Arab City Schools uses Instructional Technology as one way of enhancing the mission to prepare and inspire all 
students for life‐long success by teaching the skills, knowledge and behaviors students will need as responsible 
citizens in the global community.  Students learn collaboration, communication, creativity and critical thinking in a 
variety of ways throughout the school day. Excellence in education requires that technology is seamlessly 
integrated throughout the education program.  In an effort to increase access to those 21st century skills, ACS has 
made it a goal to offer students a 24/7 accessibility to their learning through this “C4WARD Initiative”.  The 
individual use of technology is a way to empower students to maximize their full potential and to prepare them for 
college and the workplace. 
The first phase of the program includes providing ACS‐owned tablet computers (iPads) to 6th
‐12th
 grade students in 
the 2013‐14 school year.  The policies, procedures and information within this document apply to all devices used 
in Arab City Schools. Teachers may set additional requirements for use in their classroom. 
Digital citizenship and appropriate online behaviors will be an important component of the C4WARD program. 
Cyber‐safety rules with be reviewed with students frequently throughout the school year, and will offer reminders 
and reinforcement about safe online behavior behaviors. 
Students and parents/guardians participating in C4WARD program must adhere to the Student Code of Conduct, 
Student Handbook, Acceptable Use Agreement, iPad Program Manual, Board policies, and federal/state laws. The

It is the responsibility of the parent/guardian and the student to read and understand the current policy. 
Device Specifics: 
For C4WARD purposes, the technology device covered by this agreement is an Apple iPad tablet. One iPad, 
protective case, and charger will be loaned out to the Student. It is the Student's responsibility to care for the 
equipment on a daily basis and ensure that it is retained in a safe environment.  Any technical or mechanical issues 
with the iPad must be reported to the school and will be repaired by ACS staff. This equipment is the property of 
Arab City Schools and remains so at all times.  As such, it is therefore subject to inspection.  The equipment will be 
returned during the final week of school, or sooner, if a student graduates early, withdraws, or is expelled from 
Arab City Schools prior to the end of the school year.

1.  RECEIVING AND RETURNING YOUR iPad 
 
1.1 Receiving Your iPad 
iPads will be distributed at the beginning of each school year.  Parents and students must 
sign and return the iPad Loan Agreement before beginning participation in the C4WARD 
program.  
 
1.2 Returning Your iPad 
iPads will be returned during the final week of school. iPads will be stored at the school for 
the summer break. If a student graduates early, withdraws, or is expelled from the Arab City 
School District prior to the end of the school year, the iPad will be returned at that time. 
 
1.3 Failure to Return the iPad 
Individual iPads and accessories including cases, cables, and chargers must be returned at the 
end of each school year. If a student fails to return the iPad and accessories at the end of the 
school year or upon termination of enrollment at ACS, the student will be responsible for the 
replacement cost of the iPad and may be subject to criminal prosecution or civil liability. 
Furthermore, the student will be responsible for any damage to the iPad. 
 
2.   CARE OF YOUR iPAD 
Students are responsible for the general care of the iPad they have been issued by the school. 
iPads that are broken or fail to work properly should be taken to the Media Center for an 
evaluation of the equipment. 
 
2.1 General Precautions 
2.1.1  The school issued iPad is the property of Arab City Schools. 
2.1.2  Cords and cables must be inserted carefully into the iPad to prevent damage. 
2.1.3  iPads must remain free of any writing, drawing, stickers, or labels that are not the 
      property of ACS. 
2.1.4  Students are responsible for bringing their iPad fully charged to school each day. 
2.1.5  iPads must never be left in an unlocked locker, unlocked car or any unsupervised area. 
2.1.6  iPads should not be placed in the floor or in sitting areas such as couches or chairs. 
2.1.7  iPads should not be left outside or used near water. 
2.1.8  Avoid placing iPads near table or desk edges. 
2.1.9  Avoid having food and drinks in close proximity of the iPads. 
 
