2. Internal communication flow is very important in order to be
efficient & effective.
Deployment and delegation of responsibility and authority is tool to get
the work done efficiently and IT solutions can reduce lot of time.
You can send the message to each process owners and can get
information on the status at each stage of process completion without
visiting the place.
Of course the effective and efficient process implementation needs prior
preparation and planning ( feasibility study, process qualification, right
person etc).
IT tools ( soft wares)are also available to help you out to conduct
feasibility study and process qualification. It reduces and avoids trial
system, therefore, process design and development is much faster now.
INTERNAL COMMUNICATION
3. Data retrieval and access becomes easier to take quick
decision at any level of operation.
Due to above all, it becomes easier to check and upgrade
the process which reduces time and non-conforming
product. So it improves the better utilisation of resources.
QMS becomes more efficient because all the data and
records are retrievable as and when required and
preparation of different type of charts in presentable
manner remain available.
4. When internal communication is strong, data is accessible
and retrievable, it is very easier for the person to have
effective communication with the customer to resolve in
case of issue related to quality, delivery.
You can provide the required data to customer while
holding the phone even. You may not require more time to
collect data from other department/ person concerned
because data is available any time and every time.
We can send the test report in customer’s format before the
shipment of the goods and can get their approval before
shipment.

Individuals can prepare their own work log sheet on line which
can be verified.
Data collection to check the performance of responsible person is
possible and since it is transparent and available every time so it
is acceptable to individuals.
Provision for training need identification, arranging training for
the needy person becomes easier after having the data on
performance of the individual in order to make him more
capable for the benefit of individual person and the organisation.
6. Due to availability of records and data any time, MRM becomes
more effective so defining the accountability becomes easier.
Decision making on any agenda in discussion during MRM is
quick.
Example:- during my training at IIMA, I could see that retrieving the
record and data is possible by any professor in their concerned
department within 5 minutes maximum else they think that their
system is not efficient and they have to take corrective action.

Changing the dimension, design/ drawing approval from customer becomes easier due to
CAD/ CAM/CAE software.
CAD simplified the way in preparation of drawing and more and more information on
drawing sheet is possible in much lesser time.
CAM simplified the concept of visualising the part with 3 dimension. One can see 3D and
discuss to make any changes or approve before the part is produces unlike earlier.
Development of parts
8. Solid model drawing which even non-technical
person with little experience/ knowledge can also
understand. This is possible due to latest software in
use in many industries.
9. Sending the part drawing and getting approval of customer
is quick.
CAE:- simulation of process eliminates trial and error which
earlier was necessary to do and was consuming sometimes a
month or more.
Now it can be done in a day or two. Fabrication of dies/tools/
mould is done after process validation through software so
wastage of time to make changes in actual tool gets eliminated.
10. It is my experience that big corporates or multinational companies
conduct a survey through documents they send to the prospective
supplier to understand the communicative system and efficiency in
communication.
They may also call you to know your own awareness about those
system. If they are satisfied , a team will visit the supplier premise
to check the availability of IT tools and it’s effective use.

11. Big corporates and multinational companies will send the
Non- disclosure agreement (confidentiality agreement) to
be signed by the authorised signatory of the supplier
before they send the RFQ with drawings and
specifications.
This documents requires commitment from supplier that
supplier will not disclose the technical data, design and
specification to others ( employees, agents, vendors etc).
These information should be password protected to
eliminate any chance that any person other than
authorized can forward or transfer the same to elsewhere.

12. IT tools helps the authorised person to maintain the commitment
as per NDA signed and build confidence with customer.
It also helps in deployment of those information in another
format without disclosing the confidential matter.
Supplier is liable to be legally or financially penalised by the
customer in case of breach of agreement signed.
