Project Managers send multiple MS Project/Excel Plans to Cloud PMO, Cloud PMO automates report production, avoids time and cost wastage. Cloud PMO guarantees data quality, integrity and delivers real time reports
2. What is CloudPMO?
• A means of automating Project Management Office tasks
PMs use standard tools (Excel, MS Project) that fit current processes
Synapse is able to connect these MS Office tools to its cloud server
• As each PM connects their Plan details to CloudPMO …
A consolidated Gantt view of all Projects is built up in Real Time
Management have a desktop Portfolio Report instantly published
• Dependency mapping across multiple Projects supported
Connections linking inter-project events created
A critical Path is visualised with highlighted milestones showing slippage
• Consolidated Risks and Issues across the Portfolio
2
RAIDS logs are collected automatically from each PM
Integrated into an overlay view on top of the Portfolio Gantt
3. What is the benefit of CloudPMO?
• Substantial saving of money through cost avoidance
PMOs spend large amounts of time cutting and pasting reports together
These wasteful processes are eliminated by CloudPMO
• High quality, accurate, audited data that is trustworthy
Synapse uses advanced Semantic technology to ensure data is accurate
Every record going through CloudPMO is time-stamped and audited
• One coherent view of the entire Portfolio in real time
Means that key items (Milestones, Dependencies …) can be visualised in
a shared team view so problems are anticipated early and managed
A risk register that spans all projects and includes programme risks
means that decisions can be made based on up to the minute views
• Change risk minimised + ultra rapid implementation
3
The reality is that many expensive PMO software solutions lie
abandoned – users don’t want to change their ways to fit the software
Why should they? CloudPMO adapts to the users processes with familiar
MS Office tools (Excel …) so no training is needed and adoption is simple
CloudPMO up and running immediately – no Capex, small Opex per
user.
4. What is the Beta process – what do I get?
• A simple login with access to Excel/MS Project Templates
The Beta user can edit their plans and submit them to the cloud
Then see the reports within minutes on their desktop
Access to the CloudPMO forum with FAQ, other users help …
• Functionality to be released incrementally in sprints
Sprint 1 – Ability to consolidate MS Project Plans into a Portfolio Gantt
Sprint 2 – Define inter-project dependencies/overlay on Portfolio Gantt
Sprint 3 – Capture RAIDS logs and automatically build Portfolio risk view
• Beta participants enhancement requests fed into product
4
Every Participant has access to CloudPMO forum, FAQ, FTF meetings …
We collate your feedback into an enhancement list for final product
We provide discounts on the production product for all participants
We provide referral fees for all participants and margins for partners
5. CloudPMO - Sprint 1
The NanoApp Manager (Web Portal) gives participant access
to demonstration MS Project plans and Excel Templates:
•Project Manager
An Excel template that reads local MS Project Plans (later sprints will
provide MS Excel plan templates as alternatives) and highlights tasks for
inclusion in the Portfolio Hierarchy provided – by default this is
Programme, Stream, Project (later sprints will let PMO configure this)
•Portfolio Workbench
Can define the Portfolio Hierarchy using the names of the uploaded
Projects and Work Packages sent to the cloud by each Project Manager
•Portfolio Report
Presents Portfolio Hierarchy and all associated Projects and Work
Packages in one consolidated Gantt plan showing start, end dates …
•NanoApp Manager
5
User Provisioning and Security
Monitor User Submissions
Download latest Reports
7. Logs in to Cloud PMO using a simple toolbar …
Toolbar User Interface
•Simple controls to log in and share data
•Secure connection
•Toolbar is part of Synapse workbooks. It does not
change Excel configuration
•Shows status information to the user
•Can be closed if not needed ….
7
8. … Selects a subset of tasks for the portfolio

12. CloudPMO - Sprint 2
Enhancing Sprint 1 with inter-project dependencies mapping
•Project Manager
Each PM can optionally highlight any one or more tasks/milestones in
their plan to show whether it is either:
Depending upon (Recipient Dependency) some other Project
Manager’s task or tasks.
Needed by (Donor Dependency) some other Project Manager’s
plan for work to proceed on schedule.
Note that each PM does not need to know the low level detail of every
other PMs plans – just that they are dependent on some event or that
their event is depended upon by other PMs
Portfolio Workbench
The PMO sees these sets of donor and recipients clearly marked in her
Portfolio Hierarchy and can (point and click) connect them
appropriately.
Note that any one or many donor(s) can ‘feed’ one or many recipients
•Portfolio Report
12
The consolidated Gantt plan now shows connector lines between
dependencies …
16. CloudPMO - Sprint 3
Enhancing Sprint 2 - RAIDS logs consolidated to risk register
•Project Manager
Extended with a RAIDS template allowing each PM to define standard
reports – this data is sent to CloudPMO in the normal way
Portfolio Manager
Programme level risks can be defined
•Portfolio Report
16
A Risk register is built up showing weighted risks across all projects
The Gantt shows highlighted areas (e.g. Jun 10th to June 20th) when risks
are deemed to occur
17. Typical RAIDS (Risks Assumptions, Issues,
Dependencies, Status) logs template …
Various outline diagrams – rough and ready is fine
