and how can you help?
Read the Conditions of Computer Use policy – sets out standards for
responsible & safe use of UEA network. Applies to ALL users of
computers at UEA
Remember paper-based information and memory sticks – if it contains
sensitive or personal data, make sure it’s encrypted / locked away
You will be required to change your password every year
Encrypt information if you’re taking it outside UEA
Set your own level of spam filtering & forward suspicious emails to IT
Helpdesk
Mobile devices set up to access UEA email systems require a a 6 digit
PIN code or lock code
HE-specific Online information security training for all staff and PGRs

Gives everyone a right of access to any recorded information* held by the University
University must respond within 20 working days to all requests for information
If you receive a request that is not a ‘business as usual’ enquiry, pass it on to your FOI
contact or email foi@uea.ac.uk
Data Protection Act 1998
Members of staff who work with personal data have certain obligations under the Act to
handle such data responsibly
Failure to do so can result in large fines for the organisation

More reasons to be mindful of the security of information you create or manage while at work…*Re. FOI / EIR - Assumption that all requested information will be disclosed, although some information may be exempt (e.g. personal or commercially sensitive information)Re. DPA- mention 8 data protection principles (on website), stress use of personal data must be lawful, fair, accurate, relevant, secure…Information Commissioner’s Office has power to impose large ‘financial sanctions’ on orgs who mishandle personal data. Mention high media profile of data lossesRe. Copyright – UEA provides an advice and guidance service if you have any copyright queries - see websiteRecords management - v. important and makes everyone’s life easier, in terms of compliance. Stress that just keeping everything is not the answer. While you can’t delete information that you know has been requested under FOI / EIR / DPA, and some information must be kept for statutory purposes, routine deletion of non-essential information is part of good records management.
