2. The Taste of Brookfield @ Your Library Annual after-hours food, wine/beer, jazz event; Unique in that 90% of overhead is donated.

Introduction After four years of leading community members and putting together our library’s fundraiser, I’ve come to conclude that every library can and probably should throw itself an annual party. Our fourth annual fundraiser took place just six nights ago …
2:00 – 3:30 Annual event: Taste of Brookfield @ Your Library - After-hours jazz & food event benefiting the Friends of the Library that hosts approximately 200 residents/ supporters / community leaders; - Tickets are $35 presale & $40 at the door and include food, drinks, entertainment, and for the last two years free babysitting - Silent auction: not so silent as winners are announced at the end of the evening; - Unique aspect of the event is that all restaurants and providers of spirits (wine bar, liquor stores) provide all of the food and the silent auction items also come from the business community;

History - event surfaced from Trustee’s desire to market the Library in new, grand ways. Trustee with experience in marketing gently pushed us forward. We wanted people to experience the Library as they never had before – and eventually used this phrase in some of our promotional materials. Discuss goals above.
The community’s natural talent seems to emerge. Those with backgrounds in fundraising step-up and seek out opportunities to become players / key stakeholders in the community.
Original structure – very loose. Four years later we included a sponsorship structure in appeal letter. We’ve had many iterations of databases and methods of keeping track. This year we moved to a formalized website and use Google apps in the background to remotely login and track donations, ticket sales, sponsorships. Buddy up for best results and be strategic in who tags along with you for the ask.
George Needham: Don’t start serious Friends / fundraising efforts with annual events. They net less than a well put together annual appeal and require much more intense effort. Now nets between 5-10K; when it started off it was obviously much lower.
The non-user Library supporter. Creating / having awareness that the Library’s biggest supports can come from people who don’t use the Library. We have support for our event from this base. Library as economic development tool – event provided an excellent opportunity for businesses to market themselves via products or food / beverages. We offer any business the opportunity to serve their own food and mingle with a room of 200 to promote themselves. Partnerships with Village departments – Police, Fire, Recreation all donate rides in police car / fire truck / picnic registration
Wow – this town does support its When we started the event in 2006 there wasn’t much going on in the community. We’ve witnessed the gradual increase in activities in other organizations such as the Chamber. Unfortunately, it also means increase competition for dollars

Creates a scenario in which we have to make special efforts at balancing and informing one party that the other has donated. Obviously also good for the event’s bottom line. Fiercely dedicated to Library being neutral and not in support of one political party or the other. Interesting tidbits: state legislator found an aide by emceeing the event one year.

Balancing normal workloads with the event has become easier over time, but life is still pretty intense from August until the event takes place in October. My hardest hit staff members are myself and my administrative assistant, who does much in the way of major printing. Most other staff have very little to do with the event’s preparation.
