performance levels. Join other high-performing companies. High performing companies understand their requirements, what it takes to get it done and most of all they understand the value of standardisation as a way to achieve repeatable success. We all use the phase—do not re-invent the wheel, yet by failing to document and to keep a track of lessons learned for improvement, we are doing just that everyday. It is time to get off the hamster wheel.
  4. 4. Unlock your Potential! The Steps: Step 1: Know your process categories . Step 2: Tap into employee knowledge. Step 3: Lay it out—narrations and flowcharts. Step 4: Note observations—redundancies, bottle necks, padding. Step 5: Fix it. Contact Info: Mrs. Lorraine Lord MBA, PMP, FLMI.
