Tony, then Fred, then Ana and then JenTony: Good Morning/Afternoon. Age before beauty. Welcome to the session on Data Center and Academy Support Hub Training. My name is Tony Asplin and I work with the SE Region Team.Fred: Ana:Jen:
JenWHAT?Today we’re going to discuss WHAT a MyNAF account is and what is available to you via NAF’s Data Center using your MyNAF account.WHY? It’s helpful to know WHY the data we collect is valuable to you and to NAF NAF collects your data to track and identify how and why our model works. Without your data, we could not continue to grow as an organization nor we be able to deliver you the helpful resources necessary for your academy to grow. NAF’s goal is to guide you and offer you supports throughout the school year using NAF’s model enabling your students to achieve success…whether they choose college or career. SIGNED AGREEMENT? Your academy has enlisted our support by way of your academy’s signed service agreement. DEADLINES? Data, usually requested by 12/1/12, Academy Assessment 1/24/13 RESOURCES? NAF.org offers valuable RESOURCES, just to name a few: Academy Improvement Guide Academy DevelopmentProfessional DevelopmentDetailed guides to building your internship programCareer academy national standards of practice
FRED: Academy Data is important to NAF because these are the numbers and information that guide NAF’s decisions and operations and assist NAF in being a leader in high school reform. But more importantly Academy Data is essential to your academy, your high school and your district because these are the numbers and information you will use to:1) Showcase your academy and high school2) Market your academy to students and parents3) Engage the local business community, and4) Leverage resources and staffing from your school and district administrators Here are examples of ways in which data on NAF students and NAF academies are integral to NAF as an organization.
Fred: Gathering and entering data is time consuming; we know that.Don’t try to find all the data yourself.Consider using all the members of your academy team to gather the data. Work as a team.Enter data elements as soon as you have them. Don’t wait to do it all at once.Look at your academy data as an asset to be used to:Show building and district administrators the value of the academy.Market the academy to business and community partners.
JenTo take advantage of NAF’s online resources. You will need to create a MyNAF account. A MyNAF enables you access to NAF’s Data Center. The Data Center holds your academy records, such as: your Academy’s contact details academy profile data academy internship data academy graduation details academy assessment / data planning tool (action plan) YOP snapshot access to online curriculum library-To create or log into your MyNAF account you will need to visit NAF.org:click on “mynaf login” found at the top of the page
Jen If you already have a MyNAF account enter your Username & Password, click “log in.”Jen If you do NOT have a MyNAF account, bypass Username & Password, click “create new account.” to submit your personal information.
JenYour MyNAF user account will require: A username easy for you to remember An email address that will remain consistent with ALL NAF records Your first and last name Enter word verification code Click on “create new account” You will receive an activation email immediately. If you do not receive an activation email, please contact your Network Liaison.Again, please ensure your email address matches with our NAF records – to be on the safe side, stick with your work email.
JenUpon logging into your MyNAF account, you will see a green box, “our network sites.” Your role in the academy will determine your access privileges. You will NOT see the “go to data center” link if you are not a Director or Site Coordinator. Clicking on “go to data center” will link you to NAF’s Data Center and you will be asked to log in again using your MyNAF username and password. The Data Center holds confidential academy records and a second login is required as a security precaution.
FRED:http://naf.org/ash is your link to the Data Center, Academy Assessments, other tools and resources.Add http://naf.org/ash to your bookmarks Toolbar for quick and easy access to the Academy support Hub.You need a MyNAF User Account with a valid Username and Password to login to ASH.QUESTION: What does ASH stand for? That’s right, the Academy Support Hub.Question: If your password doesn’t work, who do you contact? That’s right, your regional Network Liaison.

FRED:Each of the data categories is clickable. The word BEGIN means you have not yet started data entry for that category. The word REVISIT means you have started data entry and you can go back in to update or make other changes.Check the supplementary box on the right side of the page for information and assistance.
FRED:Remember that REVISIT allows you to go back and make changes.
