"Early in 2013 Western Sydney Institute installed a locally hosted instance of Mahara providing all students and staff with a WSI ePortfolio account. A project was then created to develop and trial a model and resources for providing individuals (students, teachers and other staff) with skills to start using their ePortfolios on a personal basis (unrelated to their formal studies).
This workshop will engage participants in thinking about why training/assistance/support should be provided to account holders outside of their formal studies, how to develop a model for implementation of training and support, ideas for running a trial, providing ongoing assistance etc.

4. THE TOP-DOWN APPROACH – TEACHER CENTRIC
Teachers/trainers/facilitators dictate:
• what they want to see in their student’s
eportfolios
• how they want to see it – sometimes
providing templates
• how the student should share their
eportfolio with them and for how long.

6. THE BOTTOM-UP APPROACH – LEARNER CENTRIC
Learners (not teachers/trainers/facilitators) decide:
• If they will use their eportfolio
• What artefacts they will place in it
• How they will display those artefacts –
and the purpose of those displays
• If, when, with who and for how long they
will share those displays

{"27":"We thought we’d end by telling you about what we did in W.S.I. – an organisation which matches the scenario you were given for your model.\nAfter forming the project team and developing a project plan we conducted focus groups:\nThe aims of the focus groups was to introduce students and staff from teaching and non-teaching areas of one college in WSI to\nWhat an ePortfolio is and \nTo get their input as to what they thought they would require in the way of training and resources in order to assist them to start using their accounts.\nThree focus groups were conducted at different times and on different days over a week comprising of teaching staff, library staff, and students from entry courses to an advanced diploma. Only a couple of those participants had previous experience of using an ePortfolio.\n","16":"Sometimes, as Mahatma Ghandi said “Adversity is the mother of progress” and it was certainly true for W.S.I. \nEarly in 2013 W.S.I. installed an in-house instance of Mahara on one of our own servers and so W.S.I. ePortfolio was born again.\n","5":"So now let’s look Bottom up approach\nWhat does that mean?\n","33":"Any questions\n","22":"So this is where we start our workshop activities:\nThe first of those activities requires you to think about the benefits of using a bottom-up approach to increasing the use of ePortfolios. \nI am going to give you a minute to think about this individually.\nIn pairs – or tables - depending on numbers (read from slide\nWhen sharing – each pair/table cannot report only add to the list of benefits.\n","11":"The focus during this period was around assisting students to use their eportfolio to produce work, gather evidence, record reflections and finally to submit their work – for assessment and feedback purposes – relating to their course of study.\n","28":"What we discovered is - students don’t all want the same thing. Some wanted instructor-led training, some wanted self-paced resources but they all wanted ongoing support and choice\n","17":"Installing on our own servers provided us with more security and control with the added benefits of students and staff being able automatically access their accounts using their staff/student username and password.\nEasy access has been provided via the Sign In drop down menu on the W.S.I. Intranet and Internet sites.\n","6":"The Bottom-Up approach is learner centric: read from slides\n","23":"Add benefits to this slide – or to a whiteboard if available\n","12":"The teachers specified what the students needed to submit and usually the format they would like to see it in, often providing templates.\nThis was a top down approach\n","1":"Good morning.\nThis workshop is based around a project conducted by Western Sydney Institute of TAFE in June and July this year.\nI’d like to acknowledge the support and contributions to this project and to today’s workshop by:\nNayomie Baihn – Project Officer, Learning Technologies Team (and WSI’s Eportpolio Administrator) and,\nElizabeth Hobbs – Manager, Online Learning\n","29":"The model we created has three time blocks to it, spread across a semester:\nAt the beginning of the semester\nAfter the mid semester break\nAt the end of the semester\nStudents and staff are able to access training and support in each of those time blocks. They can choose to use training videos and/or they can, as an individual, not just part of a class, book into short face-to-face training sessions being conducted in our college libraries (facilitated by librarians who will be trained to support the use of WSI ePortfolios.\nThe first two time blocks have two short training sessions. The first series of training sessions is in the first few weeks of the semester, after our new students have had some time to attend orientation, started classes.. The second series, in the second time block, is designed to provide opportunities for students and staff, for whatever reason, did not take the opportunity up at the beginning of the semester. We felt that this would still allow enough time before the end the semester, which tends to be the end of a course of most of students, to develop their eportfolios.\nThe training session at the end of the semester is designed to provide information to users about what will happen to their eportfolio when they have finished their studies. It will include instructions for exporting and information on what will happen when their DEC email account is not longer available to them.\nThe whole model is underpinned by a Frequently Asked Questions forum – available to all users in our W.S.I. ePortfolio platform.