Induction
Studio Induction










Welcome employee
Provide with all documentation to be filled in and reference material
including a feedback form and an induction checklist. All forms apart
from feedback are to be completed on the first day. Feedback form
completed after a week
Introduce employee to other staff and show around office explaining
where all amenities and resources are
Explain company policies and procedures
Explain OH&S and emergency policy and procedures
Ensure the new employee understands performance appraisals at 1 and
3 months
Allocate a mentor to the new staff member
Ask the new employee if they have any questions
Safety Procedures
If an emergency should ever occur the following procedure must
be adhered to: 





All staff must follow the emergency plan to the nearest safe exit and
leave the building
All staff must assemble at the designated safe point
The Health and Safety Officer will ascertain that everyone has
assembled and that no-one is missing
The appropriate emergency authorities will be contacted at this point
Staff must remain at the safe assembly point until told that it is safe to reenter the building
Equipment Safety Check
Procedure






An equipment safety check will be carried out by the Health and Safety
Officer and the First Aid Officer once a year
They will use a checklist to ascertain the level of safety for each item
listed
The results will be analysed at the completion of the session
If required, hazard report forms and job request forms will be completed
at this point

Potential office hazards













Poor lighting
Poor ventilation
Loud persistent noise in the office environment
Staff untrained in correct lifting procedure
First aid kit missing items
Dripping pipes leaking water on the ground
Heated food often left for long periods of time before being
consumed
Monitors located too far away from keyboards forcing staff to lean
forward, squint and to assume bad posture to see the monitor
Telephone is located too far away from the keyboard forcing staff
to reach or stretch repeatedly
No policy in place to check equipment or premises for hazards and
risks
Hazard control













Have all lighting checked and changed to brighter natural lighting
Open windows to let fresh air in
Isolate the source of the noise, move the equipment to an area where it
won’t affect staff
Have a training session to show staff how to lift heavy items correctly
Replace missing items in first aid kit and ensure there is a ledger for staff to
list items removed and that an accompanying requisite form is filled out
each time an item is removed
Call a plumber and have the pipes fixed
Educate staff about the risks of consuming food that has been kept at
room temperature and instigate regular meal breaks away from the
general office environment
Ensure that all workstations are setup accurately
Ensure telephones are placed within easy reach of staff
Instigate an annual check of all equipment and premises. Train the Health
and Safety representative to complete the checklist and ensure there are
procedures in order to deal with resulting hazard forms and job requisition
forms

Accident and injury plans








If an accident or injury occurs at work seek medical assistance if
required/call emergency services
Inform your employer as soon as possible and preferably before you
leave the building if seeking external medical treatment
If utilising the first aid kit make sure that you note what you have
removed in the first aid book and why you need it
Fill out an accident/hazard report and a workers compensation claim
form filling in all parts of the form
Supply your employer with copies of doctor’s certificates
First aid officer is contacted
Emergency services are contacted
Assault and Power Outages
Assault Plan:
 Calm the affected worker/s and report the matter to the police and
contact emergency services if the staff member/s are injured
 Report the incident to your employer and fill out a complaint form
 Enter into a mediation process if the assault was an internal occurrence
Power Outage:
 Should an emergency evacuation be required, the evacuation alert will
be sounded and should be acted on as for any other emergency
 Torches are kept in the first aid kit and can be used as required in power
outages
Employer responsibilities










Employers have a duty of care to their workers to keep the workplace
safe for all employees and they must deal with any complaints or
problems as soon as they arise and inform WorkSafe if the indecent is
serious
They are responsible for making sure that all staff are trained in how to
safely use all office equipment and deal with any hazardous substances
and workplace safety measures must be ongoing and updated as
required
Workers must have access to clean toilets, a clean area to eat meals
and safe access in and out of the building when travelling within the
confines of the premises
They need to make sure that workers are trained in how to use all
equipment safely and that they are informed about changes to
anything that might affect their health and get access to ongoing
training and a safety officer needs to be nominated to represent
workers in health and safety issues
Records need to be made available to workers if they need to make a
workers compensation claim against the business
Employer Responsibilities

Any pre-existing health problems that new employees may have that
could affect their ability to work safely in the office environment
needs to be ascertained and noted and plans put in place to limit
prospective problems
Comply with WorkSafe and ensure that the appropriate level of
WorkSafe insurance coverage is taken out and Make sure a "If you
are injured" poster is displayed where all workers can read it
Make sure workers know to record all hazards, injuries and near
misses in the hazard book and that they need to fill out hazard
reports for any injury or near miss and these records need to be
acted on accordingly and kept on hand and work with injured
employees to get them back to work and satisfy WorkSafe
requirements and OH&S policies and procedures
Employee Responsibilities







Employees have a duty of care to ensure that they behave in a way
that isn’t going to result in an accident or injury to themselves or to
anyone else
They must tell their employer of any injury or illness that occurred as a
result of the workplace within 30 days of the event
If the employee needs to take time off work because of this accident or
injury they need to fill out all relevant forms, a hazard report and work
with their employer to ensure that the process is recorded appropriately
If relevant, a workers compensation claim needs to be filled out and
submitted to the employer

