EMC VisualSRM
May 2006
This is the state of the corporate environment today. Let’s take a look at some of these numbers.
The average IT organization uses only 62% of its multi-platform storage. Yet companies will double their storage needs every 18–24 months. That means there will be a lot of wasted capacity.
The rapid increase in information is no longer something experienced only by large enterprises—now, even medium and small businesses are awash in data. And they have the additional burden of lacking dedicated resources that can focus just on storage issues.
Companies are generating and storing an ever-increasing amount of data:
Thousands of compliance regulations
Increased retention requirements
Millions of e-mails
Customer Relationship Management data
.mpg files
Long-lived customer and business documents
PowerPoint slides
A multitude of applications
New platforms
PDFs
New management tools
PM3 files
Etc.

EMC VisualSRM

VisualSRM is a solution for enterprises of almost any size. It provides detailed reports on your storage usage and identifies the location and age of your data. And it helps you manage that data by creating automated policies that will make you more efficient and enable you to focus on other business-critical actions.
VisualSRM will enable you to:
Discover data that:
Hasn’t been accessed for a pre-determined time
Is owned by a user who is no longer employed in your organization
Is no longer referenced by a database
Exceeds a certain size limit
Assess the value of the data to your organization:
Is long-term access required?
Is online access required?
Is high-performance access required?
Is it business data at all (.mp3, .mpg, etc.)?
Reclaim capacity within the infrastructure by moving the data to the most cost-effective platform
Some data will remain in the highest tier.
Some will be moved to lower-tier storage.
Some will be deleted.
Manage infrastructure by automating policies:
“All data not touched for 180 days will be put into Tier 2.”
“Any file larger than 5 MB will be automatically compressed.”
“Any .mp3 or .mpg file will automatically be moved to Tier 2.”

“Any file larger than 5 MB will be automatically compressed.”
“Any .mp3 or .mpg file will automatically be moved to Tier 2.”
Let’s review the VisualSRM architecture.
VisualSRM runs on Windows 2000 and 2003 Servers with either a SQL Server or Oracle back-end database.
Looking at the top row, you can see the operating systems that VisualSRM supports: Windows 2000 and 2003 Server, Windows NT V4.0, Microsoft Clusters, NetWare, Linux, HP-UX, Solaris, and AIX.
The middle row shows that VisualSRM supports DAS, SAN, and NAS. VisualSRM, which is storage-neutral, can support any storage platform that is mounted as a file system. A good example of using VisualSRM is planning a storage migration from another vendor’s direct-attached storage to a SAN or NAS device. VisualSRM can be used to evaluate the current storage usage, migrate the test data to validate stability and performance, and clean up non-business data. As the final step, migrate the production data to the new SAN or NAS device.
In addition to file-level detail, VisualSRM also provides mailbox-level detail in Exchange servers and table-level detail in SQL Server, Oracle, and Sybase.
It is recommended that VisualSRM be installed on a dedicated server. Minimum system requirements include:
1 GHz or faster CPU (Pentium III or higher)
At least 2 GB of RAM
At least 50 GB free disk space
As you can see from this diagram, you access VisualSRM from your own system via a standard Web browser. The VisualSRM server runs on a console system with IIS; an agent can also run on this console system. The VisualSRM server stores all the file-level detail data in a data repository that can be MSDE, SQL Server, or Oracle.
A managed node is one of the agent systems, including Windows NT V4.0, Windows 2000 and 2003 Server, NetWare, Linux, Solaris, AIX, and HP-UX.
EMC also provides an API client that is a C-API library for integrating custom software with VisualSRM. A sample program is provided with the API.
VisualSRM offers an easy-to-use and customizable Web-based GUI. An example of the “dashboard” is shown on this slide.
The VisualSRM dashboard screen can be customized to include detail such as “Top 10 Files,” “10 Largest Tables,” etc. The dashboard also provides the System Administrator with instrumentation that shows the status of VisualSRM and the agents, such as whether agents are online/offline, today’s schedule, and policies currently running.
Note to Presenter: View in Slide Show mode for animation.
VisualSRM has 38 built-in reports that were designed with the help of EMC customers. You can also create your own customized reports. With VisualSRM’s wizards, custom report creation is both easy and quick. And reports can be delivered automatically via e-mail, text file, HTML, or .pdf.
VisualSRM also enables you to do trending as well as offline file reporting. This feature is important when you are deploying VisualSRM as part of an SRM and file-archiving solution: It allows users to track the effectiveness of the archive strategy over the long term.
Note to Presenter: View in Slide Show mode for animation.
Once the file-level detail information is collected and reports are run, it’s a simple process to define policies that then take action based on that detail.
Intelligent Actions include:
Staging data to less-expensive storage, then automatically deleting it after a set period of time
Moving or copying data to a new SAN or NAS
Running third-party applications natively on the system that the agent is on, such as TAR. You can also run non-VisualSRM-specific processes like EMC NetWorker’s backup procedures.
Compressing the data into a local .zip file, allowing the user to access the data later if needed
Deleting unwanted non-business-related or stale files
Once the actions are defined as policies, the policy can be scheduled to run on a weekly, daily, or monthly schedule; run interactively as needed; or run based on a threshold or an event alert.
What was once a manual process or a script can now be converted to policies using VisualSRM.
Once the intelligent move action is initiated, VisualSRM automatically places a shortcut (or softlink in an UNIX environment), so file owners or System Administrators can quickly and easily locate the original files.
Note to Presenter: View in Slide Show mode for animation.
VisualSRM’s Exchange module provides the System Administrator with visibility external to Exchange by showing how much storage space the Exchange server is consuming, and what the growth trend is. This makes it easier to plan for growth of the Exchange server and manage the growth of individual mailboxes with thresholds.
VisualSRM also shows internal usage and growth trends at the private and public store level, and allows the Administrator to view reports or drill down in the user interface to the mailbox level. This allows the Administrator to quickly identify stale or unused mailboxes.
Now the System Administrator clicks on the largest mailbox. This brings him or her down into the detail for that mailbox, including drill-down into individual nested folders, again showing the top folders in descending order.
Once the System Administrator has clicked on the “Private Store” link, s/he will see the main Exchange server display and usage detail for each individual’s mailbox. As in all the other displays, this one can be sorted by any of the columns—the default sort order is by total size, with the largest mailbox descending to the smallest. This is a good way to get a quick view of who the top mailbox users are.
Another very useful detail on this display is its ability to show an Administrator that a particular user has a lot of old e-mail (stale mailbox), and would therefore be a good candidate to talk to about doing some housekeeping on their mailbox. Once the Administrator has identified this user, he/she can now click on the name of the individual mailbox and drill down to obtain details on it.
