Difference between IMAP and POP
IMAP and POP are two different protocols. There are many differences between these two. The main
difference is that IMAP (Internet Messaged Access Protocol) always syncs with mail server so that any
changes you make in your mail client (Microsoft Outlook, Thunderbird) will instantly appear on your
webmail inbox.

On the other hand, in POP (Post Office Protocol), your mail client account and mail server are not synced.
It means whatever changes you make to your email account in the mail client will not be transferred to the
webmail inbox.

In simple terms, if you are using IMAP and mark a mail as read, it gets marked as read in your web based
inbox too (because the changes are happening on the server). However, this won’t be the case if you are
using POP, because the mails are downloaded to your PC and the changes won’t reflect on the server.

IMAP
The biggest advantage of using IMAP is you can access your mail from multiple mail clients and each
client detects the change in real-time. Suppose mail server is connected with two different mail clients (let’s
say Client 1 and Client 2) on different computers. If the user deletes a message in mail client 1, the change
will appear on mail server immediately and also on mail client 2. In IMAP all messages from mail clients
and servers are synced with each other.

POP
You can download emails from mail server to your PC using POP. After downloading, the original mail is
removed from the server and hence you can’t access it from another computer (Note: In Gmail there is an
option to keep the copy of mail in inbox. Thunderbird also provides an option to leave messages on server
until you delete them). But there are lots of other options missing (for ex. if you send a message from mail
client then you won’t find that message under sent items in your mailbox).

Now lets see How to Setup Gmail IMAP & POP3 in Outlook 2010?
Before you can start using Gmail IMAP in Outlook, we need to enable IMAP in Gmail
settings.
In Gmail, go to Settings -> Forwarding and POP/IMAP –> Make sure Enable IMAP Or
POP is checked and click on Save Changes if you made any.

Next open Outlook 2010, click on the File tab to access the Backstage view. Click on
Account Settings and Add and remove accounts or change existing connection settings.

In the Account Settings window click on the New button.

The window where you were filling your Gmail address and password, select the option
for “Manually configure sever settings or additional server types”. Click next to continue
the process of manual addition.

As the next window appears, select “Internet E-mail” as the service and then click
“Next”.

Gmail Using POP3
Step 1 : Now enter requisite information like your username, email address and login
information.

Step 2 : You can check the option for Remember password according to your need.

Step 3 : When you are done with entering all information, click on the “More
Settings” button.
Step 4 : A new window will pop up for Internet E-mail settings. Select the tab named
“Outgoing server” and check the option for “My outgoing server (SMTP) requires
authentication”.

Step 5 : Now select the “Advanced” tab and fill in the details mentioned below.

Step 6: Now click OK to close the window and Next to finish the process account
addition, then select “Test Account Settings “.

Step 7: Now click “ next“ , then click “ Finish “ .
Step 8: Finally you will be greeted for successful setup which you can close by
clicking Finish. Gmail will sync with Outlook 2010 for a moment and then you can
access all your Gmail account features in Outlook 2010.

Gmail Using IMAP
Step 1: Back to that window again where you were filling your Gmail address and password,
select the option for “Manually configure sever settings or additional server types”. Click next to

Hotmail using ( IMAP ) with outlook connector

Step 1: The easiest way to add Hotmail to Outlook is to first install the Outlook
Hotmail Connector link . Make sure Outlook is closed first, and then proceed with
the installation as usual.

Step 2: Then select Yes and click Next again.

Step 3: If you’ve already got an email account setup in Outlook, you can add a new
account by clicking File and then selecting Add account.

Step 4: Now, enter your Hotmail account information, and click Next.

Step 5: Outlook will search for your account settings and automatically setup your
account with the Hotmail connector we previously installed.

Step 6: If you entered your password incorrectly previously, you may see the
following popup. Re-enter your password and click OK, and Outlook will re-verify
your settings.

Step 7: Once everything’s finished and setup, you’ll see the following completion
screen. Click Finish to complete the setup and check out your Hotmail in Outlook.

Hotmail using POP3
Step 1: It’s the same way that we use it before with Gmail , But with different (
Incoming mail server , outgoing mail server )