FRED: Your academy may be involved in national or local school reform initiatives.Or you may be certified by professional organizations. This page has a list of school reform initiatives and industry certifications.Check any that pertain to your academy or else check none of the above
ANAWhen creating your Advisory Board, you will need to give it a title, we would suggest to use your academy/high school name first and then your academy theme. For instance: Foothill High School AOF Advisory Board
ANAYou will check your academy or academies from the list that are associated with your advisory board.
ANAThere are two ways of entering in the Advisory BoardsManual entry - one AB member at a timeImport via Excel – this takes a few steps, the first is to upload your Excel file, then you need to match the columns in your document with what we have in our system, and third is to fill in any missing information before you submit
ANA- On this screen you will confirm the member of your advisory board, update his/her contact information and check the primary relationship to your academy. The Secondary Relationship is optional.New Advisory Board Members will be required to have an Address Line 1Advisory Board Members who are being edited, are required to have an Address Line 1All Boards need at least one Chair
ANANew this year is that a Chair/Co Chair will be required to be identified, otherwise the system will not allow you to continue. The chair will be identified by picture right next to the green check.
ANA- Click on ADD Board Member to make this person active.- Click on “Edit” if you wish to change any information on that member.- All Advisory Board members have access to the Curriculum as long as they have created a MyNAF account first. The MyNAF column indicates if they created a MyNAF account with the email address associated with that board member. You can always reach out to your Network Liaison for instructions on how to assist your AB on creating a MyNAF account.

Entry for ConnectEdu will be covered later.About ConnectEDU - Districts and high schools can partner with ConnectEDU which works with the local SIS to provide tools and resources for guidance counselors and students. NAF's relationship with ConnectEDU and the academy allows us to collect the anonymized data, reducing the workload for directors in the Data Center. Academies that use ConnectEDU will not need to provide the Academy Profile or High School Profile data.Notice the Supplementary section on the right. There are 7 columns of ethnicity for each gender in each grade level of your programOnly the grades in your program will be listedThere will be questions to answer at the top and/or bottom of data forms. TonyThe first part of this form asks for the organizations that provided compensated internshipsTHIS SHOWS THE FORM BEFORE ENTERING ANY ORGANIZATIONS.OR, if you did not have any internships click on NO INTERNSHIPSThis would be for an academy that did not have a junior class YETFred and I were academy directors for a number of years. We both had all students complete an internship. I had an orientation meeting before their internship and gave each student a journal to work on with information to complete that I used in the data center. I had them hand this in with a report on their experience the first Monday of school. This gave me all the information I needed for the Data Center.Click Save & Continue
TonyThis next slide shows the organizations that were entered . if there from the previous year you will click on the box to the left to indicate you used them again andThen you will be able to save and continue the list. Then Click on CLICK HERE TO ENTER INTERNSHIPS
FredThe internship time frame covers the school year plus the summer. For each company select when they provided internships one or both periods.
FredFor the company shown at the top of the page enter student demographics for all students who had internships with this company.
ANAFor those academies with a ConnectEdu contract which districts’ Student Information System (SIS) don’t flag the student data, they will be asked to enter the student id numbers.
ANAYou can enter the numbers manually or from an Excel spreadsheet. If using an Excel spreadsheet you will just need to copy and paste the ID #s into the box as shown on the screen.
ANAAfter you have entered the student IDs you will click on “Verify” in order for the system to conform with the numbers used by your district. If those #s are incorrect the input will fail and will give you an error.
ANAOtherwise, you will receive a green check when the ID #s entered are verified by the system.
JENNew this year, your data will compare to last year’s input. If large discrepancies are found, you will be asked to review and update errors or include a brief explanation. For example: No internships to 40% increase. Perhaps you were in your Year of Planning or newer without Juniors.
JenOn the right side of the page are ANNOUNCEMENTS. Check these regularly. On the left side of the page is the Academy Support HUB, a list of places you can go to from this page.To go to the Data Center, to enter or check your data, click on DATA CENTER.
