GRAPHIC ART & ORDER MANAGEMENT

For suppliers, our suites of services are as follows
ORDER MANAGEMENT AND E-MAIL BOX MANAGEMENT.
The suppliers receive purchase orders from distributors or from end customers
for various products and artworks. This are converted into electronic formats
using software such as, profit maker, quick book, made to manage, distributor
central, dynamics etc. Orders are then classified and entered in different ways
based on requirements which are as follows.
• Sample order entry
• Production order entry
• Speck sample order entry
• Pre production order entry

SAMPLE ORDER ENTRY
When a distributor orders for a single product, or a catalog to show to an end
customer, it is called sample order entry. It’s a free sample promotion that a
supplier does (1-10 samples) through a distributor.

PRODUCTION ORDER ENTRY
This is the final order entry when a distributor places an order for a certain
quantity of items along with logo/ printable content either through e-mail or fax
and the purchase order comes with following details
• Quantity of items
• Logo to be placed on the item
• Shipping address and mode of shipment
• In hand date
• Color of the product, logo color, background etc.
• Special instruction, If he requires to see the proof with logo printed on
the product before final production
• Payment details
All information as above has to be posted in any of the software module
(mentioned under Order Management ) which will be specified by the supplier.

SPEC SAMPLE ORDER ENTRY
When a customer wants only a single item along with the logo printed on that, it is
called spec sample order. Spec sample order is different from sample order, as
sample order does not have logo printed on the product. A spec sample order is
always chargeable.

PRE PRODUCTION ORDER ENTRY
Before actual production of items, the end customer/distributor may wish to check
the item with logo duly printed on it. The customer can ask supplier to send one
single item with the actual logo printed on it, once that gets approved the supplier
can start printing the rest of the quantity. This order is also chargeable.

SPLIT SHIPPING ORDER ENTRY
When a customer wants a supplier to ship products on two or more than two
locations, it is called split shipping. In this case an order needs to be entered
twice with the quantity to be shipped in two different addresses.

The cost for order entry process is normally quoted for sample order entry and
the production order entry (spec sample, pre production, or split shipping comes

END CUSTOMERS RELATIONSHIP
Our customer support executives make outbound calls and receive calls from end
customers to carry out revisions, fulfill last minute requirements in order to
complete the final order.

REMOTE DESKTOP CONTROL
We obtain access to supplier’s/ distributor’s desktop. So, instead of working from
a local server, we work from customer’s server and get access to their folders to
download artworks and purchase orders. Once the job is done, we save files in
assigned folders. We enter into an NDA with customer to maintain top
confidentiality.

E-MAIL BOX MANAGEMENT
For e-mail box management, we get access to customer’s inbox, we download
and segregate e-mails according to purchase order (P.O.) and non-purchase
order (Non P.O.). Our order management executive accordingly converts order
into electronic format (using software like profit maker, dynamics, M2M,
quickbook etc.). We check artwork send by customer, match it with the purchase
order and get the art done, create proof, email it to customer from the same
Inbox. Once we receive confirmation, we finalize the job and save it in the folder
for production. We engage a dedicated person to act as a single point of contact
with a customer.
Normally the cost of managing the Email box varies from $750 to $950.
