Hello and a warm welcome-My name is Steffen Klewitz and I am Vice President and the Head of the procure-to-pay strategy group within the global procurement organization of SAP.So I am here as a customer to talk a little about the way how we use Ariba in combination with our existing on premise installations.I am now in this job since nearly for a year and together with my team I develop strategies how to transform global procurement into a world class procurement organizationbest businesses run SAP-and we run a lot of SAP software- so you might expect we are best run? However I can tell you this is a challenge…why?Because we are dealing with people, with change, processes, behaviors and believes- so with we are dealing with humans not with econs (rational agents).AND we have yet another dilemma: we have existing systems and we are running a double digit growing business under full steam at the same time when we are undergoing to change and trying to improve it.On top of that we face the same challenges like many P2P organizations (e.g. cost pressure, volatility in the supplier markets, demanding business partners)The only way out was to way to find intelligent ways to utilize IT resources and automate processes use the best of both worlds: Combine the existing SAP on premise implementation with deep integration into ERP and leveraging the advantages of an ARIBA cloud solution with collaborative, scaling, and networking effectsAnd from my background in corportate strategy of SAP I can tell you this is a dream that comes true: 5 years back I was in we analyzed the market. We at SAP were the major on-premise business applications company- but there were BOB players out there which created the cloud- players like ariba with deep functional knowledge and a delivery-model which we perceived as superior- instant value to the customer, collaboration and networking effects build in, highly innovative and a flexible licensing model.SAP has learned since then a lot and did strategic acquisitions, like ariba and now we are on the way not only to be the #1 cloud company in the world but using these solutions for our own business! In the slides coming now I will tell you why we are so happy to deploy ariba for our own procurement organisation- what kind of organization this is and what other innovations we a driving as the business
To make you better understand details I need to introduce our organization and strategy:SAPs vision is to help the world run better and improve people’s lives so we decided that our vision in the global procurement organization is to help SAP buy better and be a value generating business partnerfor all procurement related activities, globally. Therefore we have a global structure with a business line responsibility for the e2e process P2P which is with the CPO Dr. Marcell Vollmer. As an overlay we have a process management organizations with process owners which ensure e2e process optimization. We have 5 Categories with only indirect procurement : HR / Services, IT, Marketing, Travel/Mobility and FM.To leverage the global presence and to realize scale it was recently decided that the procurement operations shared service center will be integrated in to a larger structure, the Global finance shared service center. This creates the opportunity to focus even more on strategic procurement, more like ever before, I will come back on this later.
You may wonder why I am so particular on the ariba solutions as a vehicle for change- The pitty of a fast growing company (double digit growth since years) is that there is never time to take care for structure--This slide shows you what we did achieve over the last 10 years:Only since 2004 we had a global procurement organization! Mostly operational – then becoming a tactical partner when the shared service center for procurement operations was formedSince 2012 we are gaining from innovations like mobile- Last year finally 5 categories are now really focusing on strategic procurement. You see that transformation are rather cumbersome--- especially when they are dealing with change….and humans (again!)Now standardizing the approaches for sourcing, providing the same templates, having transparency with spend visibility, automate PO invoice creation at AP and make use of ariba network not only brings a lot of efficiencies, it makes people work different. Take them away from their own nitty gritty procedures with their knowledge and xls- emails and what have you…Job rotation becomes more easy if different categories are using the same standard!I am convinced after many years of change management, the strongest vehicle for driving us to a world class procurement organization will be the availability of ariba solution for all categories.--------------------------3rd, we are simplifying software consumption by moving our entire portfolio into the cloud As software delivery continues to evolve to the cloud, customers are experiencing the simplicity, speed, and economics of the cloud delivery model. In order to deliver the broadest cloud experience to our customers and enable the full range of decision-making processes, we plan to make our entire product portfolio available in the cloud (managed and public). This includes a clear roadmap to transition SAP core solutions to the cloud – with tight integration between on-premise and cloud solutions. In addition to offering cloud hosting and managed services to our customers, we can proactively manage your upgrade cycles, drive innovation adoption, and take ownership of your landscape simplification to drive business value. Put it simply, SAP is the cloud company, powered by HANA
Coming to our 2020 P2P strategy- how do we want to change and improve procurement at SAP?We have a Motto that is strongly aligned with our corporate objectives: Simplification and FocusGovernance & Compliance: like a bankDevelop amazing Talent: importantTwo rooms: What makes the difference: Strategic Excellence: What is the basis of all good businesses: Procurement Excellence:Left wing:Category& Sourcing Strategy: Define and agree with LoB on Category strategy (SCP) and define sourcing projects with common objectives (handshake with LoBs on targets)Supplier Management: Establish the agreed Supplier Management Program on Ariba (SMP) and implement preferred supplier strategy for your respective area to consolidate and optimize spend allocation (reduce number of suppliers)The right wing Organisation: Combination and Migration Procurement Operations to bundle all operational functions after global set-up and deploy a Center of Expertise (CoE) for Sourcing to attack tail spend and cover tier 3 countries (implement Global Supply Database)P2P Processes and Tools /Standardization & Automation Adaption of Ariba Cloud and SAP solutions to achieve high productivity and sourcing excellence. Leverage Ariba Business Network- you will see sonn details.Overall, and this is also an objective from SAP: Simplify everything that we can do anything……for our customersSo Ariba is an essential part of the strategy. Why?I have mentioned that some slides ago: We are dealing with humans, not econs. The transparency you gain as a business owner if everybody strats to embrace the same full blown procurement solution is amazing. People start to understand what their peers are doing, procedures become comparable, “no more protection of my knowledge in my head”Example: We are doing this different here-Example 2: Demo of ariba sourcing and library-> suddenly a discussion on negotiation strategy
Beside the soft factors some of which I have talked about on the former slides we have the usual long list of challenges every procurement organization in the world is facing and can be mostly adressed by an IT strategyWhat was our IT strategy? Based on SAP’s strategy we were following the approach to become a cloud company, having mobile build in and using HANA as the foundation for analytics but in an hybrid approach. Befor I will elaborate on the systems archtecture, please let me elaborate on some examples:
