     DCC Institutional Engagements
With funding from HEFCE’s UMF programme we’re:

• Working intensively with 18 HEIs to increase RDM capability
   • 60 days of effort per HEI drawn from a mix of DCC staff
   • Deploy DCC & external tools, approaches & best practice

• Support varies based on what each institution wants/needs

• Lessons & examples will be shared with the community

• Wrote up findings to feed into strategy
• ‘heatmap’ approach being used to guide roadmap

                  Small is beautiful
                         (some reflections on institutional culture)

• Less hierarchy  quicker approval
• Smaller scale  easier to engage research community
• Researchers more willing to work with the centre
• Senior management more hands-on

  1. The DCC has been funded by HEFCE to work closely with 18 universities to build their RDM capability. We’re actually working with 20 unis at present due to demand We can give 60 days of effort per institution which can be used as they desire.
  2. We’ve tried to get a balanced mix of institutions, from ancient unis such as Edinburgh and Glasgow to more modern post 1992 institutions. There’s a geographic spread and a mixture of research strengths.
  3. An interesting trend to emerge is who is addressing RDM within the unis. The library is leading in most cases and is involved regardless of who’s championing the cause. Research offices are often the lead partner – seemingly for strategic reasons of senior buy-in and financial commitment. IT are only leading in 2 out of the 20 cases and are disengaged / absent in a few others.

These are the main activities we’ve undertaken or have received requests for support on The EPSRC is the main driver being cited when institutions have signed up – this has caught the attention of senior management. Several unis have asked for support in developing a roadmap or have asked for feedback on drafts. There have been DAF or CARDIO studies at Bath, Surrey, St Andrew’s, QMUL & Oxford Brookes and others have requested this. Most unis are still in the early stages of investigating current practice to identify support needs. A number of unis have developed policies since we’ve been working with them. Our role has varied from providing advice and feeding back to writing the policies on their behalf. Six unis have asked for institutional versions of DMP Online, so they can add details of local support The focus of our support at the Universities of Edinburgh and Northampton is on policy implementation. They want to test existing provisions and roll out good practice. Other services that have been flagged as of interest are training and piloting tools such as DataFlow

The University of East London has recently developed a research data policy We prepared a briefing paper to outline requirements and different approaches institutions had adopted to help them make a start. After a few drafts and some user feedback, the policy was approved. We’re now planning user engagement to develop the implementation plan. Our involvement was minimal as reuse of existing policies (e.g. Edinburgh) and support from the JISC MRD community aided progress
  6. - Queen Mary University of London is currently developing its strategy for RDM and used CARDIO to help inform this. - We helped Rony Zaman set up the process and co-ordinated a workshop to reach consensus on results - Findings have been approved by the board and are feeding into the strategy Rony is using heatmaps to visualise the areas in most need of action QMUL is one of the few cases where IT are leading. The institution is making a huge investment via its IT Transformations project
  7. Edinburgh has lots to build on: they’ve scoped requirements, built a data repository, developed a policy... Effort is now on changing practice We’ve developed a list of services and are planning focus groups to agree this with researchers Events are also planned to raise awareness among IS staff so developments don’t come as a surprise The method for roll out and embedding is still to be agreed. Pilot studies have been suggested. A business case has been made at Edinburgh and investment committed so future optimistic

To close I want to pick up on some trends that differentiate smaller, more modern institutions in terms of progressing RDM - In places such as Northampton and UEL there’s less hierarchy so it’s been quicker to get policies and roadmaps approved. - Less research-intensive unis also have a smaller cohort of researchers to engage with – it’s easier to disseminate news and get them involved - Researchers seem to be more willing to use central services – there’s not the same degree of autonomy and resistance as in large, ancient unis - Senior management may commit more time to getting involved in RDM work – anecdote that PVC-R at OB stayed throughout DC101 workshop and joined in the breakout discussion with researchers to identify what they needed This flexibility and speed of change presents a real opportunity for smaller unis to storm ahead