\nTo ensure that students and staff are aware of their WSI ePortfolio account and the training sessions and resources, the model included the development and use of marketing material consisting of:\nCardboard bookmarks with links and QR codes to the platform and training videos\n3-Fold brochures with step-by-step instructions for accessing accounts, and details of the face-to-face session being conducted in each library, and\nPosters to be displayed in a number of locations at all colleges\n","18":"So now Every student and every staff member automatically have their own account \nBut this raised some questions:\nDo our students and staff know they have an ePortfolio account? \nDo they know that it belongs to them? \nDo they know what they can used it for?\nHow will they learn to use it (especially if they are not being asked to use it by teachers)\n","7":"So now that we have looked at what a Bottom-Up Approach its I’d like to briefly share with you The WSI ePortfolio Story\n","24":"Now we are getting to the main activity for this workshop – your challenge will be to create a model to foster the uptake of eportfolios based on a scenario: - read from slide.\n","13":"During this period students may not have, and most likely did not, take the opportunity to use their account for other purposes such as (read from slide)\n","2":"The topic for today’s workshop is creating a model to foster the uptake of eportfolios on a personal basis – from the bottom up\n","30":"As part of this internally funded project, we scripted and recorded 13 tutorials which lead new users through the steps required to set up and start using their accounts providing them with \nA tour of their account\nAnd assistance in\nLogging in\nSetting up their profile\nUsing the built in resume builder\nUploading files\nCreating and sharing pages\nAnd using the social networking features built in to Mahara.\nLet’s look at one of those tutorials – run video from YouTube: \nhttps://www.youtube.com/watch?v=YqVciWs74WM&list=PL4dRpH-ETbuu-l4nClOtGaqCgQjfONXzu \n","19":"The benefits of our newly installed W.S.I. ePortfolio platform and those questions led us to think about whether there were different ways of introducing and supporting the use of W.S.I. ePortfolios, by students and staff, on a personal basis. \nThat is, outside of the classroom. We were looking for a user-centric method, in keeping with the concept that an eportfolio belongs to the user.\n","8":"In 2009 W.S.I. took part in a TAFE NSW trial using a centrally hosted installation of Mahara – the student-centered open source software which we are still using for W.S.I. ePortfolios today.\n","25":"Before we starting working in groups, let’s look at what might you need to think about or include when creating a model?\nAnnotate slide to add suggestions to middle area – or use a whiteboard if available.\nReveal list on right – from animations\nArrange Groups\nBeginning of presentation - 10 minutes (11:30 am to 11:40 am)\nWorkshop Activity 2 - 15 minutes (11:40 am to 11:55 am)\nPresentation of Models – 10 minutes (11:55 am to 12:05 pm)\nEnd of presentation 10 minutes (12:05 pm to 12:15 pm)\n","14":"This top-down – teacher and class based approach – did not encourage the use of W.S.I. ePortfolios by our staff.\nBut this was a very exciting period of time where the use of eportfolios in our Institute was growing.\n","3":"I’d thought we’d start by looking at what a top-down approach might be.\nAny ideas?\n","31":"So, you have seen the model and know that the video tutorials have been created but how can our users access them?\nAnd what about the Questions and Answers Forum from the Model?\nA WSI ePortfolio Community for all users and the Questions and Answers Forum have been created in our platform.\nThe tutorials have been made available in two places - on Youtube (just search for W.S.I. ePortfolio) and as a collection in the W.S.I. ePortfolio Platform.\n","20":"And so our project idea emerged, and we were successful in obtaining internal funding to conduct this project to look at fostering the uptake of W.S.I. ePortfolios from the bottom up – the pull effect.\n","9":"In 2010, after the trial had finished, W.S.I. entered into a hosting arrangement with an external hosting service called Foliospaces\n","26":"REVIEW OF MODELS CREATED IN WORKSHOP\nTAKE PHOTOS\n","15":"Then in mid 2012, disaster hit us and we experienced a CRASH\nFoliospaces was sold to another hosting service resulting in an number of unresolvable issues despite the determined efforts of Nayomie Baihn working with Kristina Hoeppner from Catalyst IT, the lead development company and the maintainer of the Mahara project since its beginning in 2006.\nSo, use of ePortfolios in our Institute was halted.\n","4":"Here‘s what we put together\nThe top-down approach is teacher centric: (read from slide)\n","32":"Whilst the funding for this project has been spent, we are pleased that our Institute is supporting the implementation of this model.\nIn this last semester of 2013 are plans are to:\nIn 2014 our plans are to: \nProduce further tutorials including:\nWhat is an ePortfolio\nModifying your profile page\nCreating Plans\nExporting\n","21":"Our project had two main objectives\nFirstly:\nTo Develop a sustainable, college-based model which would\nImprove awareness by students and staff of their W.S.I. ePortfolio account\nProvide students and staff with skills to start using their accounts, and be\nBe scalable for use across the Institute\nAnd to then\nDevelop Resources to support the model\n","10":"Some very innovative and insightful teachers in hairdressing successfully implemented the use of W.S.I. ePortfolios with their students in face-to-face, distance and workplace environments. Motivated by the success in hairdressing, the use of W.S.I. eportfolios as a teaching and learning tool expanded to a number of other teaching sections, including:\nSport and Fitness\nInformation Technology, and \nThe Workforce Capability Unit’s eLF Program\nWith other sections such as:\nChildren’s Services\nBusiness Administration and \nHospitality \nPreparing to implement.\n"}