2.2 Carrying iPads 
A protective case is provided to help protect the iPad. The entire protective case issued from Arab City 
Schools must be intact at all times. Students should transport the iPad responsibly, in a manner that will 
mitigate the danger of bumps, falls, and drops. 
 
2.3 Screen Care 
The iPad screens can be damaged if subjected to rough treatment. The screens are particularly sensitive 
to damage from excessive pressure on the screen. 
 
2.3.1  Do not lean or stack objects on the top of the iPad when it is closed. 
2.3.2  Do not place anything near the iPad that could put pressure on the screen.  
  2.3.3  Clean the screen with a soft, dry cloth or anti‐static cloth. Do not use cleaners of any  
    type containing ammonia.

    2.3.4  Do not “bump” the iPad against lockers, walls, car doors, floors, etc., as it may crack or  
    break the screen. 
 
3.   USING YOUR iPAD AT SCHOOL 
iPads are intended for use at school each day. In addition to teacher expectations for iPad use, school 
messages, announcements, calendars and schedules may be accessed using the iPad. Students are 
responsible for bringing their iPad to all classes, unless specifically instructed not to do so by their 
teacher. 
 
3.1 iPads Left at Home 
If students leave their iPad at home, they are responsible for getting the course work completed 
as if they had their iPad present. If a student repeatedly leaves their iPad at home, they will be 
subject to disciplinary consequences. 
 
3.2 Lost or Stolen iPads 
Students are required to enable the “find my iPad” feature upon receipt of the device. This feature will 
prove very valuable in finding a lost or stolen iPad. 
 
3.3 iPad Undergoing Repair 
Loaner iPads may be issued to students when they leave their iPads for repair in the media center. There 
may be a delay in getting an iPad should the school not have enough to loan. 
 
3.4 Charging Your iPad’s Battery 
iPads must be brought to school each day in a fully charged condition. Students need to charge their 
iPads each evening. Repeat violations of this policy will result in the imposition of disciplinary 
consequences. 
 
3.5 Screen Backgrounds / Lock Screen Photo 
3.5.1   Students will have the ability to customize their iPad home screen. Inappropriate media 
  may not be used as a screensaver or background photo. Presence of guns, weapons, 
  pornographic materials, inappropriate language, alcohol, drug, gang‐related symbols or 
  any other inappropriate materials will result in disciplinary actions. 
 
3.5.2 A lock screen photo of the student must be used at all times.  
 
3.6 Sound, Video, Music, and Apps 
Each student participating in the C4WARD program will need to have a personal iTunes account. 
The iTunes account will be the conduit through which apps are downloaded to the iPad. Student 
iTunes accounts will be created using the student’s district Google account. iTunes cards are the 
simplest way to add money to accounts if students want to add music or personal apps to their 
account.  
 
3.6.1 Sound must be muted at all times unless permission is obtained from the teacher 
for instructional purposes. Ear buds or headphones must be purchased by the 
student and their use is subject to individual classroom rules. 
 
3.6.2 Appropriate videos and music are allowed on the iPad. The use of streaming apps 
is prohibited. Earbuds and headphones may only be used upon individual teacher 
approval. Students may not use earbuds or headphones in common areas 
(lunchroom, hallways, bus loading areas, etc.) 
 
3.7 Printing

A component of the C4WARD program is encouraging a paperless environment.  However, if 
necessary, students will be given information and instruction on printing with the iPad at school. 
 
3.8 Home Internet Access / Printing 
Students are allowed to set up additional wireless networks on their iPads. This will be necessary 
to use web based services outside of the school setting. Printing at home will require a wireless 
printer, proper settings on the iPad, and a compatible printer and possibly an additional app or 
software on your home computer/printer. The District is not responsible for personal charges for 
accessing other wireless connections or other data charges. 
 
