6. Receiving files from Store
In this phase we take files from store room for
digitization, outward entry is made and signed by
store keeper and supervisor
Batch Preparation
Batches are created for scanning documents at
the scanning station and assigned to various
teams
Pre Scanning Process
Each page is prepared for scanning, special care
is taken for the pages which are not in good
condition. In this process staple pins, lace,
stickers etc. are removed

Various types of scanners are used as per the

7. Store Process
Image Processing
Each image is processed before uploading on the
server. Image is checked for clarity, brightness,
exposure, straightness, skewing etc.
Indexing & Tagging
Each scanned record is then indexed with
appropriate values. Meta Data tags are captured
and entered into software.
Storage Server
All the processed images are uploaded and store
in the storage server using DigiSmart Document
Management System Software.

15. Document Capture to bring them
into the system
• Imaging or Scanning:
• The scanner should preferably have both flat bat
and ADF(Automatic Document Feeder)
• Scanners Speed: should handle 10 to 200 pages
per minute
• Scanning scale: 100%
• Resolution standard:
Normally scanning at 200 dpi is recommended,
Maximum dpi limit can be up to 600.
