 Plan for Account Management: consider
     When will accounts be activated
Mailboxes become active when the account is activated
How will passwords be distributed to end users
Passwords are created ONLY when account is activated
Administrator can capture passwords during activation or have sent via

Large organizations may need automated scripts to distribute passwords

Mail routing will be determined by forwarders set in both topologies
Accounts that have mailboxes in Microsoft Online:
Mail forwarded to the MODRD (@Companyx.MicrosoftOnline.com)
        Accounts with local mailboxes
Mail forwarded to the company domain (@Companyx.com)
MX records for company still resolve to local Exchange servers so any mail directed
to @company.com will be routed back to the local servers

Mailbox After A Migration
Using PowerShell for Mailbox Migration
All migration functionality can be automated with PowerShell

 The Core PowerShell Commands

Get-XSActiveDirectoryUser : Get a list of users from Microsoft Online

Search-XSMicrosoftOnlineUser : Match a user with Microsoft Online

     Add-XSExchangeForwardingAddress : Adds a mailbox forwarder

     Move-XSExchangeMailboxToExchangeOnline : Migrates a mailbox to
     Exchange Online

All tasks are fully documented in the help with examples
Consider When Migrating
   Migration Bandwidth and Migration Options
Expect 2gig / Hour per instance
With high-bandwidth: Increase migration threads and migration
       instances to increase performance
With low-bandwidth: Use filters to decrease content that is migrated
   Permissions
Must have full-mailbox access to source mailbox
All admin’s have full-mailbox access to MSOL for migration.
   Re-Migration and Duplicates
Can remigrate and previously migrated mail will not duplicate
What is not included in mailbox migrations
       Permissions
       Delegates
       Rules
       Outlook Settings
End-User Configuration
 Prior to mailbox migration
    Export rules and list delegates

 After mailbox migration
    User must download/install Sign-in tool
User will be prompted to reset password and
       configure Outlook

    Outlook will automatically re-download
    the OST

After Outlook starts user must manually
       Import and edit mailbox rules
       Update delegates and ACLs
Add local domains to ‘Safe Sender’ list
Migrating Conference Rooms
Problem: Conference rooms can not be activated directly from
 Microsoft Online Admin Console
 Process for Migrating Conference Rooms
Manually delete any conference rooms that were created
     automatically through directory sync.
Manually create conference room with same email address and set
     conference room owner.

Use migration tools to migrate conference room content.

Things to Consider During Planning
Directory Strategy: What will drive account management in the future?
Recommend: Move to local AD to drive Microsoft Online
Consider state of current AD topology. Will AD structure need to change?

Migration Strategy: What is best approach for migration?
Recommend: Minimal coexistence period due to limitations in coexistence

Directory Coexistence and Migration
Step 1: Migrate to a local Active Directory
Consider AD as master for Microsoft Online
Use existing on-premise migration tools to migrate to local Active Directory or
export/import lists (Note: Tools may require Exchange admin installed)

     Step 2: Cleanup Active Directory
Ensure account information and SMTP addresses are accurate

Step 3: Directory Sync with Microsoft Online using MSOL Directory Sync Tool
Disabled User accounts are created in Microsoft Online

Known Limitations during Coexistence
No Free/Busy or Delegates (like Exchange)
 Local Forwarding is Manual
 No / Limited GAL Coexistence
Calendar interop depends on foreign system support
 for ICAL
      Domino issues with recurring meetings
      Unknown quality of GroupWise

Note: Domino mail/calendar coexistence experience can be
    improved through third party tools.

Mailbox Migration Considerations
 Archive Before You Migrate

Will users participate in the migration of their mailbox

 Available Bandwidth
May need to migrate over nights and/or weekends
Multiple migration machines as an option

 Front Load Data Migration Approach
Data is migrated over a period of time
One more pass for the delta’s, then the user is switched

 Back Load Data Migration Approach
Data is migrated with filter options configured
User works in the BPOS mailbox with limited data
Data is backfilled until BPOS mailbox is in sync
Foreign Migration (2 Hop Method)
   2 Hop Migration Process
1st Hop: Mailboxes are first migrated to a ‘Staging’ mailbox in Exchange
Use existing On-Premise tools to migrate to a mailbox on an Exchange server
Mailbox is only used as a ‘staging’ mailbox and not by user
2nd Hop: Use MSOL Exchange migration tools to migrate content to MSOL

Manually set mail forwarding in Foreign System
As part of migration process manually add a mail forward to account in GroupWise or
              Domino

POP/IMAP Directory Strategy
Option 1: Use Active Directory and Directory Sync
Benefit: Can continue to use Active Directory after migration to manage accounts
      Process:
Step 1: Provision accounts in local Active Directory
Can use AD import tools (LDIFDE, or import/export in ADUC) for bulk operations
Step 2: Directory sync with Microsoft Online
             Local AD Microsoft Online
Step 1 Step 2 Active Ex
Import users Active Directory Dirsync with Directory Servers
          to AD MSOL
(Consider as Disabled Account w/o Mailbox:
                                Master) SMTP: Bob@Companyx.com
                                                                      Target Address:
                                                                        Bob@Companyx.com *

Option 2: Use Microsoft Online Directly (Do not use Active Directory)
Benefit: Does not require a local Active Directory
Create users directly in Microsoft Online
Use admin console to create a single user
Use bulk import to create multiple users
POP/IMAP Migration Process
    Activate Users in Microsoft Online
Manually create users in Microsoft Online or manually activate users from an AD dir-sync
    Use Microsoft Online Migration Tools
Manually import user list into migration tool
Migrates Mailbox Content via IMAP or POP to MSOL
Optional manually set mail forwarding after migration

Think About for POP/IMAP Migrations
Make sure you know the source POP/IMAP server
Source server names, source ports, supported security options, admin
access to source mailboxes, and any connection limitations

Have a strategy for accessing source mailboxes
Use admin userID/password IF your source server supports it
Reset userID/password just prior to migrating mailboxes
Collect individual userID/passwords prior to migrating mailboxes

Have a strategy for forwarding mail after the migration