3.9 Personal Apps 
Students may install appropriate personal apps on their iPad via their personal iTunes account. 
Arab City Schools will, within reason, provide configuration settings that will not allow 
inappropriate content/apps/music to be installed on the iPad. This does not, however limit what 
can be downloaded to the students’ individual iTunes account or their other personal devices 
(iphone, ipod, etc.). In the event the storage space becomes an issue on individual iPads, 
student’s personal music, photos, and apps will need to be deleted. 
  
3.10 iPads and Extra‐Curricular Activities 
Coaches/sponsors for individual activities may limit whether or not iPads are to be allowed on 
buses or at particular events.  
 
 
4.   MANAGING YOUR FILES & SAVING YOUR WORK 
 
4.0 Saving Documents and Other Work 
Students are encouraged to email documents or save work on appropriate servers including 
ACS cloud‐based storage. Data will not be backed up in the event an iPad has to be reimaged or 
restored to factory settings.  
 
5.   SOFTWARE ON iPADS 
 
5.1 Installed Software and Applications 
The software/applications installed by ACS must remain on the iPad in usable condition and be easily 
accessible at all times. From time to time the school may add or remove software applications. 
 
5.2 Additional Software and Applications 
Students will be responsible for loading extra software and applications on their iPads as necessary.  
Students will also be responsible for syncing the iPads so that they contain the necessary applications 
for school‐related work. 
 
5.3 Software Upgrades 
Upgrade versions of licensed software/applications are available from time to time. Students will be 
required to sync and update the iPad as necessary. 
 
5.4 Inspections 
iPad use and contents will be monitored remotely and students may be asked to provide their iPad for 
inspection. 
 
5.5 Procedures for Reloading Software 
If technical difficulties occur, the iPad will be reset to factory settings. ACS does not accept responsibility 
for the loss of apps or documents deleted due to the necessity of reformatting or reimaging.

5.6 Technology Support 
Technology support for iPads will be available during regular school hours. After hour support will not be 
available.  
 
5.7 Mobile Device Management (MDM) Profiles Installed by the District 
MDM profiles installed on iPads are not to be removed. Students who do not have active profiles on their 
iPads or who remove profiles will be subject to disciplinary consequences.  
 
6.   ACCEPTABLE USE 
The use of the Arab City Schools technology resources is a privilege, not a right. The privilege of using 
the technology resources provided by the school district is not transferable or extendible by students 
to people or groups outside the district and terminates when a student is no longer enrolled in the 
school district. These guidelines are provided to make all users aware of the responsibilities 
associated with efficient, ethical, and lawful use of technology resources. If a person violates any of 
the User Terms and Conditions named in this policy, privileges may be terminated, access to the 
school district technology resources may be denied, and appropriate disciplinary action shall be 
applied. The Arab City School District’s Student Code of Conduct shall be applied to student 
infractions. Violations may result in disciplinary action up to and including suspension and/or 
expulsion for students. When applicable, law enforcement agencies may be involved.  
 
Through this program, you will be able to communicate with other schools, colleges, organizations, and 
people around the world through the Internet and other electronic information systems/networks. You 
will have access to hundreds of databases, libraries, and computer services all over the world. 
 
With this opportunity comes responsibility. It is important that you read the Arab City Schools Acceptable 
Use Policy and ask questions if you need help in understanding them. It will be your responsibility to 
follow the rules for appropriate use. Inappropriate system use may result in the loss of the privilege of 
using this educational and administrative tool. 
 
Please note that the Internet is a network of many types of communication and information networks. 
It is possible that you may run across some material you might find objectionable. While ACS will use 
filtering technology to restrict access to such material, it is not possible to absolutely prevent such 
access. It will be your responsibility to follow the rules for appropriate use. 
 
6.1 Parent/Guardian Responsibilities 
  6.1.1   Talk to your children about values and the standards that your children should follow on the use 
     of the Internet just as you do on the use of all media information sources such as television,  
     telephones, movies, and radio. 
   6.1.2  Participating ACS students will have access to their device 24/7. Parents will need to  
    establish ground rules for iPad use outside of the school day. While on campus, devices will  
    have internet filtering on them at all times. ACS will also have the capacity to restrict the  
    content of apps purchased legally through iTunes that can be put on the  
    device. 
 
