Action # 1 – Have A Plan

•Start by making the commitment to develop a plan
•It does not need to be complex, especially when starting
•Needs to be a written plan, and keep copies off site
•Get your employees involved in the planning process

Action #2 – Start Asking What If?
What if…

•    You did not have access to your building, for a day, a week, or a month?
1.   How would you handle it or how would you respond?
2.   How do you notify your employees, clients/customers?
3.   Do you work from home, or another alternate site?
4.   How do others get there?

•    The power is out or communications are down for an extended period?
1.   Can you continue your business at the current site?
2.   Do you need to get a generator?
3.   How do you get additional fuel for a generator?
4.   What else do you need?

Consider how you would overcome these obstacles. Are there any roadblocks you may run
into? Include workarounds for things that might hinder your business operations.

Action #3 – Document Your Assets
Keep a list of all your assets and equipment, especially if it is critical to your business

Note:
• The brand
• The Serial number
• Product type
• Vendor purchased from
• Client number with that vendor
• Vendor phone number
• The cost you purchased it for, and what it would cost you to REPLACE
• You may need to look at like or similar assets if the one you have is no longer available

Types of assets: Computer Hardware, Software, Copiers, Phone Systems, Other equipment
(anything that you need to run your business, make a product, or produce a service).

Action #4 Review Your Insurance Coverage
    Review your insurance coverage at least once per year.

    Ask yourself:

    •   Is it enough or even too much?
    •   What does it cover?
    •   More importantly, what does it not cover?
    •   Do you have gaps in insurance coverage?
    •   Do I need additional or specialized coverage?
    •   Be prepared to wait for adjuster before cleanup begins
Just because you have $100,000 insurance policy does not mean you automatically get
$100,000 if something goes wrong. Know your policy, know your risks, and ensure
proper coverage.

Action #5 Document Everything

If your business is impacted by a disruption of any type, document everything

•   Track and notate expenditures – ALL OF THEM
•   Take plenty of notes
•   Track what worked, what did not work, and what needs improving for next time
•   Take plenty of photos of any damage
•   Use this documentation to back up your losses to the insurance company
•   Also, use it to improve future planning

Action #6 Keep A List of Important Contacts
Include these contacts with and consider them part of your plan. Get back up contact
information for all of your key contacts. Include phone numbers, email address, and
Even consider alternate forms of communication.

Contact information for:

Key employees
Key clients (top 3, 5, or 10, etc.)
Insurance agent, claims number, etc.
Key vendor information, computer repair, PG&E, Landlord, property management co.

Action #7 Evaluate Your Vendors & Suppliers

Can your vendors and suppliers continue to support you after a major disaster?

What are they susceptible to?

Do you have alternate or backup vendors/suppliers?

No matter how big or small you are, never put all your eggs in one basket.

  • 11. Action #2 – Start Asking What If? What if… • You did not have access to your building, for a day, a week, or a month? 1. How would you handle it or how would you respond? 2. How do you notify your employees, clients/customers? 3. Do you work from home, or another alternate site? 4. How do others get there? • The power is out or communications are down for an extended period? 1. Can you continue your business at the current site? 2. Do you need to get a generator? 3. How do you get additional fuel for a generator? 4. What else do you need? Consider how you would overcome these obstacles. Are there any roadblocks you may run into? Action #3 – Document Your Assets Keep a list of all your assets and equipment, especially if it is critical to your business Note: • The brand • The Serial number • Product type • Vendor purchased from • Client number with that vendor • Vendor phone number • The cost you purchased it for, and what it would cost you to REPLACE • You may need to look at like or similar assets if the one you have is no longer available Types of assets: Computer Hardware, Software, Copiers, Phone Systems, Other equipment (anything that you need to run your business, make a product, or produce a service).   • 13. Action #4 Review Your Insurance Coverage Review your insurance coverage at least once per year. Ask yourself: • Is it enough or even too much? • What does it cover? • More importantly, what does it not cover? • Do you have gaps in insurance coverage? • Do I need additional or specialized coverage? • Be prepared to wait for adjuster before cleanup begins Just because you have $100,000 insurance policy does not mean you automatically get $100,000 if something goes wrong.   • 15. Action #6 Keep A List of Important Contacts Include these contacts with and consider them part of your plan. Get back up contact information for all of your key contacts. Include phone numbers, email address, and Even consider alternate forms of communication. Contact information for: Key employees Key clients (top 3, 5, or 10, etc.) Insurance agent, claims number, etc. Key vendor information, computer repair, PG&E, Landlord, property management co.   • 16. Action #7 Evaluate Your Vendors & Suppliers Can your vendors and suppliers continue to support you after a major disaster? What are they susceptible to? Do you have alternate or backup vendors/suppliers? No matter how big or small you are, never put all your eggs in one basket.
