The Value of Capture to Process Slide 5 Transform 2009: Kofax for the Enterprise: Moving from Departmental Solutions to the Enterprise “Unfortunately, the dirty secret of content management and even BPM is document ingestion. “The true cost of these systems lies in the labor associated with on-boarding branch level paper documents into the system. “To be effective, content management systems require an intelligent taxonomy be applied to the documents as they enter the system. This is accomplished with the latest generation of capture recognition and transformation engines.” Forrester March 2009

65. Scalable – departmental to enterprise164,590,600,000 Images per year licensed to our 20,000 customers worldwide Transform 2009: Kofax for the Enterprise: Moving from Departmental Solutions to the Enterprise
Departmental solutions were the foundation of capture and document imaging. They were primarily focused on late capture with an emphasis on scanning documents to the repository. What we call Scan to Archive. These solutions were focused on a dedicated problem (ie. Scan Insurance claims so they can easily be retrieved in the event a customer calls, or documents or forms for retention purposes). Evolution of scanning began with early systems that were departmental or centralized by necessity, few networks were capable of (or allowed) to move high volumes of images combined with the fact that scanners were expensive and considered highly specialized. The latter point meant that documents were physically brought to scanners – an expensive and complex proposition. The breakthrough was the availability and performance of corporate networks combined with the increased availability and lower cost of departmental scanners – this “double whammy” has enabled our Enterprise solutions allowing mid-sized to large companies to manage “fleets” of scanners.Enterprise solutions started to expand and companies began to leverage the same infrastructure and resources to process content for multiple departments. The business value of the documents and content became more important, which means that the systems need to be highly available and scalable combined with the ability to be easily incorporated into a companies business continuity and disaster recovery planning. More importantly these documents were being used to initiate a business process. This also meant an expansion to bringing Capture to a documents point of entry into the enterprise (branch office, remote location, mailroom, etc)A misconception is that an enterprise system means high volume. This is simply not the case. An enterprise system is defined by the business value of the content and the fact that capture system plays an integral role as an on-ramp to the core corporate systems.
As I mentioned earlier, capture begins in the Department normally targeting a specific problem or use case that is document archival in nature.
By using distributed capture to extend the departmental configuration is the first steps to moving towards an Enterprise Capture implementation. Distributed capture aims to bring the back-office capture system to remote branches and locations. This is still processing the same content in the departmental solution in the previous slide, but we can see the importance that early capture brings to an enterprise and the need for enterprises to have a capture framework that enables them to extend capture to the most appropriate location.
Capture will initiate the workflows in order to complete these transactions.
As we move capture from the departmental solutions of the past to a framework for enabling business transactions to be initiated at any time and any place under the control of the corporate systems, we are assisting enterprises to achieve their goals for Business Process Automation. Through the Kofax platform we are increasing the overall automation of the document centric processes which in turn greatly reduces the amount of time it takes to process the transaction. This not only drives hard ROI, but also maximizes the corporate investment in workflow, content, and customer service systems.
Another way to layer Organizations currently using KC for archival Create more value, downtime costly and visible Front-end business processes KTM for business process automation KC Enterprise, scalable and robust, wide and deep Kofax integral to business, need KM to maintain it
As the enterprise starts processing more business critical documents and content, the system must be able to scale and expand. Most importantly, this scalability must support enterprise standards and be compliant with IT infrastructure. The Kofax platform is flexible and enables the administrator to define which components and services should be scaled to improve performance and throughput.
By introducing BPA companies are initiating their critical business processes via Capture technologies, this means that the capture infrastructure needs to now be accounted for in formal disaster recover and business continuity planning. The Kofax platform can be configured for Disaster Recovery where in the event of a catastrophic of system failure an alternative site can continue processing documents and keep the business moving until the failed site can be recovered or restored. This ensures that there is not interruption in Capture services and the systems continue to function.
Incremental Customization - Here is a summary of functionality provided in the Kofax suite of products - The power of Kofax lies in the ability to customize every component. Since all customers are different, this architecture allows us maximum flexibility - To illustrate the various points of customization options, let’s start with import <CLICK>. In addition to allowing ingestion of documents from scanners, MFPs, fax machines and email, Kofax provides an interface for customized import over web services. If you already have a portal, file system or FTP site where documents reside, you can leverage this interface to import documents into Kofax. - <CLICK> The validation UI can also be customized according to your requirements and custom business rules can be added so that data is processed in uniform ways - <CLICK> Kofax has over 100 supported export connector but there’s also an API that allows you to connect to any back office application over .NET or web services. - <CLICK> Custom processing on documents with their own UIs can also be inserted via custom modules - <CLICK> Documents can be routed to specific users or back through other queues via customer workflow agents - <CLICK> Custom information can be extracted or validated against databases or other back office systems during the extraction or classification process. - <CLICK> Finally, custom UI elements can be created in any module with a user interface for customized administration, authentication, or data exchange