6.2 District/School Responsibilities 
6.2.1  Provide internet and email access to its students while on campus. 
6.2.2  Provide Internet filtering while students are using ACS network. 
6.2.3  Provide network data storage areas in a cloud‐based solution via Google Docs or Drive. 
(These will be treated similar to school lockers. ACS reserves the rights to review, monitor, 
and restrict information stored on or transmitted via ACS‐owned equipment and to 
investigate inappropriate use of resources.

6.2.4  Provide staff guidance to aid students in doing research and help assure student 
compliance of the acceptable use policy. 
6.2.5  Provide technical assistance and device repair services. 
 
6.3 Student Responsibilities 
6.3.1   Use iPads in a responsible and ethical manner. 
6.3.2   Obey general school rules concerning behavior and communication that apply to 
iPad/computer use. 
6.3.3   Use all technology resources in an appropriate manner so as to not damage school equipment 
or the school’s integrity.  
6.3.4   Help ACS protect our computer system/device by contacting an administrator about any 
security problems you encounter. 
6.3.5      Monitor all activity on your account(s). 
6.3.6      Always turn off and secure your iPad after you are done working to protect your work and 
information. 
6.3.7      If you should receive an email containing inappropriate, threatening, or abusive language or if 
the subject matter is questionable, you should print a copy and turn it in to the office. 
6.3.8    Return your iPad in good working order when requested at the end of the school year or 
        upon my graduation, expulsion, or withdrawal from Arab City Schools. 
 
6.4 Prohibited Student Activities 
6.4.1  Illegal installation or transmission of copyrighted materials 
6.4.2  Any action that violates Board policy, the Acceptable Use Agreement, this User Agreement, 
the Student Code of Conduct, Children’s Internet Protection Act, or federal/state law 
6.4.3  Sending, accessing, uploading, downloading, or distributing offensive, profane, 
threatening, pornographic, obscene, or sexually explicit materials 
6.4.4  Inappropriately utilizing photos, video, and/or audio recordings of any person 
6.4.5  Changing iPad settings in an effort to circumvent the filtering system 
6.4.6  Downloading inappropriate apps 
6.4.7  Spamming – Sending inappropriate emails 
6.4.8  Gaining access to other student’s accounts, files, and/or data. 
6.4.9  Vandalism to your iPad or another student’s iPad 
 
6.5 Legal Propriety 
6.5.1  Student must comply with trademark and copyright laws and all license agreements. 
Ignorance of the law is not immunity. If you are unsure, ask a teacher or parent. 
6.5.2  Plagiarism is a violation of the ACS Student Code of Conduct. Give credit to all sources 
used, whether quoted or summarized. This includes all forms of media on the Internet, 
such as graphics, movies, music, and text. 
   
6.6 Student Discipline 
If a student violates any part of the above policy, board policy, or ACS Student Handbook he/she 
may be subject to disciplinary consequences. 
 
6.6.1 Check‐in/check‐out his/her iPad from the office or classroom daily 
6.6.2 Attend an iPad policy refresher class 
6.6.3 Loss of app privileges or internet access 
6.6.4 Loss of individual iPad and be issued a generic loaner iPad 
6.6.5 Loss of all iPad privileges 
6.6.6 Disciplinary/legal action as deemed appropriate 
6.6.7 Other disciplinary action that the principal or designee deems appropriate

7.   PROTECTING AND STORING YOUR iPAD COMPUTER 
7.1 iPad Identification 
Student iPads will be labeled by ACS in order to identify and track each device.  iPads can be 
identified by a serial number.  Students are prohibited from removing or altering these 
identifying marks. 
 
7.2 Storing Your iPad 
Students are encouraged to take their iPad home every day after school. iPads should not be 
stored in student vehicles at school or at home. 
 