  • 2. Studio Induction         Welcome employee Provide with all documentation to be filled in and reference material including a feedback form and an induction checklist. All forms apart from feedback are to be completed on the first day. Feedback form completed after a week Introduce employee to other staff and show around office explaining where all amenities and resources are Explain company policies and procedures Explain OH&S and emergency policy and procedures Ensure the new employee understands performance appraisals at 1 and 3 months Allocate a mentor to the new staff member Ask the new employee if they have any questions
  • 3. Safety Procedures If an emergency should ever occur the following procedure must be adhered to:      All staff must follow the emergency plan to the nearest safe exit and leave the building All staff must assemble at the designated safe point The Health and Safety Officer will ascertain that everyone has assembled and that no-one is missing The appropriate emergency authorities will be contacted at this point Staff must remain at the safe assembly point until told that it is safe to reenter the building

Equipment Safety Check Procedure      An equipment safety check will be carried out by the Health and Safety Officer and the First Aid Officer once a year They will use a checklist to ascertain the level of safety for each item listed The results will be analysed at the completion of the session If required, hazard report forms and job request forms will be completed at this point Office Health and Safety officer is Annie Ideas

Potential office hazards           Poor lighting Poor ventilation Loud persistent noise in the office environment Staff untrained in correct lifting procedure First aid kit missing items Dripping pipes leaking water on the ground Heated food often left for long periods of time before being consumed Monitors located too far away from keyboards forcing staff to lean forward, squint and to assume bad posture to see the monitor Telephone is located too far away from the keyboard forcing staff to reach or stretch repeatedly No policy in place to check equipment or premises for hazards and risks

Hazard control           Have all lighting checked and changed to brighter natural lighting Open windows to let fresh air in Isolate the source of the noise, move the equipment to an area where it won’t affect staff Have a training session to show staff how to lift heavy items correctly Replace missing items in first aid kit and ensure there is a ledger for staff to list items removed and that an accompanying requisite form is filled out each time an item is removed Call a plumber and have the pipes fixed Educate staff about the risks of consuming food that has been kept at room temperature and instigate regular meal breaks away from the general office environment Ensure that all workstations are setup accurately Ensure telephones are placed within easy reach of staff Instigate an annual check of all equipment and premises. Train the Health and Safety representative to complete the checklist and ensure there are procedures in order to deal with resulting hazard forms and job requisition forms

OH&S Meetings          A Safety Officer is elected or appointed according to OH&S Guidelines and they are given authority to make decisions about OHS matters A list of all relevant parties is assembled with emails and phone numbers to ensure ongoing communication Quarterly meetings are scheduled in order to discuss and review company OHS over the last quarter Records are kept of these meetings and are sent to all relevant parties All hazards as itemised in the Hazard reports for the last quarter are discussed and a risk management plan is discussed to be implemented for all outstanding issues Outstanding issues are to be dealt with according to their hierarchy in a risk analysis A timeframe for these actions is constructed and circulated to all relevant parties Feedback required by relevant parties on receipt of all emails and circulars. Records kept of feedback All incidents and near misses have been recorded, investigated and corrective actions taken within the quarterly period depending on the severity of the risk/hazard. Records retained and filed for future reference

Accident and injury plans        If an accident or injury occurs at work seek medical assistance if required/call emergency services Inform your employer as soon as possible and preferably before you leave the building if seeking external medical treatment If utilising the first aid kit make sure that you note what you have removed in the first aid book and why you need it Fill out an accident/hazard report and a workers compensation claim form filling in all parts of the form Supply your employer with copies of doctor’s certificates First aid officer is contacted Emergency services are contacted

Assault and Power Outages Assault Plan:  Calm the affected worker/s and report the matter to the police and contact emergency services if the staff member/s are injured  Report the incident to your employer and fill out a complaint form  Enter into a mediation process if the assault was an internal occurrence Power Outage:  Should an emergency evacuation be required, the evacuation alert will be sounded and should be acted on as for any other emergency  Torches are kept in the first aid kit and can be used as required in power outages
  • 11. Employer responsibilities      Employers have a duty of care to their workers to keep the workplace safe for all employees and they must deal with any complaints or problems as soon as they arise and inform WorkSafe if the indecent is serious They are responsible for making sure that all staff are trained in how to safely use all office equipment and deal with any hazardous substances and workplace safety measures must be ongoing and updated as required Workers must have access to clean toilets, a clean area to eat meals and safe access in and out of the building when travelling within the confines of the premises They need to make sure that workers are trained in how to use all equipment safely and that they are informed about changes to anything that might affect their health and get access to ongoing training and a safety officer needs to be nominated to represent workers in health and safety issues Records need to be made available to workers if they need to make a workers compensation claim against the business
  • 12. Employer Responsibilities Continued…    Any pre-existing health problems that new employees may have that could affect their ability to work safely in the office environment needs to be ascertained and noted and plans put in place to limit prospective problems Comply with WorkSafe and ensure that the appropriate level of WorkSafe insurance coverage is taken out and Make sure a "If you are injured" poster is displayed where all workers can read it Make sure workers know to record all hazards, injuries and near misses in the hazard book and that they need to fill out hazard reports for any injury or near miss and these records need to be acted on accordingly and kept on hand and work with injured employees to get them back to work and satisfy WorkSafe requirements and OH&S policies and procedures

Employee Responsibilities     Employees have a duty of care to ensure that they behave in a way that isn’t going to result in an accident or injury to themselves or to anyone else They must tell their employer of any injury or illness that occurred as a result of the workplace within 30 days of the event If the employee needs to take time off work because of this accident or injury they need to fill out all relevant forms, a hazard report and work with their employer to ensure that the process is recorded appropriately If relevant, a workers compensation claim needs to be filled out and submitted to the employer
