2. Business Experience:

Perpetual Ltd is an independent financial services group providing specialized investment management, wealth
advice and corporate fiduciary services to individuals, families, financial advisers and institutions.

As Part of the Investment Administrator Position I concurrently held the following Three roles:___
Equity Settlements Officer 2014 – June 2015
*(Also held this role previously for 8 years from 2002-2010 with The Trust Company)
RESPONSIBILITIES:
Daily Equity Settlements for our clients share holdings and trading.
Use Company and CHESS systems to schedule and facilitate successful settlement of trades
within tight deadlines.
Enter transactions onto our Systems and maintain records relating to these transactions as well as
ensuring our Suspense account is Nil at end of Day.
Liaise with A/C officers within the company, brokers and other intermediaries when required, to
ensure Daily Deadlines are Met.
IPO’s (Initial Public Offer), applied for relevant clients when instructed before offer close date.
Contact broker and all parties promptly to rectify issues before our daily 10.30am chess cut off
deadline.
ACHIEVEMENTS:
Improved efficiency of approval instructions for buying and selling of shares not yet placed with
the broker due to AML (Anti-money laundering) issues. Created an Excel spreadsheet to monitor
and track which then mitigated risk and penalty.
Saved costly fail fees for our clients and company when settling our equity settlements daily via
DVP (delivery versus payment), through the Chess system, by ensuring tracking where our
messages were not being matched by the relevant brokers. These would be substantial as these
fees are now charged as a percentage % of the trade amount for each transaction / trade failure.
Training / mentor staff on mastering the Equity Settlement job to pass on this knowledge and
experience to one of my colleagues in this role.
Acted as SME (Subject-matter expert), for system project to design new BPA system which
would assist and improve the Equity Settlement processes. This resulted in achieving an efficient
and practical, automated system which increased efficiency and has replaced the more manual
processes I was previously working with.
Exceeded customer expectation by taking ownership on negotiating secured share offer through
broker at Weres and complete applications to meet deadlines of IPO closing date.
3. Fixed Interest Officer 2012 – June 2015
RESPONSIBILITIES:
Administration of our clients’ Term deposit investments and other fixed interest investments.
Manage any maturities on day, which we roll over for same previously held terms to new maturity
dates, when no account officer instruction is received.
Action account officer’s instructions received to Purchase, Redeem or otherwise action Term
Deposits as advised.
Advise the relevant financial institutions of funds received or paid through the Austraclear / Exigo
system.
Sent advise to our banking and Melbourne operations departments re: T/D Break-up (Term deposit
cash-flow ), by 2.30pm.
Data entry of days transactions recorded in client accounts.
Weekly, prepare and reconcile term deposits from confirmations received to company client system.
Reconcile our FIIG Bond holdings with monthly report received and update prices for relevant stocks
on our company’s system TRUCIS.
ACHIEVEMENTS:
Acted as point of contact to investigate and gain resolution on a request from account officer
to redeem an Esanda Debenture which had recently matured for her client and had not been paid.
Through communication with account officer and Esanda, I compiled all the necessary
documentation and forwarded it to the relevant Esanda person who promptly sent payment. As
a result I continued to have a good working relationship with the account officer and achieved a
positive outcome for our estate client.
Supported company transition from The Trust Company to Perpetual by consulting with migration
team member on FIIG bond process.
& EXIGO / AUSTRACLEAR (Fund Management ) Administrator 2012 – June 2015
RESPONSIBILITIES:
Administration work relating to Term Deposits, NCDs (negotiable certificate of deposits) & other
investments >1 Million, maturing and purchases coming from our Corporate Funds Investment area.
Data entry for Funds received for maturities or to pay for new investments as instructed are done
on Exigo / Austraclear system to match the relevant financial institutions messages.
Advise our banking regarding T/D Break-up (Term deposit cash-flow) by 2.30pm deadline so
banking can, with other cash flow information sent to them have all the information required to
calculate the 11am figure for day.
Ensure that 11Am Figure is emailed to us via fund management area by approx 3.30pm each day.
Data entry for 11AM done on Exigo to match to ANZ message before system cut-off at 4.27PM.
Data entry to record 11AM figure on company system entered.
4. ACHIEVEMENTS:
Successfully mitigated company risk regarding overdraft fee, which when dealing with millions,
can be very costly to the business in relation to our 11am figure. Took initiative when there was no
one with authority to approve my 11am Austraclear transaction in Melbourne and the cut-off time for
system was close, to call several Sydney managers and colleagues who had access to this system
to let them know the urgency of approving this transaction, emailed them my 11am instruction, which
they very quickly approved. Then as ANZ had also not yet matched our figure on system, I quickly
escalated the matter to the relevant who contacted ANZ to get my transaction matched before
system cut-off at 4.27pm.
Also needing an approval for my data entry transaction, I again called a manager in Sydney with
access and authority to approve my entry who was then in an meeting. Explaining the urgency to a
colleague there, they interrupted the meeting and my entry was promptly approved and the matter
quickly resolved.
Acted as SME (subject-matter expert) for my team on multiple occasions regarding process,
checklists & regulations to ensure compliance & deadlines are met.
Dividend Officer 2010 – 2012
(Held 2010 - Dec 2012 here and 4 years from 1998-2003)
RESPONSIBILITIES:
Process and Reconcile High volumes of dividends received for The Trust Company’s clients to
client’s accounts as Quickly and Efficiently as possible.
Liaise with registries whenever there are any discrepancies to correctly allocate clients dividend
and distribution incomes.
Process and bank dividend cheques on same day received.
Ensure dividend Suspense Account cleared to Nil daily.
ACHIEVEMENTS:
Took initiative to investigate & clear long held legacy items I inherited from my predecessors and
achieved Nil Balance in the Dividend suspense account for first time in 15 years. This resulted in
avoiding any compliance issues down the track we may have when we are audited.
Training / mentoring staff after mastering the Equity Settlement job to pass on this knowledge and
experience to one of my colleagues in this role.
Reduction of processing time and Increased productivity achieved with my suggestion to improve
our generation report process which we use to reconcile dividends, resulting in the implementation
of suggested improvement to have the option to backdate report to record date when producing
this report, which increased productivity and delivered a much more efficient process.
5. Reconciliations (HINS) Administrator 2010 – 2013
RESPONSIBILITIES:
Reconciliations of client’s stock holdings held on the Trust Company’s system to chess HINS is
done every week.
All discrepancies are investigated and corrected, or forwarded to relevant team member to
investigate and correct.
Monitor and ensure any older discrepancies are corrected and promptly cleared.
Reconciliation summary is prepared and forwarded with reconciliation spread sheet to the
manager.
ACHIEVEMENTS:
Achieved accuracy of client’s records regarding their holdings with my diligence and persistence to
ensure all discrepancies appearing on weekly reconciliation when run are actioned and cleared
promptly and correctly. Any discrepancies not cleared immediately were forwarded to the
appropriate person to clear. Then with regular monitoring of progress on these outstanding items,
I would escalate if required and follow through with whatever action was required until items are
cleared and resolved.
