3. • In fall of 2013, the My Idea team received the
idea to share extra office supplies across the
system.
• Supply Chain was already thinking along those
lines and a team formed to develop the idea:

4. Aggie’s List …
…the obvious place for a supply swap and
announced in October, 2013….
6. “Agnesian HealthCare’s Supply Chain Management department is now offering
another way to fulfill our mission by being a great steward of our financial
resources.
Aggie’s List now includes a category titled, “Department Supply Swap.” Departments
can post items for swap, trade or give away by posting the items needed or wanted
through Aggie’s List on Vital Signs. The items posted on the list must be posted for
free as departments are unable to charge other departments for the items. The
delivery and acceptance of the goods must be handled between the giver and
receiver.
The only items that cannot be posted on Aggie’s List are medical supplies.
It is hoped that this feature will offer some departments the opportunity to de-clutter
their areas, while others can take advantage of the bottom line budget savings.”

9. Department Supply Swap
Guidelines and Procedures
Purpose: To carry out our value of Stewardship by sharing unused office supplies across all ministries.
Ideally, associates look internally for needed supplies before buying new and make a point to post
unused supplies on the list.
Guidelines:
1.
2.
Department Supply Swap is available on Aggie’s List.
Department supplies are not for personal use. All department supplies are for department use
only.
3. Designated Associates are responsible for posting items on the list.
4. Once an item is claimed, the “poster” must delete the item from Aggie’s list.
5. Items automatically expire (delete from the list) after 60 days. Items can be re-posted by
designated associates after that timeframe.
6. Allowed items include all general office supplies (In other words, those items that can be
ordered from Staples).
7. Medical supplies and equipment are not allowed. (i.e. exam tables, sterilizing equipment,
stethoscopes, bandages, syringes, etc. )
8. Office and waiting room furnishings (ie desks, file cabinets, chairs, bulletin boards etc ) can be
shared through Environmental Services. Contact Dave Feilbach at 920.926.5647 for more
information.
9. The delivery and acceptance of the goods must be handled between the giver and receiver.
10. Departments are unable to charge other departments for the items.
11. Recommendations
• Designate an associate in each department to be the
primary “poster”.
• Each Department owns the process.
• To hardwire, the associate ordering office supplies
for your department should ask associates to check
Aggie’s list before they place an order for new
supplies.
• Office supply needs can be reviewed at department
meetings.
• For this effort to succeed, we need a robust list of
items. Encourage associates to post items.
12. Spring Cleaning Project
• Mission Integration Committee hosting
Department Spring Cleaning for Month of
March
• This is a way to build Aggie’s Department
Supply Swap list of items.
• Encourage associates to participate and
clean house
• Watch Vital Signs for more information
13. How to Post an Item on Aggie’s List
• Go to vitalsigns.agnesian.com and click on
Aggie’s List.
• Take a moment to read the lead paragraph
right below the page title.
• Click on “Place Ad” located just below the
lead paragraph.
• Choose “Department Supply Swap” from
the dropdown list for “Ad Category.”