7.3 iPads Left in Unsupervised Areas 
Under no circumstances should iPads be left in unsupervised areas. Unsupervised areas include 
the school grounds and campus, the lunchroom, computer lab, locker rooms, library, unlocked 
classrooms, dressing rooms and hallways. Any iPad left in these areas is in danger of being 
stolen. If an iPad is found in an unsupervised area, it will be taken to the Media Center or the 
office, and the responsible student may be subject to disciplinary consequences. 
 
8.   REPAIRING OR REPLACING YOUR iPAD COMPUTER 
Arab City Schools recognizes that with the implementation of the C4WARD program there is a need to  
protect the investment in iPads by both the District and the Student/Parent.  
 
8.1 Usage/Maintenance Fee 
8.1.1  The non‐refundable annual use/maintenance fee is $50. The fee must be paid before 
taking possession of the iPad and its accessories (i.e., protective case and charger/sync 
cord). 
8.1.2   If an iPad is lost, stolen, or sustains damage requiring repair due to maliciousness, 
neglect, or blatant carelessness, a repair/replacement fee up to $50 is required. 
Additional repairs/replacements will cost the full cost of the repair or the full value of the 
iPad. (Replacement Value 2013‐2014: iPad‐$579) 
8.1.3   Loss or damage of the iPad charger or protective case is not covered in the fee. 
Students/parents will be responsible for the full cost to replace those items. 
(Replacement Value 2013‐2014: Charger $29; Cable $19; Protective Case $50) 
8.1.4   Loaner iPads checked out of the library media center are subject to the same repair and 
replacement terms of this agreement. 
8.1.5   iPads that malfunction or are damaged must be reported. The school district will be 
responsible for repairing iPads that malfunction. 
 
8.2 Vandalism and Theft 
  In cases of theft, vandalism and other criminal acts, a police report must be filed by the student or  
   parent.  A copy of the police report must be provided to the Principal’s office before a replacement 
  iPad will be issued to the student. Report loss or theft of the iPad and/or its protective case to the 
  school within 24 hours of the occurrence. 
 
  8.3 Repairs 
Any technical or mechanical issues with an ACS‐owned iPad must be reported to the school and will be 
repaired by ACS staff.  ACS‐owned iPads that are broken or fail to work properly should be taken to the 
Media Center for an evaluation of the equipment.

Student Expectations Agreement 
1. I will take good care of my iPad. 
2. I will never leave my iPad unattended or left in an unsecure place. 
3. I will never loan out my iPad to other individuals. 
4. I will know where my iPad is at all times. 
5. I will bring my iPad to school charged each day. 
6. I will keep food and beverages away from my iPad since they may cause damage to the device. 
7. I will not disassemble any part of my iPad or attempt any repairs. 
8. I will protect my iPad by keeping it in the provided protective case. 
9. I will use my iPad in ways that are appropriate, meet Arab City Schools’ expectations, and are educational in nature. 
10. I will not place decorations (such as stickers, markers, etc.) on the iPad. I will not deface the serial number, remove school 
installed profiles or attempt to alter the iPad’s identification features. 
11. I understand that my iPad is subject to inspection at any time without notice and remains the property of the Arab City 
School District. 
12. I will follow policies outlined in the iPad Program Manual while at school, as well as outside the school day. 
13. I will file a police report in case of theft or vandalism. 
14. I agree to return the ACS iPad, power supply, charging cable, and protective case in good working condition. 
15. I will not utilize photos, video, and/or audio recordings of myself of any other person in an inappropriate manner. 
By signing below I agree to abide by the conditions listed above and I agree to comply at all time with the Arab City 
School District’s Acceptable Use Policy and iPad Procedures Manual. Any failure to comply may terminate my rights 
of possession effective immediately, and the school system may repossess the iPad and its accessories. 
Furthermore, I may be subject to disciplinary action outlined in the ACS Student Code of Conduct and, if applicable, 
my iPad privileges may be suspended.
